1 Canary Challenge 2016 Volunteer Opportunities Saturday, September 24th, 2016 Day of Event: Check In Time: 5:30am to 10:00am - Shift One Time: 10:00am to 2:30pm - Shift Two Description You are responsible for helping check- in the cyclists. These volunteers will sit at the Check- In & Packet Pick- up tent and greet the rider, look up their name and hand them their packet. Packet includes: bib #, route map, bracelet for that route and turn- by- turn directions. You will check the riders name on the master list and if the rider raised $1,500 they will receive a Jersey. If they raised $2,500 they will receive a Jersey and Shorts. Ask the rider their size and the volunteer back- up person will retrieve the sizes. If we run out of specific sizes that a rider would like, please have them fill out a form and Canary will order and ship them one. Please check in at the volunteer booth before heading to the Check- In & Packet Pick- up tent. # of Volunteers Needed: 3 per shift Check In Back Up Time: 5:30am to 10:00am - Shift One Time: 10:00am to 2:30pm - Shift Two Description You are responsible for helping the Canary Challenge employee s check- in the cyclists by retrieving the cyclist s Jersey and short sizes. Once the rider is checked- in and receives their bib, the check in person will look at a master list to see if the rider earned a jersey or earned a jersey and shorts. If the rider raised $1,500 they will receive a Jersey. If they raised $2,500 they will receive Jersey and shorts. You will ask the rider their size and retrieve the sizes. Please help keep the Jersey s and shorts organized by size. Some riders may request a different size after they try on the Jersey. If there are no more sizes that a rider would like, please have them fill out a form and Canary will order and ship them one. Please check in at the volunteer booth before heading to the registration booth. # of Volunteers Needed: 3 per shift 1

2 Line Greeters at Check In Time: 5:30am to 10:00am - Shift One Time: 10:00am to 2:30pm - Shift Two 1. Meets and Greets each Rider Hello, Welcome 2. Did you pick up your bib/ packet? If yes, they can go straight to start line. 3. Confirm Minimum Donation Have you met the fundraising donation minimum of a). Adults = $400 minimum, $100 registration fee b). Kids & Students = $100 minimum, $25 registration fee If yes, Thanks for riding today at the counter they will check you in and give you your bib number, wristband and route map. If no, let them know they can pay by credit card or check 4. Have them proceed to the check- in After the majority of riders have gone through registration (approximately around 2pm), volunteers will help organize and pack up extra materials into boxes and any other break down directed by registration staff. # of Volunteers Needed: 2 per shift Volunteer Booth: Time: 5:15am to 9:30am - Shift One Time: 9:30am to 1:30pm - Shift Two Time: 1:30pm to 5:30pm - Shift Three Shift one will organize and fold volunteer t- shirts into sizes: Mens vs. Women s. Put aside t- shirts for afternoon cleanup crew. Help with volunteer check- in and set up. I.e. organizing water bottles, put out coffee cake, coffee and water. Shift two and three will help sign- in volunteers, pass out t- shirts and lunch tickets, be prepared to help with last minute tasks directed from the volunteer manager, help close down booth at the end of the day. # of Volunteers Needed: 3 per shift Village Set- Up Time: 5:00am to 9:00am Will assist in the overall set- up of tables, chairs, signs, and other necessary equipment and supplies. Should be able to lift 30+ pounds and be on your feet for long periods of time. Help maintain the cleanliness of the village by throwing away trash and refilling water. This is a very energetic and necessary job and great for large groups! # of Volunteers Needed: 10 2

