Client s Brief A quotation has been requested for a website management system for The client wants a website that provides the same functionality and management control as A summary of these functions is provided in the Evaluation of Deals Direct Website. 2. Evaluation of Deals Direct Website 2.1 Search Engine Assessment The pages indexed by the three major search engines (SEs) and the links from other website to (external links) were assessed. The numbers are as shown: Pages Indexed: Google 9,560 Yahoo 4,558 MSN 3,527 External Links: Google 152 Yahoo 9,510 MSN 4,099 The pages indexed are the numbers of pages that each SE has read and added to its database. These page numbers are only indicative of the size of the site as site pages may have been deleted but the SE can still retain a copy of a page in its database. The number of external links suggests that this website will rank well in the SEs to a wide variety of search phrases and will therefore provide serious competition. 2.2 E-commerce System The online e-commerce system is the major program behind the website. This database controls many functions which are displayed pictorially using the site by way of example Home Page Display The system enables the System Operator (Sysop) add, edit and delete the Product Categories in the primary navigation menu. It enables allocation of a product to the required Product Category. It provides control over which products are to display in New Arrivals, Someone Just Bought, Wholesale Lots and the products that display on the home page. 3

4 2.2.2 Product Page Content The e-commerce system enables the Sysop to add, edit or delete the pictures and text on Product Page. Product pages would be published to display in a preconfigured design layout. The program also records the items added to the shopping cart until the user is ready to purchase Customers Secure Area The system enables new customers to set up their own secure area where they log-in to process their purchase and view the fulfilment details of their current order. They can also see their previous purchasing history. The system includes an automated password recovery function for repeat customers who forget their access codes Delivery Details & Payment The system controls and records order delivery information and coupon redemption. Orders and payment transactions occur on two different web servers. card clearance service. Full order and delivery information is recorded on the site web server but the payment and clearance of the credit card transaction occurs on the server of a client specified credit Customer and order details are viewed in the e-commerce management system. The specified clearance service provides a secure area where records of transactions can be viewed. This estimate includes the configuration of the e-commerce system to interface with the requirements of a credit card clearing service such as Pay Pal or Secure One. It does not include interfacing with a BPay system. 4

5 Credit card clearing services charge the merchant fees. These charges are between the client and the clearing service selected and are therefore not included in this cost estimate. At the completion of the purchase, an online invoice is generated for the customer Order Management Functions When the customer registers, the system automatically generates an to confirm their details and the access codes they have specified. When a payment is completed, the system automatically sends an order confirmation to the customer and an alert to the Sysop to advice that an order is waiting to be processed. When the order has been dispatched, the Sysop amends the order status to sent in the e- commerce system and the system automatically sends a confirmation to the customer. The Sysop has access to edit the text of these three generic messages Product Record Management An essential function of the e-commerce system is management of Product Records. These can be added, edited and deleted by the Sysop. Product Records are constructed to the client s requirements and would typically include: Product number Product category Product name Inventory level Retail price On special price Quantity or distributor discounts Distribution and freight charges (multiple options frequently needed) GST calculation Product description Product pictures The e-commerce system recalculates inventory levels as products are purchased and will prevent the sale of out-of-stock items. With an instant credit card clearance process, this is an essential requirement to avoid credit card payment reversals and dissatisfied customers Orders and Customer Records The Sysop can access reports for: Orders by customer name Orders by product Inventory levels 5

6 2.3 Page Publishing System On the Deals Direct site there are approximately 100 pages that need to be published with a page publishing system that provides full page formatting capability and the ability to create online forms. A separate page publishing program is required to manage these List Management To replicate the List functions of the Deals Direct website, the estimate includes the provision of three management systems: Newsletter Coming Soon Customer list The Newsletter and Coming Soon lists are populated by site visitors subscribing to the services. The Customer list is created by all paying customers. The systems give the Sysop to add, edit and delete list subscriber details and to compose s in text or HTML format and send them to the required list. 2.5 Product Search Function Product search provides a full page text search of all product pages. This will be installed with an all words default setting. I.e. All the words used in the search must occur on a page for it to be listed in the results. The search results listing will give priority to words that occur in the product name. I.e. Where search words occur in the product name, these pages will list before pages where the search words only occur in the product description. 6

