1 Calendar Basics Calendar Preferences The following are provided to help keep your Zimbra and calendar usage consistent, professional, and up-to-date. Accessing Your Calendar Preferences General Calendar Preferences Work Week and Hours Preferences Creating Appointments Preferences Permissions Preferences Saving your Preferences In Zimbra, Calendar Preferences can bet set that change how your calendar looks and functions. For example, you can configure your work week, activate the display of the mini-calendar, or grant specific people access to your calendar. After settings are modified, remember to click the Save button. Accessing Your Calendar Preferences 1. Click the Preferences tab. 2. In the Overview pane, click Calendar.
2 General Calendar Preferences Default View. The default Work Week view is Monday through Friday, but you can select Day, 7 Day Week, Month, or List. Start week on. Set the start day of your week. Default appointment visibility. If default appointment visibility is set to Public, all appointments added to your calendar will be public; details of the appointment are viewable by others. With this setting, however, the details of private appointments are not be viewable by others. If you set the default appointment visibility to Private, all appointments added to your calendar will be private; details of the appointment are not viewable by others unless you have specifically granted them access rights. Users who do not have access to view your private appointments will only see blocked time; they will not be able to see any details. Always show the mini-calendar. This option turns the mini-calendar display off/on. Show Calendars with week numbers. This option displays the week numbers in the minicalendar. Automatically add received appointments to calendar. When this is option is selected, invitations sent to your Inbox are automatically added to your calendar. You can accept or decline the invitation from your Inbox, the Meeting Invites folder (if you have the filter activated) or your calendar. Clear this option if you want the appointment added only after you click Accept or Tentative. Show declined meetings. By default, when you decline a meeting, the meeting continues to display on your calendar in a faded view. Clear the check box if you do not want meetings that you decline to display on your calendar. Invitation Response. Select Delete invite on reply to automatically delete the from your Inbox when you accept or decline a meeting invitation. Forward Invites. If you have an administrative assistant who handles your calendar, a copy of all of your meeting invitations can go directly to them. If they have Manager privileges for your calendar, they can accept or decline meetings on your behalf. Enter their address to activate this option. Show reminders. Use this option to select the interval for receiving a reminder about a meeting or event. Show reminders for past-due meetings. Clear this option if you do not want to receive reminders of past meetings. Play a sound. Select this option for an audible notification when you receive an appointment invitation. Flash the browser title. Select this option if you want the browser title to flash when you receive an appointment invitation. Default appointment duration. When you set a start time for an appointment or meeting, the end time is automatically set based on this setting.
3 Work Week and Hours Preferences Work week. Use this option to show others which days you are normally in the office. This option controls the days shown in your calendar's Work Week view. Work hours. Use this option to show others when you are normally in the office. When scheduling meetings, Zimbra factors in work hours when displaying availability. Custom. Use this option allows customization of your work week. Creating Appointments Preferences Use the QuickAdd dialog when creating new appointments. This option opens the QuickAdd Appointment dialog box when you double-click a start time on your calendar. Click More Details... to enter more information or invite attendees. Clear this option to open the Appointment Details dialog box when creating new appointments.
4 Show time zone for the start and end time when creating an appointment. Select this option if you often travel between time zones. This option helps you change the time zone easily when scheduling appointments. Permissions Preferences Free/Busy. Select who can see your free/busy information or specify a list of users who can see your availability. If you choose Allow only the following internal users to see my free/busy information, enter at least one full address. Invites. Select who can invite you to meetings or specify a list of users that can invite you to meetings. If you choose Allow only the following internal users to invite me to meetings, enter at least one full address.
5 Save your Preferences After you modify any calendar preferences, click Save before navigating away from the page.
