1 PowerPoint Template Usage Instructions University Relations
2 Instructions for using the UCSF PowerPoint Template UCSF PowerPoint templates have been created to deliver a consistent UCSF message to all audiences. The following templates are available: 4:3 aspect ratio (standard PPT size) 16:9 aspect ratio (widescreen size compatible with HD monitors) Both templates use Arial and Garamond fonts, standard with Microsoft Office If you own the UCSF standard fonts Helvetica Neue and Granjon, identity@ucsf.edu to request the template that uses these fonts 2
3 Instructions for using the UCSF PowerPoint Template The PowerPoint template offers: A variety of UCSF colors Various title slides Layout options including quote slides, slides for content, and graph/data slides Several closing slides It s best to download a new template file when starting a new presentation. The following instructions outline the areas in the template that can be edited. 3
4 Title Slide / Sub-Brand Logo Lock-Up 4
5 Title Slide / Sub-Brand Logo Lock-Up Choose the title page you would like to use for your presentation. Delete the others. The default logo on the top left corner is the UCSF Master Brand Signature. If you would like to use the logo lock-up from your department or entity: Download the reversed (white), RGB version of your logo lock-up in the.png format from UCSF Digital Asset Database (ucsfassets.webdamdb.com) For PowerPoint 2011 Mac users: Go to View > Master > Slide Master in PowerPoint Go to Insert > Photo > Picture from File Click on your logo in your document files and hit Insert 5
6 Title Slide / Sub-Brand Logo Lock-Up For PowerPoint 2010/2013 Windows users: Go to View > Slide Master in PowerPoint Go to Insert > Picture Click on your logo in your document files and hit Insert Move the logo lock-up on top of the UCSF logo; to resize, pull from the bottom right-hand corner of the logo, holding down the Shift key. Do not resize from the side as it will distort the logo. The UCSF in your logo lock-up should be the same size as the UCSF in the master logo. The approximate height is 0.66 for the all navy title slide and 0.5 for the title slides with photos. Click on the master logo and hit Delete. 6
7 Title Slide / Sub-Brand Logo Lock-Up Once you complete your changes, close the Slide Master section and continue working on your presentation. If your office or department does not have an official logo, type the name of your office or department in the Subtitle line heading on the title page. 7

10 Title Slide / Internal Co-Branding Please follow the Internal Partners Co-Branding and External Partners Co-Branding guidelines for proper set-up of partner co-branding. Go to identity.ucsf.edu or page of the brand guidelines. Internal Go to View > Master > Slide Master in PowerPoint Click on the co-branding title slide you want to use. Type the names of the internal partner entities in the text box(es) provided on the right side of the slide. If you are presenting with less than three partners, delete the two placeholder blocks of content that won t be used. 10
11 Title Slide / External Co-Branding External Use a reversed (white), RGB logo file in.png format with transparent background. Partner logos that aren t saved as.png with transparent backgrounds will not work on the dark blue background. In this case, please place the partner logo asset on the white cover background and use that background for all slides in your presentation Follow the instructions on page of the brand guidelines to ensure proper placement of external logos (UCSF as primary, equal, or supporting partner) 11
12 Title Slide / External Co-Branding External logo should be no larger than 0.75 in height (for equal partners). When resizing your partner logo, pull from the bottom right-hand corner of the logo, holding down the Shift key. Do not resize from the side as it will distort the logo. External logo (for equal partners) should be placed to the right of the UCSF signature with clear space the size of the U in UCSF on all sides. Once you complete your changes, close the Slide Master section and continue working on your presentation. 12

14 Title Slides / Photography Several brand-approved photography options have been included in this template for title slides. If you would like to replace photography specific to your group, please consider using brand-approved images downloadable from UCSF Digital Asset Database (ucsfassets.webdamdb.com). Also consult the brand portal at identity.ucsf.edu and the brand guidelines (pages ) prior to choosing photos for your PowerPoint. When placing new photos in the title slide, the image should be cropped and sized to fit the slide and avoid distortion. Sizing is as follows: 10" wide x 7.5" high for 4:3 aspect ratio 10" wide x 5.63" high for 16:9 aspect ratio Images should be no larger than 150 dpi 14
15 Title Slides / Photography To resize an image, pull from the bottom right corner and hold the Shift key down. Do not resize from the side as it will distort the photo. Once you complete your changes, close the Slide Master section and continue working on your presentation. 15

17 Content Slides All slides are also available with both dark and light backgrounds. Consider the audience and environment when choosing slide versions. For instance, dark backgrounds may work well for conference presentations, but are not ideal for corporate or printing purposes. The template suggests font usage, type size for headlines and bullets, and layouts for charts and graphs. Please follow the suggested guidelines to ensure an effective presentation. 17
18 Best Practices for PowerPoint Content Keep points clear and simple Try not to exceed six bullets Use as little text as possible Titling on content slides should be concise and kept to a single line, if possible Edit your copy to fit the recommended type sizes Do not use bullet points as a substitute for speaker notes 18
