1 Procedure for Creating ID Photo Badges Using Paint and Microsoft Word For Use of The Atlanta Day Shelter for Women and Children By Stephen G. Nowell Georgia Tech Senior Design Team Fall 2008

2 Photo ID Badge Procedure 1) Take picture with the Samsung digital camera in a well-lighted area. SD memory card should be inserted and flash on. 2) Remove SD memory card and insert it into USB adaptor then plug adaptor into USB port. The adaptor can be seen in Figure 1 and USB ports are located on the back of the computer seen in Figure 2. When the SD memory card is inserted properly, Windows will open a window giving the option to Open folder to view files on the removable hard drive. Highlight it and Click Ok. Figure 1. 3 Figure 2. Location of USB ports on PC. 3) Open the picture in Paint. To do this right click the picture and select Open with then Paint. This can be seen in Figure 3. If the does not automatically pop up, on the desktop click My Computer then Removable Hard disk then open the DCIM then open the 100SSSCAM folder to view the picture. If it is hard to differentiate between pictures, switch view to thumbnails or filmstrip. Figure 3. Opening the picture in Paint.

4 4) Resize the Image by clicking Image then Stretch/Skew. Typically the photo s horizontal and vertical resize need to be changed down from 100% to 10%. If the photo is not upright, click Image then Rotate. Typically the photo needs to be rotated by 90 degrees. 5) Crop the picture using the Select tool from the tool bar. The select tool can be seen in Figure 4. The picture should be cropped into a square shape containing the face and shoulders. Figure 4. The select tool in 6) Cut the selected portion of the photo that will be used for the ID badge. Cut is found in the Edit menu or the hot key command is CNTL X for cut

5) Crop the picture using the Select tool from the tool bar. The select tool can be seen in Figure 4.

5 7) Create a new Paint file. Click File then New to create a new paint file. If you have an open Paint file at the time you create a new file, it will ask to save changes you made, click no to disregard changes made. 8) Paste the cut image. The paste command is found under the Edits menu or the hot key command is CNTL V. If there is too much white space after the picture is pasted, then click Image then Attributes. Set units to pixels then width and height to 1. Click Ok then re-paste the picture. This can be seen in Figure 5. Figure 5. Changes made in Attributes menu.

8) Paste the cut image. The paste command is found under the Edits menu or the hot key command is CNTL V.

6 9) Save the Paint file to the ID Photos folder on the desktop. Click File then Save As then click on Desktop and open the ID Photo folder. Enter a name to save the picture, then click Save. You can safely close Paint when the file is saved. 10) Open the ID Badge Template Doc file that you would like to use for the Photo ID Badge. An example of ID Badge Template is shown in Figure 6. On the desktop click the ID Badge Templates folder. Figure 6. ID Badge Template.

Enter a name to save the picture, then click Save. You can safely close Paint when the file is saved.

7 11) Insert the Picture for the ID Badge 12) Format the Picture Click Insert then Picture then From File. Open the ID Photo folder. Highlight the picture then click Insert. The picture will be behind the ID badge template when it is inserted and is difficult to select. To easily select the picture, hold the shift key and press the left arrow key on the keyboard to select the picture. When the picture is selected, click Format then Picture. Click on the size tab. Uncheck Lock aspect ratio and Relative to Original Picture size, then adjust the height and width to 1.25 inches. Click on the layout tab and select In front of Text. See Figure 7 and Figure 8 below for size and layout. Click Ok. Figure 7. Formatting size of the Picture.

To easily select the picture, hold the shift key and press the left arrow key on the keyboard to select the picture. When the picture is selected, click Format then Picture.

9 14) Type the person s name in the InsertNameHere text box. Fully highlight InsertNameHere and begin typing. Two badges can fit on each photo sheet and it is ideal to do multiple badges at the same time to maximize use of photo paper. 15) Save the finished ID Badge to the ReadyBadges folder on the Desktop. Click File then Save As then click on the desktop and open the ReadyBadges folder. Enter the name of the saved ready badges. 16) Print the badge by clicking File then Print. Ensure that the photo printer is on and is connected to the computer. DO NOT touch the ID Badge immediately after it prints or the image will be damaged. Let it set for at least 10 seconds. 17) After the badge prints, use the cutting board to cut the height of the badge to three inches. Slip the badge into a plastic ID badge holder and attach a lanyard. When sliding the ID badge into the plastic holder it will slip in best with the plastic pulled away from the front of the badge. 18) The Photo ID Badge is complete.

Click File then Save As then click on the desktop and open the ReadyBadges folder. Enter the name of the saved ready badges. 16) Print the badge by clicking File then Print.
