3 Installation Requirements Before installing the plug-in you should have the followings: 1. MS Office with either Outlook 2007 or 2010 has to be installed on your computer. 2. You should be a paid member of kpi.com. 3. Internet connection is also required at the time of installation in order to download necessary files from Microsoft s website. 4. If you are intending to use tagging features, such as linking s that are in MS Outlook with projects or leads from kpi.com, you are required to set up your message centre from kpi.com Installing 1. Go to and find Outlook plugin. Click on the Download link to download the plugin. 2. Extract the zip folder and open extracted folder. Inside the folder find Setup file and install it. The rest of the installation should be self explanatory. Synchronization With this plugin you can: Synchronize Calendars items, Contacts and Tasks Synchronize either manually or automatically Manual Synchronization Synchronization can be run manually by the user. If synchronization is run manually user will be asked what s/he is about to synchronize- Contacts, Calendars or Tasks.

4 How to manually start synchronization? To manually initiate the sync, right click on the kpi.com icon in the system tray and choose Open Sync in manual mode To start synch process hit Start sync. Selected items will be selected. Every-time sync runs plugin will compare data in both systems to determine what data needs to be synced.

5 Contact synchronization Plugin synchronizes Contacts from kpi.com in which the user has access for via kpi.com Plugin only synchronizes Contacts from Microsoft outlook that are within the folder named after the company name. E.g. if your company name is XYZ in kpi.com, plugin creates a folder under My Contacts in Microsoft Outlook when first synchronizes your Contacts. This means unless you add your personal contacts to XYZ folder, they won t be synced to kpi.com. Contacts created from Microsoft outlook and sent to kpi.com during sync will be added under CRM Contacts category. Plugin allows you to override how the contacts should be synced. Right click on the contact and select the options given. Sync will run according to the options you will have chosen You can close out the window if you want the sync to run according to the synch settings

6 Calendar synchronization Plugin synchronizes calendar from kpi.com in which the user has access for via kpi.com Plugin only synchronizes Calendar items from Microsoft outlook that are within the folder named after the company name. E.g. if your company name is XYZ in kpi.com, plugin creates a folder under My Contacts in Microsoft Outlook when first synchronizes your Contacts. This means unless you add your personal contacts to XYZ folder, they won t be synced to kpi.com. Task synchronization Plugin synchronizes Tasks from kpi.com in which the user has access for via kpi.com. Plugin only synchronizes Tasks from Microsoft outlook that are within the folder named after the company name. E.g. if your company name is XYZ in kpi.com, plugin creates a folder under My Contacts in Microsoft Outlook when first synchronizes your Contacts. This means unless you add your personal contacts to XYZ folder, they won t be synced to kpi.com. Tasks created from Microsoft outlook and sent to kpi.com during sync will be added under Nonproject related hours project.

7 Auto Synchronization This window will show you 2 tab options for Synchronization settings: Auto Sync and Sync jobs

8 Auto sync configuration You can set the frequency of sync here. You can configure the period of time when the sync will run Choose if you would like to review and when you would like to review the sync that is running. You may avoid reviewing the sync summary if you wish so.

9 Sync jobs configuration Choose what type of sync you want to run Indicate how far to the past and to the future should the sync run You can prevent certain default operations when the sync is running. By choosing the options on the left you will be able to command the sync that certain operations should not be done. Running a background sync manually You can start automatic background sync by right clicking the kpi.com icon with your mouse and selecting the Start auto sync

10 kpi.com panel With kpi.com panel you can: quick access your kpi.com contacts and items related to them online. Relate your s in outlook to your kpi.com projects, contacts, leads and opportunities offline and sync it when you are online.

Look up for full contact details in kpi.com Write a quick note under your contact in kpi.com Save your searched kpi.com contact to your outlook contacts Access items related to the searched contact and contact s own company. 13 First use of kpi.com panel for linking s with kpi.com items. It is important to Sync tags once in a while so that your fresh s can be linked to kpi.com also. If you link kpi.com items from the kpi.com message centre that linkage data will also be synced to outlook.

14 kpi.com panel for tagging You can tag you s to projects, contacts, leads and opportunities Panel will bring you all the project, contact, lead and opportunity names You can link find that relevant kpi.com from this dropdown Unless you click on Add button your choice of options above won t be effective Make sure to click on Save if you want your changes to be applied when you click on Sync tags You can remove tags from your s by clicking on Remove It is necessary to click on Sync tags in order to sync tags that you have added /removed