3 Merchandise Booth: Time: 6:00am to 10:00am - Shift One Time: 10:00am to 2:00pm - Shift Two Time: 2:00pm to 5:30pm - Shift Three You are responsible for selling and handling the merchandise. You will be helping keep all the merchandise organized according to size and retrieving the correct size for customers. You will be handling money as well as an ipad to take credit cards. There will be a staff member present to help answer any questions. At the end of the day you will help pack up left over merchandise and load the materials into a truck. Please check in at the volunteer tent before going to the booth (see village map in volunteer guide). Here are the items being sold: Event T- shirts- $ Jersey s - $ Short s - $25 Canary necklaces - $5 Canary Hats - $15 Handle Bar tap - $10 # of Volunteers Needed: 3 per shift Information Booth: Time: 6:00am to 10:00am - Shift One Time: 10:00am to 2:00pm - Shift Two Time: 2:00pm to 5:30pm - Shift Three You will be at the information booth (see village map in volunteer guide) answering questions about the Canary Challenge. It is important to be knowledgeable about the event. You may be asked about routes (distances/what time the riders are likely to be coming in) or village questions. These volunteers need to be familiar with the village layout (where the bathrooms are, food trucks, how to purchase food tickets etc.) Needs to be friendly and helpful. # of Volunteers Needed: 3 per shift 3

4 VIP/ Team Tents Time: 10:00am to 2:00pm Description You are in charge of refilling and stocking food and drinks in VIP tents. You are also in charge of maintaining VIP tents for team sponsors. Please add chairs where needed. Please check in at the volunteer booth before heading over to the team tent area where you will meet Jesse. If you have some down time please head over to the finish line to cheer on the riders as they finish their difficult ride! # of Volunteers Needed: 3 Village Maintenance / Floater Time: 8:00am to 12:00pm - Shift One Time: 1:00pm to 5:00pm - Shift Two Description Your job is extremely important. Please check- in with the volunteer manager. There might be various tasks that need to be completed. Some tasks might include bringing things to different booths, relieving volunteers for a bathroom break, refilling water, dumping trash into dumpsters, and keeping the village clean. # of Volunteers Needed: 3 per shift Kids Zone Time: 10:30am to 2:30pm - Shift One Time: 2:30pm to 5:00pm - Shift Two Description You are responsible for supervising the bouncy house, making sure the number of children does not exceed the limit and no rough play is occurring. You are also responsible for supervising the Sugar Shack, Balloon Twister, and Face Painting. # of Volunteers Needed: 3 per shift 4

5 Spin- to- Win Time: 9:30am to 1:30pm - Shift One Time: 1:30pm to 5:00pm - Shift Two Description You are in charge of the Spin to Win booth. Each rider can spin the wheel after they ride and have the opportunity to win great prizes! The people at this position need to keep track of what prizes are given out and make sure to update the spin to win board when certain prizes are gone. There will be 4 categories that riders can land on once they spin. Some items are in the general category. This category consists of water bottles, sleeves, and Glassy Baby candleholders. The other three other categories are bigger, more valuable items. For instance, hotel stays, restaurant certificates, sports memorabilia, spa package etc. These items will be split up into different colors. When a rider lands on one of the colors they pick a slip of paper from that color grab bag with a specific item. Then one of the volunteers will retrieve the item for the rider. Two people will be in charge of having the rider spin the wheel and picking from the correct bag. Two other volunteers can help retrieve the prizes when a rider wins. Please also help maintain the cleanliness of the village by throwing away trash and refilling water. Please go to the spin to win booth after checking in at the volunteer tent. # of Volunteers Needed: 4 per shift Gift Bag Booth Time: 9:30am to 1:30pm - Shift One Time: 1:30pm to 5:00pm - Shift Two Description You are responsible for distributing the gift bags to the riders upon their return from their difficult ride. The gift bags will be divided into two sections, one with large socks and one with small socks. Please greet the riders and inform them about the two different sock sizes. Please remind them that there is a spin- to- win ticket in their gift bag where they can head to the Spin to Win booth and win some amazing prizes such as hotel stays, gift certificates, sports memorabilia, etc. # of Volunteers Needed: 4 per shift 5

