3 Spending account invoicing All spending account invoicing occurs through e-bill. This means that regardless of how you receive and pay other invoices from AmeriHealth New Jersey, you must use e-bill with spending accounts. On the following pages, you will find information about invoices being generated in association with your spending account. Sample invoices as well as descriptions of the detailed reports are included for your reference. All spending account invoices and supporting documentation will be available through our secure invoicing website (e-bill at amerihealthexpress.com). If you are newly adding a spending account to your health plan, you will have access to spending account invoices in e-bill after all spending account contracts have been completed and the plan year has begun. Once your first invoice has been generated for processing, if you are a new user, you will receive an with a temporary login ID and password to access e-bill. When you login for the first time, you will be prompted to change your password.
4 How electronic invoicing (e-bill) works e-bill is an online invoice display, invoice warehousing, and invoice payment system that provides a secure way for you to view and download your Invoice Summary and supporting reports. You are established in e-bill at the client level. Separate accounts may be created to distinguish invoices from various billing entities or company locations. You can be assigned to either all of your company e-bill accounts, or for specifi c accounts under your client ID. All of your spending account invoices will end in an A because they are for administrative fees.
5 Locating your invoice in e-bill After clicking the billing tab, you will be automatically directed to e-bill. From this screen you can select the invoice hyperlink and view your invoice. First-time users will be required to accept the Terms and Conditions before viewing the welcome screen below. Locating your invoice history in e-bill To view an invoice that has been moved into history, select Bills, then Invoice History, and then select the account you wish to view. 6 Administrative Fee Invoice You will be billed on the last Monday of the month. Please Note: The HSA administrative fee is an invoice separate from the medical monthly invoice and is to be paid separately. An FSA Administrative Invoice is used for all types of administrative fee invoicing, including HSA administrative fees. The hyperlink, FSA Administrative Invoice, is available to individuals listed as Group Health Designees or Program Representatives. This hyperlink will show a complete listing of individuals included in the Contracts column on the invoice in a CSV format. The report will also show Invoice Date, Account Name/Number, Group Number, Member Name, as well as all products in which a member is enrolled under his/her spending account.
7 Payment options Payment for your spending account invoices can be made using one of the following options (note: Recurring ACH debit is the preferred payment option): Recurring ACH Debit You will enter your checking account information into e-bill, where it is encrypted for security. You will set up the recurring payment trigger allowing the system to automatically make payment once an invoice is generated. An will be sent notifying you when a payment is made and will include the amount of the payment. e-bill also sends a verification that the transaction has processed. Manual ACH Debit You will enter your checking account information into e-bill, where it is encrypted for security. You will need to manually trigger payment. e-bill also sends a verification that the transaction has processed. Wire Remittance Use the following information to make a wire payment: Wells Fargo ACCT ABA
8 How to set up an electronic payment To begin setting up an electronic payment: 1. Select the Payments tab, then the Payment Method List. 2. Click the Add button. This will allow you to add the checking account information. The nickname fi eld is a free text fi eld that you may use to name the account for your own identifi cation purposes; for example, spending account. The information required is your Banking Institution Name, Routing Number, and Account Number.
9 How to set up a recurring payment A recurring payment is the preferred method of payment for spending account invoices and may be required for some products. The e-bill system will automatically trigger payment from the checking account you already entered (payment method list) when the invoice is due. A recurring payment will always pay the amount due, and will prevent reimbursements from being delayed or suspended because of an invoice non-payment. To establish a recurring payment, select the Payments tab, Recurring Payment list, and then select the account to utilize for the recurring payment. Finally, click on the Add button. Select the checking account to be utilized for payment. Next, select the number of days before the due date you would like the payment to be triggered. Then, select the Ongoing radio button to ensure there are no payment interruptions. Once the information has been entered, select OK and confi rm the entry. A confi rmation screen will appear after the system has accepted the entry. How to set up a manual payment To initiate a manual ACH Debit through e-bill, click on the Bills tab end select the Account dropdown to show your Funds (claim payments) or Administrative (monthly administrative fees) invoice account. On the line of the invoice, select the box under the To Pay column and click on the Pay button. You will then need to confi rm the selection by clicking on the OK button.
10 Providing your bank with a company ID code If the bank account you use for spending account transactions has a debit blocker for security purposes, you must provide your bank with the following company ID code to ensure timely payment: S Questions?
