1 File Management in Moodle 2 The way files are handled in Moodle 2 has changed from earlier versions. In Moodle 1.9 The files are uploaded into a central Files area the Files link in the Administration block. The files are stored at the course level. In Moodle 2 Files are uploaded in connection with a Resource (e.g. File, Page) or an Activity (e.g. Forum, Assignment). There is no central course file area in Moodle 2. In summary, this means: Fewer clicks and an option of having one file in one place Files are stored independently of the course. Therefore, the files can be accessed from any course. Moodle 2 does not synchronise files. If you upload/link a file to assignment and upload/link the same file to forum, the two files become stand-alone files. You will need to update and maintain the two files separately. File picker The File picker allows files to be selected and displayed in Resources or Activities. The file is copied into Wattle from wherever you have chosen it from, e.g. your computer or USB drive. The File picker can be launched from the Add button: The File picker can also be launched within the HTML Text Editor. See instructions on page 5. Getting files from the File picker When the File picker screen appears, a number of links are listed on the left side. Wattle currently provides two links to add files: Upload a file and Recent files. Upload a file This is where you click to upload files and folders from your computer or USB drive. Recent files This shows the last 50 files you have uploaded. It is a quick way of finding files if you want to reuse them. Keep in mind files selected from Recent files will become stand-alone files. 2 Add a File resource The File in the Resource dropdown menu replaces the Link to a file or web site option in Moodle 1.9. It is the place where you would upload and display files. Instructions 1. Click Turn editing on 2. In Add a resource dropdown menu, go to File 3. Enter a descriptive Name for the file 4. Enter a file description (Optional) 5. In the Content area click Add 6. In the File picker, go to Upload a file 7. Click Browse 8. Find the file from your computer 9. Select it and click Open 10. Click Upload this file 11. Your file is now listed in the content area 12. 3 Add a Folder resource The Folder in the Resource dropdown menu replaces the Display the Directory option in Moodle 1.9. The differences between the two versions are very minimal. You will not have a lot to re-learn if you have used this kind of resource in your course site. Instructions 1. Click Turn editing on 2. In Add a Resource dropdown menu, go to Folder 3. Enter a descriptive Name for the folder 4. Enter a folder description (Optional) 5. In the Content Area click Add 6. In the File picker, go to Upload a file 7. Click Browse 8. Find the files from your computer 9. Select the file and click Open and click Upload this file. Continue this process until you have added all the files you want in your folder. Note: In the folder, only one file can be added at a time. To add several files at once, create a zip file on your computer. Then upload and unzip the folder in Wattle. See unzip instructions in Other File Management Tasks in page The files are now listed in the content area 11. Click Save and Return to course to save your changes Lecturer Editing View in Folder Lecturer / Student Folder View Other File Management Tasks After the files are added, there are other basic file management tasks available: Download, Rename, Move, Delete, Unzip (for Zip files), and Zip (for Folders). To access these basic file management tasks, click (either left click or right click) the file name or the icon to the right to view the menu. File Management in Moodle 2 [version 2.0] Page 3

4 Download 1. Click Download on the menu 2. Choose to Open or Save the file Rename 1. Click Rename on the menu and enter the new file name in the name field 2. Click Rename to save Move 1. Click Move on the menu 2. Select the destination path/folder 2.1 If there is no folder in the path, cancel this Moving window. 2.2 Go back to the Content area and click Create folder to make a new folder 3. Double click the path/folder name 4. The selected path/folder will display in bold red 5. Click Move to complete the action Delete 1. Click Delete on the menu 2. Click Cancel or Yes to confirm the action Unzip 1. Click Unzip on the menu 2. The Zip file is unzipped immediately to a folder Zip 1. Click Zip on the menu 2. 5 File picker in the Text Editor File picker can be launched in the Text Editor within the resource or activity. It can be accessed through the following icons: Insert/edit link 1. Highlight the text and click the Insert/edit link icon. 2. Click Browse next to the Link URL. 3. The File picker appears. In the Recent files area, all types of files are available. Insert/edit image 1. Click the Insert/edit image icon in the Text Editor. 2. Click Find or Update an image. 3. The File picker appears. In the Recent files area, only image files are available. Insert/edit Media 1. Click Moodle Media icon in the Text Editor. 2. Click the link called Find or upload a sound, video or applet. 3. The File picker appears. In the Recent files area, only media files such as MP3 or MP4 are available. Activity name auto-linking Filter In Moodle 2, there is a filter called Activity name auto-linking. The filter scans text for activity titles that exist in the same course and creates a link. Example Scenario Reusing Files The following scenario uses a PDF file as an example, but other types of files will also work. If you wish to use a PDF file three times in your course, here is the recommended practice. 1. Add a File resource 2. Enter a specific name for the file, e.g. Project Guideline, to prevent unintentional auto-linking 3. Upload a PDF file to the File resource File Management in Moodle 2 [version 2.0] Page 5

6 4. If you want to reuse the same PDF file in an Assignment and a Forum, then use the same text Project Guideline. An auto-link to the resource/activity will be created. With the Activity name auto-linking, the same PDF only needs to be uploaded once into a resource or activity. A hyperlink is automatically created between the text and the PDF file. Whenever the PDF file is updated, the auto-links will lead to the updated PDF file. Tip: Create the resource/activity first before referring to it within the course site. There is a 5 minute delay for the filter to activate the auto-link if the resource/activity is created afterwards. Recommendations: Choose resource and activity names carefully as this will affect linking behaviour and can save you time later The Activity name auto-linking filter is available at the course level as well as the resource/activity level. You can turn the auto-linking filter off if necessary. Facts and Features: Activity Name Auto-linking is not case sensitive Resource and activity names will be auto-linked, but not the file names (i.e. the name of the file uploaded to the resource or activity). Text will be Auto-Linked even if you add the resource or activity after writing the text. This may take a few minutes to process through. Activity Name Auto-linking will link to the longest matching name. If you have an activity called Assignment and another called Assignment 2, the text Assignment 2 will link correctly. 7 Access the Activity name auto-linking Filter Filter at the course level The Activity name auto-linking filter can be accessed in Course administration > Filters. Filter at the resource/activity level The Activity name auto-linking filter can be accessed in the Resource/Activity administration, e.g. File or Assignment. Auto linking at the text level The Activity name auto-linking can also be disabled in the description text. To disable the auto-linking, highlight the text that has activity name auto-linking and click the icon Prevent automatic linking. To undo the Prevent automatic linking action, highlight the text and the icon Prevent automatic linking will light up (yellow shading background). Click the icon to start the automatic linking again. 8 Legacy Course File For only rollover courses migrated from Moodle 1.9, a Legacy Course File link will be visible under the Settings block. It is created to ensure the documents, images, sound files and etc. from Moodle 1.9 will be carried over and stay accessible for students. For new courses created from college templates, the Legacy Course File link will not be available. It is strongly recommended NOT to edit the Legacy Course Files. It is present only for transitional purposes. Saving files to Pebble central file space Pebble is the server on which each member of the University is allocated personal file space; students 250MB and staff 1GB. This file space is accessible from any Information Commons computer as well as offcampus. Pebble is a secure and stable place for storing files and a convenient way to access your work from any computer in the Information Commons. Saving your files to Pebble allows you to work on material in your office or at home and open it on any computer in the computer labs or lecture theatres.