6 Lunch Booth Time: 10:00am to 1:30pm - Shift One Time: 1:30pm to 5:00pm - Shift Two You will be distributing lunch and drink tickets. You will also be selling lunch and drink tickets to spectators. There are three food trucks at the village. Each rider gets three lunch tickets and two drink tickets. One volunteer will collect lunch tickets for the food trucks and monitor the lines. # of Volunteers Needed: 2 per shift Start Finish Line Greeters Time: 8:00am to 12:00pm - Shift One Time: 10:00am to 2:00pm - Shift Two Time: 2:00pm to 5:00pm - Shift Three Your job is incredibly important! You are responsible for cheering on cyclists as the start and finish their difficult ride! The riders worked hard to train for these challenging routes as well as fundraise to support early cancer detection. Please be as excited and energetic as possible. We want the riders to feel accomplished and proud to be apart of this event! We will have cowbells to ring as riders finish. If you would like to create a sign or two there will be materials at the volunteer booth or you can bring one with you. Please check in at the volunteer booth before going to the finish line. # of Volunteers Needed: 10 per shift Medical Support Time: 7:00am to 4:00pm (varying shifts) We are looking for individuals who are comfortable administering first- aid at the most basic levels (e.g. applying Band- Aids) as well as individuals who are trained in first aid, as an EMT, or have any other higher medical training. Volunteers at each level of training can benefit our team! These individuals will be part of a medical response team lead by Dr. Eric Weiss, an Emergency Medicine physician at Stanford and Director of The Village Doctor in Woodside. The first- aid volunteers will administer first aid at a number of rest stops along the courses. Volunteers will work the day of the event in shifts and will attend a short meeting the week of the event. # of Volunteers Needed: 5 per shift 6

7 Village Clean- Up Crew Time: 2:30pm to 6:30pm Your job is extremely important. There might be various tasks that need to be completed. Some tasks might include relieving volunteers for a bathroom break, refilling water, dumping trash into dumpsters, and keeping the village clean, folding chairs, taking town tents, etc. You will be joining our hard- working breakdown crew after the event on September 26 th. Please bring some fresh energy to our exhausted teams as we collect signs from the village area, break down tables, repack supplies and load into vans. Please check in at the volunteer booth. # of Volunteers Needed: 10 or more On Course Operations Time: 5:00am to 10:00am - Shift One Time: 12:00pm to 4:00pm - Shift Two You will be placing arrows and signs along the course, helping drop off and pick up Rest Stop bins, lunches for volunteers (at rest stops), and anything else that may need to be delivered to people on the course and at Rest Stops. Must be organized and efficient! # of Volunteers Needed: 2 per shift Course Directional Support Time: 8:30am to 12:00pm - Shift One Time: 12:00pm to 4:30pm - Shift Two You are in the center of the action! Give riders encouragement and direct them safely along the course. On course directional support volunteers are stationed along the course. You will have a route map so you can assist with providing information to our riders and the public that you may encounter on race day. At the end of your shift, once bike patrol sweep has cleared your location, you will pick up any arrows, flagging trash etc. A few things you may want to bring to make your shift more enjoyable: portable chair, sunscreen, water bottle, hat and snacks. 8 SAG/Medical Dispatch: Time: 5:15am to 9:30am - Shift One Time: 9:30am to 1:30pm - Shift Two Time: 1:30pm to 5:30pm - Shift Three Be available to take calls and texts from riders start to finish. Serve as the "dispatcher" for SAG or medical calls. You will be provided with an event cell phone. Answer all incoming calls and texts and ascertain the nature of the call or text: medical emergency, bike repair need or pick up. Transmit all necessary information to either SAG or medical teams. Logs all calls/texts and the nature of the call/texts. # of Volunteers Needed: 1 per shift Rest Stops Time: Each rest stop has two shifts but times vary depending on location Each rest stop will be assigned a team of volunteers to manage set- up, food distribution, and traffic control at each location. Each stop provides snacks, water, sports drinks, and portable toilets. Once all cyclists have passed, you will clean up and assist route cleanup team with loading of trash and recyclables. Please check in with your rest stop captain for details about where to go on the day of the race. # of Volunteers Needed: 6 or more per shift great position for groups!