7 2.6 Advertisement Manager There are a number of advertising graphics being displayed on various locations of the Deals Direct website. The Advertisement Management function enables the Sysop to change advertisement graphics and the page to which they link when ever required. The system also provides reports on the number of people who viewed the advertisements and how many clicked through to the linked pages. 2.7 RSS Feeds See: The Deals Direct site enables people to subscribe to RSS feeds for Products Just Added, Featured Items and Clearance Bin items. RSS feeds are a way of transmitting information to people whenever the relevant section of the website is up dated. service. When a section is updated, the subscriber receives an alert message on their tool bar and when clicked, it in effect displays an interactive version of the relevant web page 7

8 2.8 Deal Headlines The system enables the Sysop to add, edit and delete the promotional messages that display in the Deals Headlines scroll window. 2.9 Site Map Publisher The Site Map page needs to integrate the output from the e- commerce system product pages, Newsletter pages and other site pages and generate a list of hypertext links to all site pages. The system will automatically update the Site Map page whenever a page generated with any site system is added to or deleted from the site. 3. Design & Implementation The cost estimate includes the creation of site design concepts for approval by the client before any programming work commences. Style Sheets The system will incorporate the use of style sheets (CSS files) which will be optimised for search engine relevance. Frames The site will be constructed in frames and any frameset files will include search engine robot pathways. The site will be configured with automatic reframing that will ensure that any content page cannot display without relevant header and navigation frames. Screen Resolution The design will be optimized for screen resolution of 1,024 x 768 but will not left-right scroll when a resolution of 800 x 600 is used. 8

9 Browser Compatibility The design will be compatible with the following browsers: Internet Explorer 5 Netscape 5 Firefox 4 System Requirements The quotation includes the installation and configuration of the following website management systems: E-commerce system Site Page Publishing system 3 x List Managers Site Search function Advertising Management 3 x RSS Feeds a Friend function Deal Headlines Message Manager Site Map publisher Website Traffic Reports These programs are to be built and integrated with the operating systems installed on the Ready Set Web server. Pages published with the system will need to be hosted on the same server. These are online operating systems. The client will be able to login to access and manage their systems at the company website, To access and use the systems, the client will require Internet access and the Internet Explorer browser (ver 5+) operating on a Windows equipped PC. 5. Hosting and Bandwidth Usage Annual fees apply for site storage and bandwidth traffic. The hosting and bandwidth package quote in this document includes 40 megabytes of web site storage and 100 megabytes per month of bandwidth usage. 6. Compad License Fees Annual license fees are applicable for the use of the Compad site management systems. 7. As an alternative, we can provide a contracted site management solution based on the volume of pages published. The cost is based on publishing product or site pages with the system. We believe this should be adequate for the site's requirements. Bandwidth usage in excess of 1GB per month is charged at the rate of $0.06 per megabyte. 8. Terms of Trade 8.1 Web Production Half of production costs payable on acceptance of the quotation and the balance payable after client trial and approval of the final website. In any event, final payment is required no later than 2 weeks from delivery of the website and management systems. Cost Estimate prices for Concept, Design, Web Page Authoring, programming and cgi Script are valid for 3 months from date of the quotation. We retain the right to change all other prices without notice. Copyright of HTML code, graphics and copy will be freely assigned to the client on final payment. Any cgi, PHP, Perl or Java programming script remains the property of Ready Set Web unless expressly developed and paid for by the client. The programming script contained in this quotation has NOT been developed expressly for the client. 8.2 Storage, Domain Hosting & License Fees Fees for page or file storage, bandwidth, domain hosting and Compad license fees are payable in advance. 11
