4 Logging into ETO Internet Explorer (abbreviated IE) is the required browser. No other browser is compatible with all of ETO s functionality. IE 8 in compatibility mode or IE 9 is the best way to access ETO. The web address (or URL) we will use to access the training site is: etosoftware.com Creating Shortcuts & Favorites to ETO From the log-in page, it s recommended that you do the following on your computer, as well as your staffs computers, especially for those who are less tech savvy. Once you have the ETO log in screen, do the following: 1. Add the web address to My Favorites 2. Create a shortcut for the desktop Right clicking on the screen will provide these options: Page 4

5 Core Features This training is meant to prepare Project H.O.M.E staff who are new to ETO Software to build the foundation necessary to use ETO successfully. Staff members should leave the training feeling comfortable using the Demographics, Assessments, and Points of Service. Additional a la carte features will also be presented during the class and are outlined in this book. A glossary of terms is in the back of the workbook for your reference. Introduction to Core Functionality As you have probably gathered, ETO Software has a nomenclature that is very specific, and a bit of time and practice is required before new users can communicate using this language. At the end of this book, you will find a glossary of terms for your reference. The instructor will now provide a brief demonstration of ETO that will include the following functionality and concepts. You will have the opportunity to practice using the features associated with the following concepts over the course of the training. There are three core features that most all ETO Software sites include. These can be considered the meat and potatoes of ETO and will be the focus of this training. As we go through each, we have a chance to review the data your organization wants to track and which core feature will be used to capture that information in ETO. 1. Demographics: includes vital fields that would appear on the first page of an Intake form 2. Assessments: forms other than an Intake, like a psychosocial, client satisfaction, or Pre/Post questionnaires 3. Points of Service (Efforts): this is how ETO captures case notes, attendance, and forms your organization may have developed to track details of service delivery Page 5

6 Core Function #1: Demographics Demographics are captured on Participants. They consist of census-like questions such as Race, Gender, Health Information and Emergency Contact Information. Think Demographics and think of a paper Intake Form. 7 Before we launch into the details of the remaining 2 core functionalities, let s consider: What does ETO really mean? The words Efforts to Outcomes just scratch the surface in terms of understanding how ETO is captured in the software and what it can mean in regard to performance management for your organization. Q: How will effort be tracked? A: Effort can be tracked in one of two ways in ETO Software: 1. Tracking time spent working with participants. 2. Counting the number of contacts with participants Q: How will outcomes be tracked? A: Outcomes are typically tracked in one of two ways in ETO Software: 1. Assessments containing weighted elements that capture details of knowledge, attitude, beliefs, or behavior. When taken more than once, responses can be compared. 2. Points of Service, captured as Efforts, created to measure progress over time These are examples of Outcomes that are tracked by users of ETO. Each could be tracked in a Point of Service or Assessment, depending on the frequency with which the data is collected, and the level of detail captured. Page 7

8 Core Function #2: Assessments Project H.O.M.E. Assessments will be entered on behalf of Participants. They can be used in one of two ways: First, they can be used as a continuation of Demographics. Think of a Psychosocial Form that may include Family, Employment, Education, and Medical History questions. Secondly, Assessments can be used to track a change in attitude, knowledge, and behavior. This is done by asking the same set of questions more than once, at specific points in time, and comparing the responses. Consider the SSVF Supplemental Assessment. When taken more than once, Assessments allow for comparative analysis of responses to individual questions, as well as groups of questions, and all questions. This Participant Assessment page can be accessed from a few locations, including: Your Custom Home Page link Perform a Quick Search, click the Participant s name, select (View) Record Assessment From the Action Links or Recent Assessments ETO Part on My Dashboard or the Participant s Dashboard Page 8

