1 University of Miami Information Technology Printing in the IT computer labs is done through the UPrint system. At one of the computers in the lab, users can select whether they want to print to the color or B&W printer. They then log their print job into the UPrint system by entring their CaneID and Password. Once a job has been sent, it can be retreived at any UPrint terminal across campus. Log-in names and profiles have not changed. Equipment Each lab is equipped with both a black & white and a color multi-functional device. The B&W printer is a Canon imagerunner ADVANCE 4051 while the color printer is a Canon imagerunner ADVANCE C5255. Both printers are equipped with a touch screen display where the user can release jobs from UPrint. The screen also displays valuable information about any problems that may be occuring. Both the B&W and the color printer can be used for printing, copying, and scanning. Loading Paper One of the duties of a User Assistant is to keep the printers loaded with paper at all times. Each printer has four trays, each configured to use 8 1/2 x 11 (US Letter) paper. User assistants should fill all four of these trays. When a tray runs out of paper, the screen will display a message alerting the user that a tray is out of paper but will continue to print using paper from another tray. The printer will only stop printing when all four trays have run out of paper. As such, UA s should regularly check the printer screens to see if any of the trays require paper and fill them promptly so that the printers are continually operational. On occasion, the printer will stop printing and alert the user that he/she should load paper even though at least one of the trays contains paper. When this happens, it usually indicates that the user printed their document to a paper size other than 8 1/2 x 11 (US Letter). To fix this, you can either cancel the document and make sure the user reprints to 8 1/2 x 11 (US Letter) paper or force the job to print on 8 1/2 x 11 paper by pressing the Status Monitor/Cancel button and pressing OK. Be advised that if you select the latter option content may be lost due to rescaling/clipping. Only IT employees should open the printer or load paper. If a user wishes to print on their own card stock, transparencies, or other paper, inform them that there is No Manual Feeding as per the lab rules. Please also note that users and IT employees alike should not be removing paper from the printer to use as scrap. They may, however use recycled paper as scrap if they wish. Toner and Paper Jams Toner will be changed by the on-duty SSU or LMA if present. Toner will be kept in a closet near the printer. The packages are easy to recognize and identify. When replacing a toner, choose the appropriate new cartridge. Remove from the box and place in the appropriate location. On the BW printer, the toner compartment will automatically open when the front cover is opened. On the Color printer, follow the on-screen instructions to release the cover for the appropriate cartridge location. DO NO ATTEMPT TO MANUALLY OPEN THE COVER. Remember that the toner drums can spill so be careful. The old toner cartridge should be thrown away. If you are the on-duty SSU, make sure to message the LMA about the toner replacement. On bothe the Color and BW printers, there is a separate cartridge known as the Waste Toner that collects excess toner. On occasion, this cartridge will become full. If the cartridge in the color printer becomes full, replace it with one of the new cartridges stored in the cabinet. We do not replace the BW waste toner so if it becomes full, call Canon to come and replace the cartridge. Paper jams can be handled by UAs. Each printer indicates if there is a paper jam on the screen. If a jam has occurred, follow the directions to locate it on the screen. The screen also displays diagrams on how the parts move to alleviate any confusion. Remember, all the green tabs are safe to touch and move as directed. 2 How Users Print Since there are new printers, it is good to familiarize yourself with the printing process. You will notice it is very similar to how it has always been with a few slight changes. Click print Select the Print option in application and the Print dialog box will appear. (shown right) Notice that this box allows you to select a specific print range and set a number of copies. Additionally print dialog boxes in MS Office programs will include a Print What option, allowing the user to print documents in special ways such a powerpoint slide handouts. Choose a driver. To choose the driver or queue you wish to send your job to, click the dropdown arrow on the top of the dialog box next to the field marked name. If your job has portions you wish to print in color, send it to UPrint Color 3. If a black and white copy will suffice then send it to UPrint B&W 3. REMEMBER: Color pages are $0.10/pg BW pages are $0.05/pg There is also a $0.02 Credit applied to the second page when printing duplex (double-sided). Every student gets 130 UPrint credits for the year. Computer Labs Page 2
3 How Users Print (continued) How to print double-sided To print double-sided, select the Properties option on the Print dialog box. Go to the Finishing tab (shown right) and select the desired doublesided print option. Hit OK when you are done checking the settings to go back to the Print dialog box. Log the job into UPrint When you are ready to print, click OK in the Print dialog box. The prompt to the right will pop up. When this prompt is displayed, enter your CaneID (i.e j.doe5 NOT your C Number), your password, and it is a good idea to name the job something short and recognizable. This name will be used to identify the job in your queue at the screen attached to the printer. When you have filled out each field click Print. This logs the print job into the UPrint (Pharos) system so that it may be retrieved on any of the printers across campus. Computer Labs Page 3
