1 American International School of Lagos Deputy Director of Alumni Relations Lagos, Nigeria November 2015 American International School Lagos, an independent pre-k to high school located on Victoria Island in Lagos, Nigeria, was founded in In recognition of 50 years of operating as one of the best schools on the continent, the school is now focused on reviving and renewing its relationships with its alumni community. AISL is recruiting its first Deputy Director of Alumni Relations to join its team. This position will be responsible for all aspects of building and sustaining a new alumni relations program that will focus specifically on School graduates, current students, and former students, but also include families (past and present), faculty and staff. Primary duties include: alumni database management, marketing and communications functions such as serving as the School s administrator for the web site and social media, and special event management. Incorporating the alumni relations program into longstanding AISL traditions such as Nigerian Day and graduation will require the Deputy Director to work with other administrators and offices on a regular basis. The Deputy Director of Alumni Relations will report to the School Superintendent. The position begins in January Throughout the calendar year the Deputy Director will receive ongoing professional coaching. The position is full time (40 hours/week) and may be performed both on the AISL campus and from one s home office. Occasional evening and weekend work will be expected throughout the year. Responsibilities and tasks for this position include: Alumni Database Management: Maintain database /all files related to School graduates and former students who attended at least one year at AISL Capture contact, biographical and career information of alumni via surveys, projects (e.g. alumni directory), correspondence, website, social media, postal returns, etc. Develop systems for finding lost alumni 1

2 Converting lapsed contact information for School graduates and former students into usable information that can easily be tracked, reported on and updated Develop incentives for encouraging school graduates and former students to share updated contact information with AISL Provide reports on a monthly basis to Superintendent and leadership team Liaise with Registrar and PTO to incorporate faculty and families into special event invitations electronically sent from the Alumni Relations Office. Special Event Management: Oversee all aspects of alumni events held at AISL, in Lagos, in country/continent, and abroad. The focus on the first year will be to build a schedule of local events in concert with the new Eagle Club, the membership arm of the alumni relations program charged with sponsoring special events throughout the year. Provide staff management and support for special events and/or meetings that the Superintendent hosts both at home and abroad. Coordinate all aspects of a new Reunion Program (April 2017) for including committee recruitment and management, class fundraising, and day-of event planning. Serve as the key point of contact between AISL and members of these Reunion committees. Liaise with PTO leadership on ways the alumni association can partner and support community activities (e.g., annual celebrations, service events). Marketing, Communications, and Constituent Relations: Establish and build relationships with a wide range of alumni, locally, regionally, nationally and internationally; maintain regular communication with alumni via direct contact, blasts, alumni web pages, social media and print publications Educate graduating students about alumni benefits and engage them in programs Develop job descriptions for alumni volunteers Other related duties: Work closely with the Alumni Advisory Committee, arranging its meetings, staffing its committees and ensuring strong and productive relationships between its members and the academic and administrative leadership as well as the school s Board of Directors; serve as ex officio officer to the Alumni Advisory Committee. 2

3 Plan, implement and promote alumni programs that support the School's strategic plan; develop and submit for approval by the Superintendent annual strategic and operating plans Work closely with Superintendent in identifying a prospect pool of alumni for major gifts (to begin in ) Support school departments during graduation and other school wide celebrations with event planning, preparation, and outreach to alumni. Qualifications: A minimum of four years of experience in alumni relations and external affairs with demonstrated accomplishment in fostering productive relationships with volunteers and developing volunteer leadership Excellent communication and interpersonal skills, together with the ability to work collaboratively and courteously with colleagues throughout the School, alumni, other constituents and the public The demonstrated ability to strategize, implement and build constituency programs and activities, along with a talent for motivating volunteers Demonstrably strong writing, planning and organizational skills Flexibility and initiative, as well as the ability to work independently, combined with the skills for thriving in a team environment to achieve institutional goals High professional and ethical standards for handling confidential information Sense of humor and flexibility given unpredictable work environment influenced by the local context.