9 Core Function #3: Efforts Efforts are recorded using Points of Service and can be entered on behalf of Participants. Efforts can be used to track progress resulting from case management services that are delivered 1 on 1. They can also be used to track attendance at group activities such as classes and support groups. There are many ways to utilize Efforts to track service provision. It s notable that ETO does time tracking (the support group was 60 minutes, the home visit was 90 minutes, the phone call was 20 minutes, etc) using Efforts. PVMSEC, Project H.O.M.E., Impact Services will be using two Efforts. They are: Picture Efforts Tracking Long Term Outcomes The winding road represents the journey that many of your participants will take as they work toward their goals. Their progress will be tracked by the Efforts that you record into Points of Service Points of Service built to measure long term goals and recorded as efforts can be created using one of several options, but the SSVF programs will use Values: Values (ex. Financial Assistance for each contact, the staff will select the most appropriate text value.) Value choices are managed by Project H.O.M.E. s ETO Administrator(s). Page 9

10 Data Entry Screen for Recording an Effort into a Point of Service The following fields appear on the Record Efforts screen: Name of Participant Name of Point of Service Contact Location/Method How or where did this interaction occur? This field is customized by the ETO Administrator through a feature called Manage Feeder Tables below Site Administration on the Navigation Bar Date of Last Contact Date of Contact Date of Next Contact This field is not required. If entered, it populates the To Do List with a reminder to record another effort into this POS with the same Participant. Time Spent How many minutes were spent with the Participant? This field is hidden on some of your Points of Service. Value This field will appear as a drop box if POS is Values type, a Yes/No or checkbox if POS is Yes/No type, or a blank field if POS is Numeric type Last Value Notes this is where case notes are entered in ETO. This box will grow to accommodate up to 7,250 characters Page 10

11 Structure & Scope Site, Program o o o Each new customer is provided with an Enterprise, which could also be considered as a website, web address, or URL. When a user visits that website, they will be prompted to provide a username, password to access their site. Once logged into the Site, the user will land inside a Program that has been assigned by their ETO Administrator. ` Many of the programs for Project H.O.M.E are defined by the funding streams. 12 Navigation Options There are several convenient options for navigating ETO Software. We will review three of those options. Custom Home Page Your customized home page includes links to features you will use most often. The features are: View Pending Referrals from Other Project H.O.M.E. 13 Dashboards My Dashboard Accessed via the My Dashboard quick tab By default, contains assessments, efforts, and participants most recently added/updated Will also be used to access your Caseload Dashboard Search Recognizes partial as well as full names Looks across all programs the user has access to Also includes Participants who are no longer active. 14 Tabs The New tab should not be used as one of your Navigation Options. Quick Search can be a little tricky to use at first, but once users become comfortable, it can be the most efficient way to work with Participant. Starting below the New tab, read the text from left to right Enter Search Term(s) within Participant in Intake. The most frequent search term is full or partial last name. Leave the Enter Search Terms box empty to return a full list of Participants in the Program. Finally, the search can be specific to the selected Program or can be done across the Site. An added benefit of the Quick Search is that it auto-recalls the last 10 Participants worked with. To Do List is populated with reminders entered by staff Recording Efforts, entering Assessments, and Adding Referrals. This feature is a great time management tool for staff, and can be utilized by program managers who want to use ETO to supervise staff. The Messages feature is used to send text within ETO. The tab turns red when new messages arrive. There is no outbox for messages sent in ETO, some content is best sent using . My Favorites is a screen to keep links to frequently used features. My Dashboard is described above. Quick Search The most popular search option is the Quick Search, which is one of the green tabs at the top of the screen. If no drop box with the program name appears below the green My Dashboard tab at the top of your screen, click the Quick Search tab and look again, it should be there. Click on a Participant in program specific search results to access drop down links for that Participant. The last drop box can be changed to the name of the site, which will broaden the search across the site, and to include Participants who are dismissed in addition to those who are active (see 3 in the image). Default search terms include partial or full first name and partial or full last name. Some customers prefer to change search settings to SSN or Case Number. Leave the search terms box empty to pull results of all Participants active in the currently selected program. Note that searches across the site require entry of a search term. ***Test the Quick Search within the selected program by entering different letters and pressing Enter on your keyboard, or pressing the Search button. Note the difference between the drop box above and below the green My Dashboard tabs. The one below My Dashboard is associated with the Quick Search. The one above indicates the currently selected program. This is a common source of confusion for many users. Page 14

