2 SUMMER ORIENTATION LEADER POSITION and PORTFOLIO DESCRIPTIONS 2015 *** The Position and Portfolio Descriptions pages do not need to be included in your application. *** Position Title: Department(s): Summer Orientation Leader Student Experience Office Term of Position: April 30 th, 2015 September 11, 2015 (35 hours/week) This position will be required to work during some Saturdays (throughout June, July & August). Remuneration: $12.50/hr The Student Experience Office (SEO) provides students with transition support and engaging programming opportunities that complement the academic experience and foster a sense of belonging and community. Carleton University s new student orientation program focuses on: the holistic development of all students and facilitation of the transition process which includes; integration of all students intellectually, culturally, and socially into the Carleton community. Reporting to the professional staff in the SEO, Orientation Leaders are integral to the successful implementation of the Summer Orientation Program. Summer Orientation is a program designed for new students and their parent(s). Each one-day Summer Orientation session is designed to promote the student s personal academic success and individual development. Informative presentations, small-group activities, academic advising, and support with class registration are designed to help students start university informed and confident. The program also strives to help parents by assuring them of the academic support available to their student. As well as implementing Summer Orientation, Orientation Leaders will be involved in project work related to one of the following portfolios: Administration, Co-Curricular Record, Community Engagement, Partnership Liaison & Social Media, Student Life, Mentorship Initiatives, Student Success & Special Events, International & Exchange Orientation, and Student Affairs Awareness Campaign. REQUIREMENTS: Enrolled as a full-time student at Carleton University for the upcoming 2015/2016 academic year. In good academic standing (as defined in the Carleton University Undergraduate Calendar). Excellent communication, interpersonal and group process skills. Strong problem solving skills and ability to work well under pressure. Knowledge of the University, its administrative processes, and the services that are offered to students. Sensitivity to the needs of all new Carleton University students and their families. High levels of professionalism, and a strong understanding of customer service and public relations. Ability to be an ambassador for Carleton University, promoting positive values and leaving a positive impression with all participants. Event planning experience is an asset.

3 CORE RESPONSIBILITIES: Actively participate in on-going staff training to increase knowledge of campus support services, academic advising, presentation skills, and other topics related to assigned portfolios. Deliver presentations, provide campus tours, and contribute to running daily sessions (i.e. registration table, providing directions to participants, set-up/clean-up, etc.), and overall, ensuring participants have a meaningful experience. Plan and implement events: arranging venues, food, transportation, audio-visual equipment, and recruiting/managing volunteers. Work with campus and community partners ensuring communication is clear, accurate, and timely. PORTFOLIO RESPONSIBILITIES: Each Orientation Leader will be responsible for one portfolio in addition to the core responsibilities. Administration Primary focus of the portfolio would include: support with the coordination and organization of administrative office processes. Provides support to the department by answering inquiries made by phone, and in-person. Assist in the coordination of meetings (booking rooms, updating agendas, recording, minutes, etc.). Maintain general filing system for safekeeping of departmental records and resources. Assist with the implementation of office policies and procedures. Responsible for the on-site oversight of the Summer and Fall Orientation registration processes. In this role, the staff member will report to the Manager of the Student Experience Office. Co-Curricular Record (CCR) Primary focus of the portfolio would include: project development on the Co-Curricular Record (CCR), including the development of a comprehensive marketing and communication plan, and planning and execution of Expo Carleton student services and involvement fair. Plan, organize and execute Expo Carleton during orientation week (for clubs, societies, campus groups and Carleton services). Complete the following CCR promotions: assist in the development and implementation of a strategic marketing campaign, liaise with campus leaders to look at new initiatives, and develop new innovative approaches to educate students. Communicate with campus organizations to update the CCR database. Coordinate meetings with academic departments and campus partners to provide resources and information about the CCR. In this role, the staff member will report to the Student Engagement and Transition Support Coordinator of the Student Experience Office.

