1 : PC Tutorial (EGP) was created by teachers for teachers. It allows you to set up a grading system that will let you have all the classes you teach in one file. It was also designed to calculate grades with the understanding that some assignments, i.e. class participation versus homework, or midterm versus final project, are worth more or less than others when graded and need to be given different weights. Besides weighting grades, some of the features in that will make your grading process easier are: ability to import your class rosters: student name, ID, personal , and phone #. ability to use the Grade Click Bar to enter A, B, C, etc. versus percentage grades or points. ability to view students overall report card grade at all times. ability to view number of missing or outstanding assignments. ability to print progress report at any time for entire class or for individual students. Before You Start : You will need to download your class list from the AAU website. Go to log in, and select the appropriate class. Click on ROSTER in the menu bar. Click on Student Roster located above the button to MESSAGE ALL STUDENTS Faculty Development Academy of Art University

2 Click on Download Student Roster in the sub-menu bar. Click Save. Save the file on your desktop for now. Rename the roster file as the name for your class. Click Close. Faculty Development Academy of Art University 2

3 The First Time You Use : Launch the application and click on the Create a New Gradebook button. The initial Save New Gradebook screen will open. Put the semester and year for the gradebook name. Include your name or initials. Faculty Development Academy of Art University 3

4 Add Classes: Once you have entered the class name and clicked Save, you can begin adding the classes you teach. Edit the Term Labels so they reflect the current term. Enter your courses then click Done. Type course # and section or course name and day. Type current term and click in the Terms column to select the term. Click Done. 5 Customize Class Options: Class Options let you customize your gradebook so that it aligns with the learning outcomes for your course. Choose a class, then click View/Edit Class Options.* The first tab is Grade. AAU uses the Standard Scale. Notice each letter grade has a range. For example, C- begins at 70% and C+ ends at 79%. To remove the plus from A+, click in the field and edit. Check the percentages for the letter grades. Do they meet with your department standards? Remove the + from the A+. *Note the Class Options icon for future access. Faculty Development Academy of Art University 5

6 Click on the Category tab. Categories reflect the activities, assignments, projects, etc. your students will do to demonstrate the course learning outcomes. Turn on the category weighting feature by clicking in the box. Use your syllabus to help guide you when weight categories. Click in the Use Category Weighting box. Note the Sum of weights that appears when you click the box. You can edit the category names by clicking in the Category Name cell and typing the new name. For example, you can change Performance to read Attend/Participate. You can edit the weight percentages by clicking in the Weight cell and typing the new number. The sum showing under the Category Weighting box must equal 100. Check the Category Names fields. Do they Check the Category Names fields. 7 This instructor has edited some of default categories and added a new category. The Grade Scale Option field must read Standard Scale for each category. Click on the pop-down arrow and choose Standard Scale. Sample categories and weights Select Standard Scale for each category. Now click on the Calendar tab. Set up your calendar and then click Done. Turn off days you don t teach by clicking on the box. Click on the first day of class. Click on any holidays that fall on your class days. Click on the last day of class. 8 Add Students: After you click Done in your class options, a dialog window will ask you to add students. You will find Import under the File menu. Click Import from another file and follow the steps below. Click Import from another file. Click Easy Import of Students and then Next. Click Current Class. 9 Choose Desktop. Find the roster you downloaded from the AAU site Type Roster in Name of Format field. Click on pop-down arrow next to student ID, last name, first name, etc. Faculty Development Academy of Art University 9

10 Add the information you want. For example, in addition to the student s name and ID, do you want a personal address? Make it 1. If you want the phone #, choose Student Custom 1 (Custom 1*). Click. * To change Student Custom 1 (Custom 1) to Student Custom 1 (phone), when you are finished importing students, go to Chart > Records, click on the Students tab, highlight Custom 1 in the Custom Labels column and change it to phone. Voilà! Here are all your students! Click Import Records. Click Done. Click No. Faculty Development Academy of Art University 10

11 You will see that the student list has been imported into the document. Note that the first row is the title bar from the imported document, and it needs to be deleted. Click on the #1 to select the first row. Hit the delete key. Sort Students: will import your students in the order they are listed in your electronic roster. This is not always in alphabetical order. You may decide you want to sort your students by last name. Under the View menu you will find Sort Students. There you can choose how you want your students displayed in your gradebook. 12 Category Assignment Add Assignments: Before the semester begins, enter those assignments that are given every time the course is offered. Don t worry if a spontaneous or one-time-only assignment crops up; you can add assignments at any time in. Click on Add Assignment. Due Date Note to Self When entering assignments, try to be specific when putting in the name. It will help you remember exactly what it was at a later date. Don t forget to change the category for the assignment. Click on the due date. That way, if a student asks, you have the information in front of you. Some instructors like to use the note section to put little reminders about the assignment. Faculty Development Academy of Art University 12

13 You can access and edit this record at any time. Simply double click on the assignment name to open the record window. Double click on the assignment name. that you can also access the student and class records this way. Just click on the respective tab to see and edit those records: Entering Grades with the Grade Click Bar: To view the Grade Click Bar, click on the gray arrow to the left of the course title. You will now see the Grade Click Bar. To enter the grades, click on the box in the student row and the assignment column. Then simply click the appropriate letter grade. 14 Grade Click Bar Click on Overall. Click on letter grade. Click on Add NEW Click on Column. student/assignment cell. This will enter a letter grade for the assignment. will calculate the median percent value for that grade. For example, the default range for B+ is from 87% to 89%, so if you click B+, the value will be 88.5%. You can manually change this percent value at any time. Add Completed Work Grade column: Being able to show students how missing assignments can impact their grades is a powerful tool. Faculty Development Academy of Art University 14

16 Grade before missing Seeing assignments. the Completed Work Grade in contrast to the Missing column may help students understand how the value of the work they have completed is undermined by the missing or incomplete work. 17 Then you see the letter grades. You can switch this back and forth at any time. Print Progress Reports: You can print score charts that resemble the AAU progress reports and let every student know how he/she is doing in your class. Go to File in the main menu and choose Print. In the Report pop-down window you will see Choose a Report. Choose Score Chart. Faculty Development Academy of Art University 17

18 Click on the Options tab. Select ID only for Student identifiers to maintain your students privacy. You can choose any of the options available. It is a good idea to select Sort students and select Randomly. Make your report as relevant to your students needs as possible. Score charts print whole class progress reports. To print individual student reports, choose Student Progress (report card) located in the Report pop-down menu. Faculty Development Academy of Art University 18

19 Find and select Desktop. Select your EGP backups Automatically saves all your changes as you work, folder so you Click never Yes. have to save your changes. If you want to save a backup copy though, create a new folder on your desktop, and title it EGP backups. Then, in, go to File>Save Copy: Name and date your file. Note in the name that this is a copy Then save it on your desktop and name and date it accordingly: Now you are ready to quit out or. To do so, simply click on the Close button: A dialog box will appear asking if you want to save a backup copy. This will appear every time you start to close.