15 Links in ETO Links in the Upper Right Corner Log Off: always log off to securely end your session, this action populates the Standard Report (Login/Logout) Home: this returns the user to the home page, which is likely customized with links to features My Account: to change your ETO password, access your Live Office preset password, or select preferences, like whether the Navigation Bar is expanded or collapsed by default when you log in Help: this is a huge manual that contains documentation on all features and reports, recorded trainings; FAQs, etc. (use quotation marks around phrases when searching to return results based on a string of words). This wiki was created using Google Sites. Some customers create their own web based manuals using the same tool, which is free and easy to use. We highly recommend you create a customized manual for your users if you have the time. Chat: this link allows you to begin a chat with a member of the Customer Support Team. Chat is available Monday-Friday from 9am-5pm ET. Links across the Bottom Note that these links all direct outside of ETO. Described from left to right: Social Solutions: link to the company s website. The recorded webinars on the News & Events page are especially inspirational and free for you and your colleagues to access at any time. You will be impressed if you check them out! Online Community: this is a networking site for ETO users that includes forums to post questions regarding usage of ETO. For example, does anyone work with x population or provide y services? How do you track that in ETO? What metrics do you use? Training Calendar: View the schedule of free webinar trainings, user groups, and fee based training events such as ETO Administrator Certification Prep, ETO Results Orientation, and ETO Results Advanced. Click on any calendar item to see details and to access the link to register. All times are listed in Eastern Time unless otherwise specified in the description. Registration is required 2 or more hours prior to session start time for our free events. Support: Send an to our support team average response time is 30 minutes, but allow for 2 hours. Hours of operation are 8-8 Monday through Thursday, and 8-6 on Friday. Times are Eastern. If you need a more immediate response than 2 hours, please call ext 2. If you prefer, you may us directly from your provider at support@socialsolutions.com Note - An internal process is being developed to handle questions regarding ETO. 16 Review of Project H.O.M.E Specific Features Let s take a look at your site. We will have a chance to review and practice using the features that you will use most often. Find and Enroll Enroll can be considered a pull action. Enroll means that a Participant exists in ETO - by either being in another Program, or currently dismissed, and you wish to bring that Participant into the currently selected Program. This will add to the Program History for the Participant. Hands on activity! Click the Go button, enter search criteria first if you d like. Check the box for any Participant you wish to Enroll into the selected Program. If enrolling multiple participants, decide if they will be enrolled for the same or different dates. Select the appropriate Enroll option, enter the participant s Program Start Date and then select Add New Participant. Page 16

17 Add Participant/Household This feature is used to add participants into ETO. While Households can contain multiple Participants, for Project H.O.M.E. this feature will often be used to enter just one Participant into a single person household. This is where the Demographics are entered for each of your participants. Since the SSVF programs will not be working with families, always select the first option from the dropdown list, Self/Head of Household. It is important to make every effort to complete each demographic field. * Descriptions have been added to ETO for some demographic fields. You can click on or hover over the blue demographic names to view the descriptions. Page 17

18 Hands on activity! Select the Add Participant/Household link from the Custom Home Page. Click the arrow next to Click to Add Household/Family Member by Family Relationship Select Self/Head of Household from the dropdown list Complete all demographics for your participant. Confirm that the Program and Start Date are correct and then select save. Page 18

19 View or Edit a Participant s Demographics The View/Edit Participant feature can be accessed from: Custom Home Page Link My Dashboard Participant Dashboard Select Go after entering the search criteria. Leaving the box empty will return all participants currently enrolled in the program. Most information can be changed on the View/Edit screen. Address changes are completed by selecting Edit Address history. The Audit Report allows users to see any changes that have been made to the Participant s Demographic information. Page 19

