3 Euro-BioImaging D Introduction An essential part of the services provided by the future pan-european research infrastructure Euro- BioImaging will be training in biological and biomedical imaging technologies to all European scientists and professionals in research. This deliverable presents a conceptual plan to be implemented during the Euro-BioImaging construction phase. Activities related to training as outlined in the current Huband-Node Model that will be performed are: Training activities at Nodes User-training: hands-on training for use of instruments Performance of regular user training courses (levels based on available instrumentation and expertise) Training activities at the Hub Coordination and support of user training activities Coordination of design and execution of RI facility staff training activities Dissemination and advertisement of Euro-BioImaging training courses Management of and access to common repository for training activities in biological and medical imaging The proposed Euro-BioImaging training strategy directly relates to this concept and is based on the data gathered from the pan-european Euro-BioImaging survey conducted in summer The analysis of the responses related to training aspects is available in the D13.1 Report on survey on existing activities and key requirements for biomedical imaging teaching. Further reference sources for the strategy were: the outcomes of the Euro-BioImaging proof-of-concept-studies conducted from January to July 2012, inputs from the Euro-BioImaging industry board and the WP 13 international advisory committee, discussions during the Euro-BioImaging Stakeholders meeting, and the expressions of interest submitted in the 1 st Euro-BioImaging open call in Spring The draft training strategy was presented by the WP 13 team to the international advisory committee and selected stakeholders at the WP 13 closing workshop that took place in Prague, the Czech Republic on October The meeting was attended by 23 participants. 2. Objectives The aim of this report is to propose a Euro-BioImaging strategy on training focused on users, Master and PhD students, post-graduates, senior scientists, technicians and staff of the imaging facilities across Europe. We suggest introducing a multi-level training portfolio of courses from basic courses to top-level scientific workshops. We propose implementing a Euro-BioImaging stamp that would help the potential users to recognize the high quality courses delivered by the future Euro-BioImaging - 3 -

4 Euro-BioImaging D13.3 nodes. The introduced criteria might also serve training providers as guidelines in designing new courses. The Euro-BioImaging training strategy is divided into three pillars: a user training programme incorporated in the Euro-BioImaging open access procedure, including courses as well as hands-on training upon user access at the Node general training in imaging technologies as part of the continuous professional development (e.g. regular courses on specific imaging modalities, e-learning, summer schools etc.), a concept for training of the imaging facilities staff. The future Euro-BioImaging Nodes that are the leading imaging facilities in Europe will participate actively in the training provision not only in preparing the Euro-BioImaging users to use their imaging equipment but also in regular training activities to the broader European research community. 3. Training for Euro-BioImaging users Good knowledge of an imaging modality is a prerequisite for assuring full benefits of the open access to imaging instrumentation. Therefore we recommend informing the users about required expertise for a specific imaging modality during the access procedure. We suggest implementing this feature into the Euro-BioImaging access procedure (see Fig. 1). Potential users will get information which knowledge and/or training is a prerequisite to access the specific imaging equipment at the very beginning of the Euro-BioImaging access procedure after they select a technology in the Euro- BioImaging technology finder. If the required knowledge of a user is not sufficient the access portal will display a list of suitable upcoming courses to acquire the requested knowledge before the specific project will be carried out. This requested knowledge might be acquired in collaboration with the Node that the user wishes to visit on an individual basis or in a regular training activity (e.g. course, e- learning etc.) listed in the Euro-BioImaging training repository (more details on the repository are available in D13.6. Reference and information web resource for biomedical training). We recommend that the future training team at the Euro-BioImaging Hub in collaboration with the Euro-BioImaging Nodes prepares a required user competency profile for each imaging modality for which an open access within Euro-BioImaging infrastructure is offered. This profile should clearly describe which competencies users should possess before their visit to a node. This should cover both the requested knowledge of the imaging modality and other relevant aspects (e.g. sample preparation, animal handling, GMO etc.)

5 Fig. 1 Euro-BioImaging access procedure flow chart Euro-BioImaging D13.3 We recommend introducing a check-list of user s competencies for a selected imaging modality in the 1 st phase of the access procedure. This will help users, especially less experienced, to plan their project more realistically, acquire the prerequisite knowledge to access the instrument and later gain a maximum benefit from the access to the Euro-BioImaging node. The user will ideally take a general course at the beginning of the process or even before. The user access course is expected to be completed immediately before the Euro- BioImaging project begins. 4. General training Future Nodes will be at the core for the Euro-BioImaging training strategy and will apart from providing open access to the instrumentation including hands-on training, run courses at beginners and advanced level on a regular basis. The general courses are part of the open access strategy because the advanced courses will facilitate that the external users may take full advantage of the potential of an advanced imaging facility. These courses will be also open to staff of the imaging facilities. Regular and cutting-edge training on the advanced techniques will help in updating technical knowledge of facility staff. The advanced training will include hands-on training if beneficial and feasible. The practical part (hands-on sessions) should form a substantial part of the advanced courses

