1 Welcome to the ECQ Grants Management System Guidebook! This is a step by step how-to-use the new ECQ Grants site in Sharepoint. You can submit your application, and check the status of your application. No application will be sent for consideration to the Ministry on behalf Dawson College unless it has been processed through this new protocol. 1
2 Step 1: Accessing Sharepoint A. Load up the Dawson College Homepage, and click on the My Dawson Portal, located at the top right hand side of the page B. Enter your user name and password on the portal page C. Scroll down to Non-Academic Services, on the left hand side-bar, and click on Sharepoint D. On the top of the page click on the tab entitled Academic and then OID/ECQ 2
3 Step 2: Downloading the Guidelines and Application A. Once you have accessed the Dawson College Sharepoint, and made your way to the ECQ Site, you can download the most recent Guidelines and Application forms. On the left-hand sidebar click on the tab entitled ECQ Documents B. Click on the File Folder entitled Forms & Guides 3
4 C. You can now click on the Guide and open up the application forms folder to access the newest version. D. You can download the documents by a mouse right-click, prompting a number of icon options. To save, simply click on the floppy disk symbol. 4
5 Step 3: Submitting your completed application A. Once you have completed your application (and collected and necessary Letters of Support) and included your multi-year strategic plan (if your project will run for more than one academic year), it is time to submit. You will access the ECQ Grants Management Site, and click on the giant arrow button Create a new proposal. B. You will be prompted to this page, please read the terms, enter the title of your project and click Agree. 5
6 C. Please proceed and fill out each of the required sections highlighted below. You can stop & save your application at any time. The Save button is located at the bottom right hand side of the page. The proceeding sections that have required fields serve two purposes. First to track the resources that each project will require in one centralized location, easily accessible to the Project Leaders, Internal ECQ Coordinator, Academic Dean and Director General. Secondly, it provides the aforementioned individuals a quick and efficient means to acquire information on any given project. 6
7 D. Once you have completed the Project Information, Release & Team sections, please upload your full completed application. Please remember to include the signature of the Project Leader on Page 2 on your final document. E. Before clicking on the Submit for Approval button, you can go through the My Checklist to ensure that you have completed all of the required sections. 7
8 F. Once you are satisfied with your application please click on the Submit for Approval button, located on the bottom of the page. G. If you are required to stop and save your document, when you return to edit your proposal, access the Sharepoint site, and click on Proposals H. You will see your proposal in the list, click on your proposal to open. I. To continue editing, click on the Edit item button at the top of the page, and continue your application. 8
9 Checking your proposal status A. You will receive an that your proposal has been approved by the Internal ECQ Coordinator and the Academic Dean. However, if you would like to check for yourself the status you can. Access the ECQ Grants Management System. Click on the Proposals button, left hand sidebar. B. The status of your proposal, Pending, Approved, Waiting on Ministerial Approval, will appear in the columns next to your proposal name.