4 Community Engagement Primary focus of the portfolio would include: Carleton Serves, Days of Service and the Alternative Spring Break program. Research and develop relationships with community partners. Plan service-learning initiatives (Days of Service and Carleton Serves) for the academic year. Assist in the planning and execution of Carleton Serves, a one day service-learning initiative that occurs in late September, in collaboration with various partners in Ottawa. Assist in the creation of Community Service Learning and ASB promotional materials and in the development of an extensive fundraising and sponsorship timeline for the ASB program. Develop student success presentations, as well as recruit, select and train presentation facilitators In this role, the staff member will report to the Student Development and Community Outreach Coordinator of the Student Experience Office. Partnership Liaison & Social Media Outreach Primary focus of the portfolio would include: liaising with sponsors and supporting the media strategy for the Student Experience Office. Act as the primary liaison with all Fall Orientation sponsors on campus for Fall Orientation Week. Seek out sponsorship for SEO student events and programs and provide ongoing support to sponsors. Assist with the invoicing for vendors, including sponsorship contracts. Coordinate necessary requirements for every Fall Orientation vendor. Identify and secure free promotional products for orientation kits and student events with local and national businesses. Assist with the development and furthering of the online identity of the Student Experience Office. Responsible for managing various social media accounts. Create a variety of social media contests for the 2015/2016 academic year. In this role, the staff member will report to the Manager of the Student Experience Office. Student Life Primary focus of the portfolio would include: IKEA Student Madness, Carleton s Got Talent, and Campus Activity Board program and communications planning. Plan, promote, and execute IKEA Student Madness in cooperation with Algonquin College, la Cite College, St. Paul s University, University of Ottawa and IKEA Ottawa. Plan and execute Carleton s Got Talent during orientation week. Assist in the development of the Campus Activity Board program through entertainment research, logistical planning, partnerships and communications planning. Assist with the logistics of Orientation Volunteer Training (both leadership and volunteer training). In this role, the staff member will report to the Student Engagement and Transition Support Coordinator.

5 Student Success & Special Events Primary focus of the portfolio would include the organization of Academic Orientation Day, a university-wide event to welcome new students. Assist in planning of Academic Orientation Day, which includes organizing the t-shirt distribution, Department and Faculty Orientation sessions and Academic Workshops. Research, design and develop templates for Academic Orientation Day workshops presentations. Act as member of the Academic Orientation Day planning committee with the faculties and important stakeholders. In this role, the staff member will report to the Student Development and Community Outreach Coordinator of the Student Experience Office. Mentorship Initiatives Primary focus of the portfolio would include: mentorship program and resource development. Assist in the development of training plans for student mentors, including the development of an extensive training manual. Assist in the development of an extensive database of student support resources, workshops, and tools, to be accessible online for student mentors and campus partners. Develop outreach materials and messaging to advertise mentorship opportunities. Coordinate meetings with academic departments and campus partners to provide resources and information about mentorship programs on campus. In this role, the staff member will report to the Mentoring Coordinator. International & Exchange Orientation Programs Primary focus of the portfolio would include: administrative support and event coordination for the orientation programs offered through the International Student Services Office (ISSO). Provides support to the department by answering inquiries made by phone, and in-person. Assist in the preparation, set-up and coordination of events and activities during orientation week. Coordinate the international student orientation and exchange student orientation online registration process. Oversee the sign in process for the international student orientation and exchange student orientation sessions. Assist with the implementation of office policies and procedures. Assist other ISSO staff with assigned portfolios as directed. In this role, the staff member will report to the Coordinator, Intercultural Programs.

6 Student Affairs Awareness Campaigns Primary focus of the portfolio would include: Student Affairs awareness campaigns for Be a Good Neighbor and Alcohol Awareness for Parents, as well as revision of the Student Affairs website. Research and develop best practices for communicating with parents about student drinking habits. Plan and develop a way to disseminate information about our awareness campaigns to students and parents. In this role, the staff member will report to the Student Support Case Manager in Student Affairs. PLEASE ENSURE ALL REQUIRED ELEMENTS ARE INCLUDED IN YOUR APPLICATION PACKAGE.