6 Euro-BioImaging D13.3 This training should be devoted to the imaging modalities available within the Euro-BioImaging infrastructure, innovative imaging technologies, and other aspects of imaging such as data processing and analysis, sample preparation and live cell imaging. Euro-BioImaging should boost also collaboration between academia and industry by organizing joint workshops on flagship innovative technologies that will be identified by imaging facilities managers and companies. We recommend introducing a Euro-BioImaging stamp in order to recognize high quality courses under the Euro-BioImaging umbrella. This certificate would be awarded to the courses that meet the minimum quality criteria (for more details see D13.2 Proposal for rules and requirements for the training program in biomedical imaging). As an integral part of the Euro-BioImaging training strategy we attach an overview of training activities in biological and biomedical imaging. We created matrices with overview of training activities in advanced light microscopy, medical imaging and molecular imaging (see the appendix 1). The matrices are based on data we gathered mainly from the Euro-BioImaging survey and from the 1 st Euro- BioImaging open call. For each imaging modality the demand by users is stated and available courses divided in basic, intermediate and advance levels are listed. The current version of the matrices covers imaging modalities that were included in the 1 st open call. Our aim is to build the Euro-BioImaging training portfolio gradually. Therefore the matrices will be expanded in the future taking into account the user needs and newly added Euro-BioImaging technologies. The matrices will also help to identify the gaps between the community needs in training and available courses. So they can be explored by the Euro-BioImaging training team in the collaboration with nodes for planning of new courses. We highly recommend introducing an e-repository in the future, in which the training activities are collected and maintained (for details see D Reference and information web resource for biomedical training). 5. Training for imaging facilities staff During the Euro-BioImaging stakeholders meetings the imaging community expressed a strong interest in training for imaging facility staff and invited the WP 13 to develop a training strategy for the imaging facility staff. We prepared a training strategy that is primarily intended for the future Euro-BioImaging nodes staff in the first year(s) of operation, but it will open to staff of any other imaging core facilities in Europe because the Euro-BioImaging aim is to address the needs of the whole European imaging community. Initial modular course for facility managers We suggest introducing a modular one-week course for managers of the imaging facilities. The course will be divided into 3 modules. These modules can be offered within a one-week course or as separate 1-2 day courses. We recommend organizing the complete one-week course at the beginning of the Euro-BioImaging construction phase. It would help us build the collaborative attitude within the Euro

7 Euro-BioImaging D13.3 BioImaging infrastructure and among the imaging facilities across Europe. The facility managers would also receive uniform information during the course that would assure the same perception of how an imaging facility should operate. Last but not least, by this course we would stimulate the facility managers networking and cooperation from the very beginning of the Euro-BioImaging operational phase. The course is designed as a curriculum consisting of 3 modules that cover: o o o Biological and biomedical imaging: overview of current state-of-the-art and future prospects (divided into panels based on type of imaging; delivered by internal Euro- BioImaging experts and manufacturers representatives); Facility management / soft skills targeted at issues relevant for facility managers (delivered by external trainers); Facility administration - legal and regulatory affairs from the point of view of a facility manager (divided into panels specific for facilities with/without laboratory animals; delivered by combination of external /internal trainers). This course is highly recommended for the managers of the future Euro-BioImaging nodes, especially for Nodes which are still less experienced in external user access. We suggest this course to be part of the continous professional development of imaging facility managers. Other staff of the imaging facilities is also encouraged to participate in this course in the future. In the future the course may be tailored to the current needs of the facility managers and staff and divided for example into 3 parts that can be organized separately: 1) a technical part consisting of biological and biomedical imaging, core facility operation management, quality control, security and safety, animal handling; 2) a business/administration part covering topics such as keeping the facility cutting edge, budget, collaboration with industry, marketing and communication, instrument procurement; and 3) a training & soft skills part including training, management of user projects, soft skills, personnel management

9 Euro-BioImaging D13.3 Annual workshops of facility managers / technicians Annual workshops of facility managers can take place on a rotating basis. These workshops should cover the following topics: o o Biological and Medical Imaging Overview of imaging techniques offered within the Euro-BioImaging infrastructure; Commercially available innovative technologies (e.g. imaging methods, sample preparation, new probes); technologies under development; Envisaged techniques for external access within the Euro-BioImaging infrastructure a wish-list for future Euro-BioImaging proof-of-concept studies and calls. General aspects of managing an imaging facility Exchange programme - study visits to the Euro-BioImaging nodes / imaging core facilities We propose implementing an exchange programme for the imaging facility managers and staff. We suggest approaching the Euro-BioImaging nodes whether they would be willing to offer short term exchange programmes and shadowing programmes of the senior managers or technicians by the PhD students, junior managers and technicians. First experience has been gained by the German BioImaging Job Shadowing Initiative. Other activities We suggest using on-line tools for knowledge sharing and information exchange among facility managers and staff, such as on-line discussion forums, FAQ, e-learning etc. on the Euro-BioImaging website. 6. Conclusions In this deliverable we presented a training strategy that strives to create a pan-european coordinated and modular system of training in biological and medical imaging. This will require a minimum level of coordination. We recommend establishing a small Euro-BioImaging training team within the Euro- BioImaging central Hub. The training team should be responsible for the implementation of the strategy. 10 Euro-BioImaging D13.3 The imaging technologies, their introduction to the market and accessibility for the users evolve rapidly. Therefore the Euro-BioImaging in its construction phase should continue in further elaboration and implementation of the training strategy established during the preparatory phase. The needs of the research community should be collected and evaluated continuously. This can be done for example via an open on-line survey on the Euro-BioImaging website, within the relevant committees and working groups of the Euro-BioImaging consortium, facility managers meetings, ELMI, EMS, ESOR and ESR meetings, etc. The full implementation of the Euro-BioImaging strategy will not be possible without a sufficient budget allocated for the coordination of training activities and for the support for course providers to design and run courses.