20 Add/Edit Household Members (for families only) This feature is typically used to do one or more of the following: Add participants not yet in the site to an existing family/household Remove a participant no longer in the family Modify the name or family relationships in an existing family Disable a family Delete a family (relationship, not the participants in the family) To make edits to an existing Household, select the Add/Edit Household link on the Custom Home Page. Select Search after entering the search criteria. Leaving the box empty will return all participants currently enrolled in the program. Click on the name of the Family to access editing options. 21 Participant Assessments After adding a Participant, we now have the ability to attach additional types of data to that Participant s record in ETO, such as Assessments & Efforts. Assessments may mirror paper forms that your organization uses, such as intakes, psycho-socials, or behavior plans. Entering a Participant Assessment may be done from several locations: Participant Assessments link on your Custom Home Page Assessment link, accessed by clicking the Participant s name in Quick Search results From the Action Links or Assessment ETO Part on My Dashboard or Participant Dashboard After accessing the Assessment screen, use the drop down box to select the appropriate assessment. Central Intake Assessments PVMSEC, Project H.O.M.E. and, Impact Services Assessments We will be completing some of the listed assessments today: SSVF Basic Screening Eligibility (Central Intake) This assessment will help to determine eligibility for PASSVF services and is used for New Intakes and re-certifications. SSVF Supplemental Assessment (PVMSEC, Project H.O.M.E., Impact Services) This assessment is completed at regular intervals after the participant is assigned to a program. Housing Stabilization Plan (PVMSEC, Project H.O.M.E., Impact Services) This assessment can be completed as an Initial Assessment and at discharge/transfer. Updates can also be recorded. It can also be used as a CTI assessment. Page 21

22 Printing and Uploading Assessments Printing Select Participant Assessment from the Home Page, then search for the participant. Once the Review Assessment screen is displayed, click the dropdown arrow below Take Action. Select Full Report. Once the document opens, it can be printed using the printer icon in the upper left hand corner. Page 22

23 Uploading Once the printed document has been signed by all parties, it can be uploaded into the original assessment. Select Participant Assessment from the Home Page, then search for the participant. Once the Review Assessment screen is displayed, click the dropdown arrow below Take Action. Select Update. Once the assessment opens, scroll to the bottom of the page to find the Upload link. Select Upload. Next, select Browse. Once the document is located, double-click the name of the document. Once the document name appears, select upload. Page 23

24 Some assessment may be completed after a participant has left the program. To locate that participant s record, be sure to check the box that says Include Dismissed Participants in results, when completing your search. Let s take a quick look at some of the other assessment that you will be using. 25 Participant Efforts Points of Service are used to track activities or time spent providing services. Entering data into Points of Service is referred to as Recording Efforts. Depending on the type of activity, Efforts may be entered on behalf of an individual Participant, such as a case management interaction or counseling session, or for a group of Participants, such as a class or support group. Date of Contact, Location/Method of Contact, and Notes are captured for all Efforts. The SSVF PVMSEC, Project H.O.M.E. and Impact Services programs will be using two Efforts. They are: Financial Assistance HDRP Services Let s practice entering these Efforts! Page 25

26 Add Referrals to Service Providers/Other Project Home Programs Add Referrals to Service Providers/Other Project Home Programs. Click on the Participant name. Select Program and click the Submit button. Select the Program from the drop box. Note that the only programs that appear are those where the Participant is not currently enrolled. Fill out all of the applicable fields. If the Program receiving the Referral does not accept it by the Pending Drop Off Date, the Referral becomes null and disappears from the pending list. Users do have the option to dismiss a Participant at the time of Referral. View Pending Referrals from Other Project H.O.M.E. Programs Switch programs and go to Record EffortsView Pending Referrals. Select which referrals you want to see based on where they were made. For our purposes, we will select the Program option. Click Submit. Click to Accept and provide the Participant with a Program Start Date. The Participant is now enrolled in the selected program! Click Not Accepted to deny the Participant enrollment in the selected program. A pop-up box will appear with a drop box populated by the Reason for Dismissal (Referral Rejection) feeder table. 27 Add Referral to Services/Other Project H.O.M.E Programs Referrals to Entities are different than Referrals to Programs because there isn t a View Pending Referrals functionality. Instead, the Referral Status needs to be updated by your staff with the View/Edit Referral feature. Hands on activity! Select the Add Referral to Services/Other Project H.O.M.E Programs link on your Custom Home Page. Search for and select your Fake Participant. When prompted to choose a Type of Referral, select Service Provider. If Entity Sub Type of Referral is enabled, you will be prompted to select one or more sub types. This setting is turned on by the ETO Administrator from the Manage Programs feature (below Site Administration on the Navigation Bar). Select a Service Provider from the yellow drop box or pick the last option to add a new Service Provider on the fly. Enter data into applicable fields: Reason for Referral, Referral Date, Referral Status, Date of Next Contact, and Time Spent on Contact, Notes. Note that none of the fields are required. Referral Status is key in tracking whether the Participant receives services from the Entity as a result of the Referral.. Click the Submit button after completing the page. Page 27

