1 Setting up Remote Access NOTE This document shows the steps in order for a user to set up a remote connection from scratch. Bypass any of the 6 steps that have already been done. Ie, if you have VPN connection already, you can bypass the section detailing how to set up a VPN connection, etc. 1) Update your hosts file. a) On your PC / Laptop which you want to be accessing the Terminal Server from, go to My Computer C: Windows (or WINNT) System32 Drivers Etc Hosts b) Right mouse click on the Hosts file and click Open or Open With. c) We want to open it in Notepad. d) You will see the following screen. Note: For Windows Vista and 7 users ONLY User Account Control MUST be turned off to make this change. For Windows Vista: Go to Control Panel > User Accounts and Family Safety > User Accounts >Turn User Account Control on or off. Untick the box and restart the machine. After making the change below to the Hosts file, go back to Turn User Account Control on or off. Tick the box and restart the machine again. For Windows 7: Go to Control Panel > User Accounts and Family Safety > User Accounts > Change User Account Control Settings. Drag the bar down to the bottom and restart the machine. Revert these settings back after making the change to the hosts file. e) Put in the following details as per below. Internet Protocol (TCP/IP) should already be highlighted, as per below, so

7 m) Go to the Networking tab and select in the Type of VPN dropdown box: PPTP VPN. 9 p) Press OK a few times and you should get back to the Connect CVIC VPN screen as per below. q) Log on by putting your network username and password NOTE : Your Username and password are exactly the same as if you were in the office and logging onto your machine. However if you have a password less than 8 characters, then your CVIC VPN password ONLY would be repeated (ie, if you had a password of Goofy, your CVIC VPN password would be GoofyGoofy). r) Once entered click Connect. FURTHER NOTES : i. If you have trouble connecting to the VPN there could be problems relating to your internet connection. To confirm, please try loading a webpage. If you are unable to bring up a webpage successfully, there could be an issue with your Internet connection and so therefore you will need to contact your Internet Service Provider (ISP) to resolve this. ii. If you are using a different firewall program than the standard Microsoft Windows firewall (or have a home network that uses more than the standard firewall) you may experience problems connecting. If this is the case consult who configured your computer to modify the settings or uninstall it and use MS Windows firewall. iii. These instructions are for Windows Operating Systems ONLY. Not Apple MAC machines so load this onto a Windows machine if it s possible to do so. 4) Create a Terminal Server Connection. a) If you have the Operating System Windows 2000 you will need to get a file from the IT Department. If you have Windows XP or greater then this program comes standard.

If you have Windows XP or greater then this program comes standard. b) Go to Start Programs Accessories Communications Remote Desktop Connection. c) Right mouse click on Remote Desktop Connection and choose Send to Desktop (Create Shortcut) (Makes it easier for future use). 5) Connect using a Terminal Server Connection a) Double click on the Remote Desktop Connection icon on the desktop and you will face the following screen below. b) Click on Options then click on Experience. If you have a Broadband connection, use the dropdown box as shown below and select Broadband (128 Kbps 1.5 Mbps). c) Right mouse click on Remote Desktop Connection and choose Send to Desktop (Create Shortcut) (Makes it easier for future use).

11 c) Click Connect and then In the Computer section put in HPTermserv. d) Click Connect. e) You will see a screen containing the following as per below. Enter in your usual username and password (as you would if you were in the office and logging in). If you needed to repeat your password twice in the CVIC VPN section, do NOT repeat your password twice here. 12 f) Once logged in successfully you will see a screen similar to the following grey screen below. g) You can do many things via this means of access, including accessing s (clicking on Microsoft Outlook), connecting to S Drive (accessing Datapublic), and even your Private Drive (V:). Any changes you make which you want to keep (and be backed up) should be stored in S Drive or V Drive as you would normally. h) Once you have finished with your work, choose Shut Down or Logoff. Choosing Shut Down will give you the following options, to Logoff or Disconnect. It s always best to Logoff once you have finished your work. Drive (V:). Any changes you make which you want to keep (and be backed up) should be stored in S Drive or V Drive as you would normally.

13 Remote Access Troubleshooting When you are having issues connecting remotely, check these prior to contacting the IT Department for assistance : 1. I have a MAC. These instructions are for Windows machines only. We recommend that you find a Windows machine and follow the instructions from there. 2. When I try to connect to CVIC VPN an error message comes up. Check to ensure that you can access the Internet. If the web page times out, contact your ISP as you have an Internet issue. If you cannot access the Internet and you have a USB Internet stick, and it s in a laptop, move the laptop to various parts of the house as there may be signal issues which will be stronger in some areas than others. If the system wasn t setup by us initially, someone will know if you have another firewall program installed and setup. If you do have a third party firewall product, the safer option is to remove the firewall program and just use the Windows Firewall. Some staff members may need to enter the password twice if their network password is less than 8 characters. So if your network password is 8 characters or below, as explained in earlier sections, if you have issues try reentering your password twice. 3. I am connected to the CVIC VPN. However when I try to connect to the HPTERMSERV machine, I cannot connect. Please ensure that your password is correct. Your HPTERMSERV password is the same as your password when you are in the office. Go back to the first step involving the hosts file. Double check that these details match up and if there s any difference, change the hosts file on your machine with what is entered in this document. NOTE : There are occasions where we do work on the Remote Access Server. So while you re working from home you may get a message pop up on your screen that is sent by us requesting action on your behalf. This will usually involve saving your work and closing out of remote access for a set period of time. We will advise how long to wait until you can try logging back into remote access. Check to ensure that you can access the Internet. If the web page times out, contact your ISP as you have an Internet issue.
