1 NACA Student Government East Institute University of North Florida Jacksonville, FL July 28 31, 2016 Dear Student Government Delegate: On behalf of the National Association for Campus Activities, I would like to welcome you to the 2016 NACA Student Government East Institute, scheduled to take place July at the University of North Florida in Jacksonville, Florida. The NACA Student Government East Institute is the premier forum for student government leaders and advisors that provides delegates with the opportunity to be engaged, energized, and empowered in order to make a positive difference through their leadership roles on college campuses. This year s institute with an overarching Election 16 theme promises to be the best yet, as delegates will have the opportunity to connect with student government leaders from across the country; gain insight into emerging issues and trends; gain new skills and approaches to challenges faced by student government leaders; and engage in meaningful dialogues with peers. Highlights of the institute include a wide range of educational sessions, small group discussion sessions, a case study challenge, and more. We have also built plenty of time into the schedule for you to relax and tour the surrounding area of Jacksonville. To complete the registration process, review carefully, complete, and return the required information contained in this Delegate s Information Packet. Special attention should be given to providing information with regard to your summer address, travel plans, and roommate preferences. Each delegate attending the institute will be required to complete and return the Delegate Information Form. In addition the SG Advisor or summer contact for the institution will be required to complete and return the Institution Information Form. 2 Our Host: University of North Florida - Home of the Ospreys Since its establishment in 1972, The University of North Florida (UNF) has expanded from a handful of buildings at the end of a dirt road to a thriving institution with six colleges in a bustling section of Jacksonville. Yet UNF retains its smallcampus feel, helped by its location amid beautiful lakes and nature trails situated on 1,381 acres 500 of which are undeveloped nature preserve. The University also is midway between downtown Jacksonville and the beautiful beaches along the Atlantic Ocean coastline. There is great collegiate pride exhibited throughout the campus in the form of artistically clever bike racks, inspiring statues, mosaics and pristine gardens featuring the regional vegetation. Meals Your institute registration includes eight yummy meals, the majority of which will be consumed on campus in the Osprey Commons (Building 16) located next to Candy Cane Lake. The meal service will begin at dinner on Thursday, July 28 and end after breakfast on Sunday, July 31. Although snacks are provided at a few of the events we recommend participants consider bringing their own. Please note: on campus dining locations have limited hours during the time frame of the conference, so snacks may be the best option. Special Needs Any special accommodations or dietary requirements should have been requested on the institute registration form. Every effort will be made to accommodate participants special needs. Housing Registration Housing check-in will take place on Thursday, July 28, 2016 from 12:00pm 3:00pm in the main lobby of Osprey Fountains (Building 55). You will receive your room assignment at that time. All participants will be housed in Osprey Fountains ( ). The institute will begin at 3:30pm. If your travel arrangements require that you arrive at the University of North Florida before 9:00am or after 3:30pm on Thursday, please let us know in advance. Please note that the first meal served as a part of the institute will be dinner on Thursday, July 28, Housing/Keys All rooms are air-conditioned and furnished. Each delegate will have a pillow case, sheet set, blanket, towels, wash cloths and bath mat provided. Beds are twin extra-long twin. There is no scheduled linen exchange or daily housekeeping service within each guest room during a guest s stay. Residence halls are equipped with wired and wireless internet. Each participant will have access to a community kitchen and lounge space as well as the following Osprey Fountains amenities: welcome/help desk (open 24 hours), fitness room (open 24 hours), game room (open 24 hours), Ozzie s Convenience Store & Grill (hours vary) coin operated laundry rooms (open 24 hours), pool and lazy river (open 7am 10pm daily), tennis courts, basketball court, sand volleyball court, and walking/running path. Please note: Lost keys will result in a $40.00 fee for the participant. The participant will be sent an invoice from NACA representing the cost to the University to replace the keys. Every effort will be made to honor roommate requests listed on the Delegate Information Form; however, it may be necessary to break up larger delegations into different areas. If you are traveling alone, or do not have roommate preferences, we will be happy to assign them for you. Assignments will be communicated at check-in. Check-out and Departure Times The institute will conclude on Sunday, July 31, 2016 at 10:00am following breakfast and the Institute Closing Ceremony. Housing check-out will begin on Sunday, July 19 at 10:00am in the in the main lobby of Osprey Fountains (same as check-in location). Rooms must be vacated by 12:00 noon. Unless absolutely necessary, attendees should not arrange departing flights prior to 12:00 noon on Sunday, July 31, If your travel arrangements will require you to leave the institute prior to 12:00 noon on Sunday, July 31, 2016 please let us know in advance.

