1 HOW TO CREATE A MAILING LIST Direct mailing on a budget First make a mailing list I don t mean buy a mailing list, I mean make a mailing list. Buying or renting a mailing list can turn into a very expensive proposition. Buying or renting starts at about ten cents per name minimum. If you want to narrow down the demographics such as street name, income, or house value the price will just keep going up. I recently I got a price quote for a zip code containing 1075 names, the only demographic request was the homes had to be owned, cost $ Using the method described below will take about 3 hours labor on your part to produce 1000 quality addresses. To produce a mailing list use the following steps 1. Go to this is the reverse address lookup on YellowPageCity.com s web site. Suppose you want to target he residents living on the west side of Farmville, NC. If your primary market is the Farmville area, then you will be familiar with the town and be able to chose the streets which you d like to target. 2. Go to Google maps and find Farmville, NC The following screen will appear Using the zoom bar, zoom in until the street names are recognizable (The only reason we re using the map is to find and locate the street names in Farmville. If you already know the names then consulting the map is not necessary) 1

2 Let s get the addresses for everyone living on N. Contentnea St. 3. Go back to and type the street name. city and select state. Click SEARCH and presto, the addressees on N. Contentnea St. will appear. 2

3 Now that you have the names and addresses of the residents on N. Contentnea St. they must be converted to a usable mailing list. We will do this using Microsoft Excel. 4. Open a new page in Excel. 5. Go back to the Yellow Page address list and select by highlighting with your mouse the name and address of each recipient. 3. Right click and select COPY. 6. Go back to Excel and paste in cell A1. (Note: before pasting in column A expand or stretch the column as shown) To expand column, right click and drag this column divider. 7. Return to the Yellow Page addresses and select the next recipient. Paste it in cell A4. Continue to do likewise until all the addresses are entered in Excel spreadsheet. ( the words more info may be removed by double clicking the cell, highlighting the words, then deleting them). After entering all names on 3

4 Contentnea St. you may click Modify Search on the Yellow page window and type in another street. TIP- When copying and pasting between the Yellow Page site and the Excel spreadsheet, you can keep both windows on your screen by minimizing the window size of each. Now that you have all the recipients transferred to the Excel spreadsheet, we need to change the format so that all names are in column A, all addresses are in column B and all city/zips are in column C. This is a necessity in order to use a spreadsheet as a mailing list. In order to save a lot of time and work I will take you step by step on a shortcut. 1. At the bottom of your Excel page click Sheet 2 and enter the information below EXACTLY as it is shown. 2. Note: Columns B, C and D have been expanded so that when the recipient information is entered it will fit in the cell. Expand these three cells as shown earlier. About 2 inches should be enough. 3. Click on cell A7. In the formula bar click the = symbol and OK/Cancel will appear. Enter $B$1 and click OK. The number! will appear in cell A7 4

5 4. Click on cell B7, then click = in the formula bar. Enter OFFSET(SHEET1!$A$1,$A7+B$4,0). Click OK and the first mailing list name will appear in cell B7 5. Click on cell A8, then click = in the formula bar. Enter A7+$B$2. 8. Click OK and the number 4 will appear in Cell A8. 9. Using your mouse, click and drag the handle in cell A8 down to at least cell A12. (We have six recipients in our list, therefore a recipient will be listed on 5

6 each row from A7 through A12. If you had 110 names, then you would have to drag the handle to cell A116.) Handle 8. Click on cell B7. Click and drag the handle from B7 to D7, then drag down to D12. SAVE YOUR WORK 9. You now have your recipients in a usable format. Lastly, open a new Excel page by clicking the icon as shown below. New Page 11. Return to your saved work and highlight the recipients information as shown below and right click, choose Copy. 6

7 12. Return to the new page. Click cell A1. Right click the mouse and choose PASTE. The information will appear as below. If you wish, you may expand the columns as shown below. 7

8 Note: To remove more info following the recipient s name, double click the cell, highlight more info then press DELETE. This will have to be done for each name. 12. SAVE this spreadsheet as Farmville NC mailing list. It is now ready to be uploaded as a mailing list or used in Mail Merge with a word program. 8