28 Dismiss Participant Dismissing a Participant is not the same as deleting. Dismissed Participants have an end date in the current program. Dismissed Participants may be re-enrolled if they return to the program in the future. The Dismiss Participant feature can be accessed from: Custom Home Page Link My Dashboard Participant Dashboard The bottom of the View/Edi Participant screen The Dismiss Participant feature should be used when a participant leaves a residence. If only one Participant is being dismissed, either button can be used. If a family is being dismissed, you can search by Family Name and dismiss the entire family at one time. Several features (View/Edit Participant, Participant Assessment, Participant Efforts, etc) include a checkbox below the search criteria field. The box is labeled with the option to Include Dismissed Participants in results. Once dismissed, Participant records are still accessible. Hands on activity! Click the Search button, enter search criteria first if you d like. Check the box for any Participant you wish to dismiss please do not pick a Fake! Click either Dismiss button at the bottom of the page. Enter the End Date(s) for a date since the first of this year and click the Dismiss button. Page 28

32 GLOSSARY Assessment One of the major data collection tools most all ETO sites include. Assessments can capture data about participants, families, entities, general, and staff. Assessments in ETO will probably include fields found on paper forms used by your organization prior to ETO, or they may be performance management tools taken from the Library of ETO City. To capture a score on an assessment, elements should be numeric or include weights. Assessments are most typically used in one of two ways: As a continuation of demographic data, like in an extensive intake form Questionnaires that track knowledge, belief, attitude, and/or behavior that are completed more than one time (at the beginning and end of service, for example) and allow for comparative analysis to determine the impact of services Assessments in the context of ETO: My class took the Impact of Education assessment in September and again in June; I am happy to say that the majority of participants are responded more positively at the end of the school year. Participants with more behavioral referrals tended to respond more negatively. Demographic Characteristics of Participants that are not expected to change as a result of service. ETO comes with Standard Demographics, which can be disabled if they don t meet an organization s needs. Additional Demographics are created with the Demographics Wizard. Demographics appear on the Add New Participant, Add New Household, and View/Edit Participant screens, among others. Entering Demographics is considered the most basic function for a staff using ETO. Additional data cannot be entered about a Participant unless the Standard Demographic fields for first and last name have been entered. Demographics in the context of ETO: I entered data from Intake forms that were completed on paper into the Add New Participant screen, which is made up of Demographics. Effort Entry of Point of Service data, which is also known as recording efforts. There are several record efforts features in ETO: Efforts can be recorded for Participants, Entities, or General. Efforts can be recorded for one Participant (Entity) at a time, or Multiple Participants (Participants). Most Point of Service elements are built with a field to capture time spent on contact. Time spent on contact and number of contacts both track effort on behalf of staff entering their work. ETO has the capacity for many efforts to be recorded for a given participant on the same day; effort data is typically entered with more frequency than any other type. Efforts in the context of ETO: I wonder why staff John Doe seems to be more effective with his participants than his peer Jane Doe. According the efforts they have entered, his participants have made more progress but spent an average of 4 hours less with each participant last month when compared to Joan Page 32

