1 Release Notes Assistance PSA 2016 (December 2015) Projects Copy Project Template In PSA Settings, Project Templates, the option Copy Template in the local command bar allows you to create a copy of a Project Template. Release Notes Assistance PSA 2016 December 2015 Page 1 of 16
2 Add Project Items On the Project form, in the menu More Commands, the option Add Project Items allows you to add Project Items from a selected Project Template. The project item activities attached to the project template item(s) will also added to the project. Release Notes Assistance PSA 2016 December 2015 Page 2 of 16
3 Copy Budget to Fixed Fee On the Project form, in the local command bar, the button Copy Budget to Fixed Fee allows you to copy the Budget amount of the project item types Fixed Fee and Expenses Fixed Fee to the Amount field of the corresponding project items. Note!: this function overwrites any amounts entered manually on Fixed Fee and Expenses Fixed Fee project items. The Group Calendar has been discontinued The owner of a Project Item Activity is added to the Project Team automatically Section Invoices of Project Form extended with 3 fields The Group Calendar functionality is no longer available as from Assistance PSA Also in the case where a Project Item Activity is assigned to a different employee, that employee is added to the Project Team. - Invoice Account Here you can select the account that is invoiced if it is different from the Project Account. - Invoice Contact Here you can select the contact that is invoiced if it is different from the Project Financial Contact. - Invoice Description Here you can enter a default Invoice Description. 4 Invoicing Create Invoice at Project and Program level in HTML5 The Single Invoice Creation functionality (previously in Microsoft Silverlight) has been redeveloped in HTML5 with some minor improvements. They are explained further in this section. Billable Expenses amounts in column Amount and This Invoice. Product amounts in column Amount and This Invoice. Invoice From Date and Invoice Until Date The column Billable Expenses no longer exists. Billable expenses are now displayed in the Column Amount as well as in the column This Invoice. The column Products no longer exists. Products are now displayed in the Column Amount as well as in the column This Invoice. The Invoice From Date and Invoice Until Date are saved with the Invoice. They will appear in the Shipping Dates section of the Invoice under Start Date and End date respectively. Release Notes Assistance PSA 2016 December 2015 Page 4 of 16
5 Invoice split An Invoice can be automatically split into 2 or more invoices based on a percentage to invoice by account. This is configured at the project level: In the Project form menu, select the tile Invoice split. The + Add New Invoice Split will allow you to define percentages per account. For example 70 % is invoiced to Client A and 30 % to Adventure Works. The Invoice is created in the usual way. Assistance PSA will first create the invoice related to the Account of the Invoice account of the Invoices section of the project. The 2 nd invoice will also be generated automatically and appear in the Invoices section of the project. Notes: - One of the Accounts must be the selected Invoice Account in the section Invoices - For Fixed Fee amounts the Quantity is normally 1, but in this example it will be 0.7 and For Hours the number (Quantity) of hours is multiplied by 0.7 and Privileges for the entity Split Invoice are required. See the section Additionally Required Privileges in CRM for this release in this document Release Notes Assistance PSA 2016 December 2015 Page 5 of 16
6 Program (Summary) Invoicing from Project Program (Summary) Invoicing can be done from a single Project. If the project that is invoiced is part of a Program, then the Project and Program are displayed and all amounts of that Program can be invoiced from that project. Batch invoicing in HTML5 The Batch Invoicing functionality (previously in Microsoft Silverlight) has been redeveloped in HTML5 with some minor improvements. They are explained further in this section. Program Invoicing option removed Select All option The Program (Summary) Invoicing option in Batch Invoicing has been removed. Instead all projects belonging to a Program with billable amounts are presented. For the selected Projects a Program (Summary) Invoice will be created. By clicking on the column title Ok all projects are selected or deselected at once. Release Notes Assistance PSA 2016 December 2015 Page 6 of 16
7 Gantt Chart Project Item Activity Active In the Project Item Activity, on the tab General, if the field Active is checked, then it is available for time entry. A Project Item Activity created in the project template is active by default. A new project item activity created in the Gantt of a project will NOT be set as Active by default. One will have to check the box in order to make it active. Project Item Activity Tentative In the Project Item Activity, on the tab General, you can mark a Project Item Activity as Tentative. In the Utilization Sheet you can filter on it. Release Notes Assistance PSA 2016 December 2015 Page 7 of 16