3 Parking Parking is available at Osprey Fountains and other areas of campus. If necessary, participants will be provided with a valid parking pass to utilize throughout the Institute. All attendees are expected to follow parking rules and regulations established by the University of North Florida. Damages and Loss Participants shall use and occupy university facilities in a safe and careful manner and shall comply with all applicable laws and government regulations. In the event University facilities and/or property incur any loss or damages as a result of a participant, the University will make the repairs and/or replacement of damaged or lost property required, restoring it to the condition it was in prior to such damage or loss. The participant will be responsible for the damages and will be sent an invoice from NACA representing the costs to the University to make such repairs and/or replacement. Right of Entry The University of North Florida reserves the right at all times to enforce all applicable laws, rules and regulations. Duly authorized representatives of the University, including the University Police Department, may enter participant premises for maintenance, in case of emergencies, safety concerns or if illegal activity is suspected. UNF Housing and Residence Life Rules and Regulations prohibit the following: Possession of illegal substances. Cooking, except in designated kitchen areas. Possession of animals, except when required to assist disabled persons. Tampering with fire system or fire safety equipment. Possession of any weapon, fireworks, or other flammable materials. Disruptive, destructive or dangerous behavior as, at any time, it may be defined by the University. Possession or consumption of alcohol in public areas, or possession or consumption of alcohol of participants under the age of 21. Smoking on-campus, including in Osprey Fountains is prohibited as the University of North Florida is a designated smoke-free campus. Please visit the following link for information of the Breathe Fresh at UNF initiative Institute Attire Dress for the institute is casual. July in Florida will be warm to hot with at times high humidity and only slightly cooler at night. There is always the chance of an occasional rain shower; so wet weather gear is highly suggested as well. Since temperatures in classrooms are always unpredictable, it is recommended that you bring clothes you can layer for additional comfort. Rooms are air-conditioned. We also recommend that you take a quick look at the Schedule at a Glance (included below) and take note of particular activities it is okay to change your dress throughout the day to accommodate the activity. You will have access to the swimming pool so bring your bathing suit. What to Bring Delegates should bring a copy of the organization s constitution, bylaws and other governing or procedural documents (can be electronic as well). These documents can prove useful in discussions, especially about finances and rules of order. Please feel free to bring any other printed materials (brochures, flyers, governing documents), programs, promotional materials (t-shirts, key chains, etc.) or other information you wish to share, we will make a space available for others to pick up items. Delegates should also pack an alarm clock. There will be a School Swap-Shop and Collegiate Fashion Show on the first night where you can sport your SG Apparel, so make sure you bring enough to share and show off! While all institute meals, housing and educational materials are included in the institute registration fee, you may choose to bring some additional money for snacks and exploring the area.

Garris Police Building) is located off Eco Road on campus. Please report all emergencies, suspicious activity or persons and unsafe conditions or situations to the Police by dialing 911. Refund Policy Refunds for registration will be made only for requests received in writing at the NACA Office prior to the early registration deadline (June 17, 2016). No refunds will be given after this date, however delegate substitutions may be allowed if the request is submitted no later than 4 weeks prior to the start of the institute (June 30, 2016). 12 Behavioral Expectations Agreement Institute: 2016 NACA Student Government East Institute General Notice Participants of the above named NACA Institute are expected to conduct themselves in a responsible manner consistent with federal and state laws and host institution policies. Violation of law or policy while at the NACA Institute will result in the immediate dismissal from the program and notification of the delegate s institution, and may result in criminal or civil prosecution. Institute fees are non-refundable. Law or policy violations include, but are not limited to: 1. Use, possession, or distribution of alcohol or illegal drugs during the duration of the institute. 2. Sexual assault or indecent exposure. Sexual assault is defined as the implied use or threatened use of force to engage in any sexual activity against another person s will. 3. Behavior which threatens the emotional or physical well-being and/or safety of participants including but not limited to any form of fighting, vandalism, etc. 4. Unauthorized use of any fire safety equipment including the activation of alarms or extinguisher without immediate cause. 5. Use or possession of weapons. 6. Skip educational sessions or planned activities. 7. Behavior unbecoming of my college/university and of NACA. Process Alleged violations will be reviewed by institute staff.