4 How Users Print (continued) Retrieving the job at the printer 1. Go to the printer you selected when you submitted your print job and log in. There are two ways to log in at the printer: Swipe your Cane Card. Enter your CaneID. 2. Select the job you want to Print from your queue and hit Print. Alternatively you can hit Print All if you wish to print all the documents in your queue. You can also delete any unwanted documents by selecting the print job and hitting Delete. 3. It will then prompt you to enter your password. 4. After entering your password, your print job(s) will then be printed and can be picked up from the tray on the left side of the printer. Wireless Printing Wireless printing allows students to print jobs from their laptop or personal computer to any printer on campus. Users must download and install drivers first to allow them access to this feature. To enable and access Wireless printing, users should follow this process: 1. Go to 2. Click on the Student UPrint Drivers option on the left hand side of the page. 3. Choose the operating system you wish to download the driver for as well as the proper grade level and click on the link. 4. Choose run and wait for it to finish downloading. 5. It should automatically open to the installation. Follow the steps. 6. When it completes the loading screen, hit Finish. 7. If you go to Printers and Fax from your start menu or you will now have two new printers added: UPrint BW A/B and UPrint Color A/B. The rest of the printing process is the same as How Users Print except instead of UPrint BW 3 and UPrint Color 3, users are choosing between UPrint BW A/B and UPrint Color A/B. Users can go to any printer on campus to claim their job, following the steps under Retrieving the job at the printer above. If Wireless printing is not working for a user, have them print the job from a computer in the lab and contact the SSU. Copying The color printer also offers copying services. This service has the same charges as normal printing ($0.05/ black and white page and $0.10/color page with a $0.02 deduction for duplex pages). To use this feature, users should: 1. Log in on any printer 2. Select Make Copies near the top of the screen. 3. Choose the appropriate options from the screen and push start. Scanning There are two scanner computers available in every lab for students; however, the printers may also be used to scan something to their . Users wishing to scan should simply: 1. Log in on any printer 2. Press the Main Menu button to the left of the screen 3. Select Scan and Send 4. 5 How Users Print (continued) MobilePrint Users can now print a document by sending an via their University of Miami-issued account to a MobilePrint address (UPrintBW@miami.edu for BW, UPrintColor@miami.edu for Color). After sending the , a print job will be created and held, pending release, for each attachment contained in the . If the contains a body of text, it will also generate a print job the user can choose to release. Printing Problems Step 1: Is the job being submitted to the UPrint queue? If the job isn t making it to the queue, first check that the user is submitting the job correctly. If the job still doesn t show up when submitted correctly from a computer, have the user try another computer while you try to submit a job to UPrint as well. If the user s job makes it to the queue from another computer, the problem is with the original computer. Try to print from it yourself to confirm the error. Restart the computer. If the error persists, post it on Repairs. If neither you, the user, nor anyone else can print, the error is with the UPrint service. Report the error to Canon and record it on the repairs website. If only that user can t print, the error is either with their job or their account. Have the user attempt to send a simple print job such as a one page word document to his/her queue. If that does work, check the paper size and settings on the problem job. Only Letter size documents are accepted. If that doesn t work, the user needs to contact UPrint about their account. UPrint contact information is on the UPrint website. Step 2: Troubleshoot the printer If the printer is the issue, first step is confirm that the printer is indeed on. The green Main Power light should be lit up and the plug firmly inserted into the outlet. Next, make sure the printer has paper and that the paper path is cleared of any jams. Any green tabs are movable and the screen should prompt you if any jams need to be cleared. Don t forget to check the paper trays for any misfeeds. Check the toner levels and replace any empty toner cartridges. Don t forget to inform the LMA. If any jobs have been printed with the low toner, use the Pharos Remote software to release any paid jobs for no additional cost. If the printer is frozen or hanging in printing several jobs or displaying an SC error code, turn the printer off and on again. This should restart the printer and release all the jobs stuck there. Any jobs lost that users are charged for can be reprinted for no additional charge using the Pharos Remote software. Step 3: Using the Pharos Remote queue management software Pharos Remote is a program located on the UA computer of each computer lab. Open the program, and login using the designated username and password. To release jobs (reprint the jobs for no additional charge) If a user has paid for a job and that job has either not printed or printed with smudges, streaks, or faded ink, that user is entitled to have their job reprinted for no additional charge. Access the Pharos Remote software and locate the job under Job Management/Printed Jobs. Select reprint from the menu on the left hand side and select the desired Printer. The printer name will look something like CG-RES-EAT-CL146RM Each of the Residential Lab printers starts with CG-RES. The third set of letters indicates which lab the printer is in (PEAR=Mahoney/Pearson, EAT=Eaton, HEC=Hecht, STAN=Stanford). The next set of letters is just a room description, and the final four numbers correspond to the last four digits of the printer s serial number. After selecting the appropriate printer, pres OK and the job will print instantaneously. Computer Labs Page 5
6 Printing Problems (continued) Step 4: Reporting a printer to Canon Call Canon at to report any printer errors that you cannot fix yourself. You will need the serial number of the affected printer (this is found on a sticker on the front of the printer). Explain the problem to the service representitave in detail. When they ask you for contact information, give them the following information: Name: Your Name Phone #: (305) (The SSU Cell Phone Number) umitsss@miami.edu Remember to get the ticket number of the claim.