8 Create Appointment from Project Item Activity In the Project Item Activity, on the tab General, the button Create Appointment allows you to create a CRM Appointment for the Project Item Activity. A Project Item Activity for which an Appointment has been created is displayed in full yellow color. Employees that use the Outlook Client for Microsoft Dynamics CRM can synchronize the CRM Appointments created by the Gantt Chart with their Outlook Calendar and other employee s Calendars. Notes!: - When a Project Item Activity s start and/or end date is/are updated, the Appointment is updated accordingly. - The appointment is always defined as Whole Day appointment. - A requirement for the synchronization of Appointments between Microsoft Dynamics CRM and Outlook is that Whole Day Appointments have been added to the Synchronization Filters in Outlook. - Another requirement is that you need the permission to access the calendar of other employees to create Appointments in their own calendar. 9 Requirements Tab of Project Item Activity In the Project Item Activity, on the tab Requirements, you can search for Resources (Employees) based on their: - Associated Hour Type(s) - Availability: The availability of the Employee in the Project Item Activity period is calculated per day and is determined by: Work Hours Per Week of the Employee / (divided by) the Work Hours Per Day (in the PSA Settings). Existing planned hours are then subtracted from this value. The result is the current availability of the employee. The percentage that you enter in the Available field is the minimum availability percentage of the Employee. - Employee Skills with their level (These skills must be defined in Assistance HRM) Additional filters can be leveraged for the selection, i.e. Legal entity and Region. The result of the filter (the found Resources) is displayed with the dropdown arrow of the field Resources. You can select one or multiple Resources here. Each time one or more of the following values: Hour Type, Available and Skills are changed the search results are updated: The Project Item Activity can be assigned to your selection of Resources by clicking on the button Add selected Resources. Assistance PSA will check if the Resource has not been planned already. Release Notes Assistance PSA 2016 December 2015 Page 9 of 16
10 PSA Settings Copy Custom Project Fields In PSA Settings, Projects, Copy Custom Project Fields, CRM field names of Assistance PSA Project fields on the Project form can be entered. The value of these fields will be copied too when copying a Project. Show User Pictures In PSA Settings, Hours, Show user Pictures, you can set that the uploaded picture of a CRM User is displayed in the Utilization Sheet. 11 Due Days In PSA Settings, Invoices, Due Days a number of days can be entered. This is the general setting for the invoice due date calculation. The invoice due date is calculated from the Invoice Date Delivered. In PSA Settings, the number of days can be set per Legal Entity as well. Per account a deviating number of days can be entered. 12 Utilization Sheet Day, Week and Month View In the Utilization Sheet you can switch the view to Day, Week or Month. After switching, click on the button Retrieve Data. Show User Pictures Filter on Tentative In PSA Settings, Hours, Show user Pictures, you can set that an uploaded picture of the Employees (CRM Users) is displayed in the Utilization Sheet. In the Filter Activity Status you can filter on Project Item Activities that are marked as Tentative. Filter on Skills In the Filter Skills you can filter on Skills that are created and maintained in Assistance HRM. Release Notes Assistance PSA 2016 December 2015 Page 12 of 16
13 Create Project Item Activities Project Item Activities can be created from the Utilization Sheet. First place your mouse pointer on the first unplanned start date and then keep pressing on your left mouse button. Stretch the activity to the end date. When you give a right mouse click, the Project Item Activity entry form appears. After filling out the form, click on OK. The activity is displayed in green. The last step is to click on the button Retrieve Data. Release Notes Assistance PSA 2016 December 2015 Page 13 of 16
14 Hours Booking Restriction makes a Project Item Activity required If you activate the Booking Restriction on a Project, then when entering hours: 1. a user is required to select a Project Item Activity 2. the user can only select Project Item Activities that are assigned to him or her Project Item Activity Alert in Timesheet Calendar In Timesheet Calendar a Budget alert is displayed for the Project Item Activities. Expenses Select Expense Input Currency In the New Expenses entry form of Microsoft Dynamics CRM you can select the Input Currency of an Expense Entry that is different from the base currency. First enter the Input Currency then the Input Amount; PSA will update automatically the Cost, Transfer and Selling Amounts. The Input Amount is saved in Input and base currency. 15 Sales Forecast Account Filter In the Overall Sales Forecast you can filter by Account. Bug Fixes Hours Invoices Invoiced T&M hours are not related to an Invoice if Project Team Members have been removed from the Project After clicking on OK when creating an invoice, the CRM Invoice form is not opened Additionally Required Privileges in CRM for this release Privileges for the entity in the table below have been added to the following out-of-the-box PSA Security Roles: - PSA Full User - PSA Administrator Any custom CRM Security Role for Assistance PSA in use that is based on these PSA Security Roles must be updated accordingly with these added privileges.