33 Effort Qualifiers Fields that are created and attached to Point of Service elements to capture additional information about efforts or contacts. Also known as EQs, Effort Qualifiers are best used for counting, or to prompt staff to provide specific details about the contact. EQs are unique because they are built and edited with one feature Manage Effort Qualifiers, and can be attached to efforts with the Point of Service Wizard or Manage Point of Service feature. Effort Qualifiers in the context of ETO: Effort Qualifiers allow me to track which topics were covered in class so I can easily count how many times a specific topic is repeated, or be aware of what topics I ve yet to cover. Enroll To bring a participant existing in ETO into the selected program, and enter a program start date. Enroll in the context of ETO: Fred got services here three years ago and moved to Florida. When he returned, rather than adding him as a new Participant in ETO, I enrolled him. Entities Typically a third party that somehow impacts Participants, such as Employers, Education Institutions, or other community based organizations where Participants are referred. Some organizations whose mission is to improve the safety of communities work primarily with Entities. Like Participants, Entities can be tracked with assessments, efforts, and processes. Entities in the context of ETO: The workforce development program maintains important information about employers and potential employers using Entity functionality which allows for queries based on data points such as industry type, and whether benefits are provided. Family Participants that are in some way related or share a home; families are recognized as a unit of linked participants. Family functionality allows for the number of families served to be captured in addition to the number of individuals. The term family is synonymous with the term household in ETO. Group - A subset of Participants who receive services simultaneously Groups in the context of ETO: Entering attendance data is easy once I create groups, which are basically rosters. I can also run demographic reports and reports containing effort data based on a group. Home Page - The link in the upper right corner of the ETO interface takes users to the page that s seen by default when users first log in. Important information, including links to functionality can be incorporated onto the home page. Household - Participants that are in some way related or share a home; households are recognized as a unit of linked participants. Household functionality allows for the number of families served to be captured in addition to the number of individuals. The term family is synonymous with the term household in ETO. Household in the context of ETO: The household feature in ETO allows me to see easily see if children in the day care center have parents who are enrolled in other programs at my organization. Log Off The link in the upper right corner of the software that all users should click before closing their browser to ensure the data remains as secure as possible. Log Off in the context of ETO: As the ETO Administrator, I regularly run the standard Log In report to ensure my users are logging off properly. Page 33

34 Outcome The O in ETO, outcomes can be tracked in Point of Service elements that are built to measure and increase or decrease in attitude, performance, knowledge, etc. Also, assessments that include weighted elements that are completed more than once allow for comparative analysis, and outcome tracking. Outcome in the context of ETO: Based on the ETO Report, our board can easily see whether we are making the impact we hope to make in our four outcome areas. Participant Member of the target population, recipient of service. Participant in the context of ETO: Most of our participants will go through the same process, beginning with an intake and finishing with an exit interview. Point of Service This is where time and energy spent is tracked within ETO. Whenever possible, it s best to set up a Point of Service so that time spent can be related to progress (such as going from unemployed to under employed to gainfully employed). Points of Service are entered by Recording Efforts, and are reported with ETO Reports (as well as several Standard Reports). Point of Service in the context of ETO: We used to enter case notes in Word documents and attendance information in Excel. Now staff enter that information into Point of Service using the Record Efforts features and the reporting options are great! Referral To push a participant to another program within ETO (versus Enroll, which is a pull), or to an Entity Employer, Education Institution, or Service Provider. Referral in the context of ETO: All of our participants start in the Intake program, and are referred to other programs based on what the intake coordinator learns in the needs assessment. Review Participant Efforts The most popular report in ETO! It contains detailed data about a selected participant within a date range, including efforts, employment, referrals, assessments, etc. The original view shows summary statistics, there is the option to drill down to see more details, such as case notes. Review Participant Efforts in the context of ETO: I run the Review Participant Efforts report to read about the efforts my colleagues recorded for participants we serve, which helps me to feel in the loop. Standard Report A canned report that came with ETO. While there is a feature on the Navigation Bar named Standard Reports, the Demographic Reports, ETO Reports, Assessment Reports, etc., are also considered Standard. Standard Report in the context of ETO: While there are many Standard Reports in ETO that I use regularly, such as ETO: Participant, Program Enrollment Report, and Demographic Reports, I have been several custom reports that allow me to pull the exact information that I need for our funders. User Account A unique log on that is provided with access to specific features and programs in ETO. It s recommended that users who enter data each have a user account so that staff are accountable for their data and program managers can supervise them through ETO. User Account in the context of ETO: The toughest part of our user training was getting everyone logged in with their user accounts. I made some mistakes spelling names, and forgot how I set up a few staff who have hyphenated names. Page 34
