1 Table of Contents» KNOW HOW GUIDE TO MOBILE DEVICE MANAGEMENT Mobility is changing the way we live. It has changed the way we connect with others and use our downtime. It has also revolutionized the way we do business and the way your team works and interacts with each other, both in the office and on-thego. Mobility has increased the number of devices in the workplace and even the number of devices accessing your private business information. This increase of devices is creating security concerns for many businesses, since it only takes one lost device to compromise your confidential information. We ve created this Rogers Know How Guide to help you better navigate the changing mobility landscape and increase mobile security in your business. We will examine how solutions, like mobile device management (MDM), can help you simplify the otherwise complicated process of monitoring and regulating all these devices. We will also discuss how the right mix of tools and policies can help improve security, productivity, and simplify your business technology. 4 READY 2 Table of Contents» THE BASICS OF BYOD There are more devices than ever in today s offices, and people have begun to demand company network access with their own personal mobile devices. To keep up with this trend, businesses are now implementing Bring-Your-Own-Device (BYOD) policies. These BYOD policies allow, and even encourage, team members to choose, and use, their preferred devices for business, rather than enforcing corporately purchased and owned devices in the workplace. In many cases, companies are also reimbursing users for some of the hardware and plan expenses. As the underlying software that makes a mobile device tick, the OS is a key part of the value delivered by the device. BYOD policies give your team more freedom and choice, allowing them to seamlessly combine their personal and professional lives. But, with this freedom, comes some security risk to your business. Allowing access to company files and resources on personal devices makes your business more vulnerable to viruses or hacking, especially if the device is lost or stolen. In response to this security threat, mobile device management (MDM) tools have become a popular way to manage mobile devices and all of their content. These tools keep company networks safe and secure, when coordinated with effective workplace policies. THE EVOLUTION OF MOBILE DEVICE MANAGEMENT In the past, in both large and small businesses, IT was in total control of device management. IT issued the company hardware and decided which applications your team could use. Today, IT departments are busy developing strategies for maintenance and up-keep of computers and servers, and are kept incredibly busy trying to manage and support the growing number of devices and applications required by their teams. N D At the same time, more and more end-users have come to expect mobile access to business files and applications. This trend is often referred to as the consumerization of IT, and with it comes a variety of devices, like tablets and smartphones, accessing your business networks with little to no regulation. People are even smuggling devices into the workplace (so-called SYOD or Smuggle-Your-Own-Device) and are configuring applications like ActiveSync to gain access to their business accounts, without permission, regulation, or any security compliance. Policing all these smuggled devices is a big challenge for IT teams and it may be compromising business security and privacy. CONNECT access TOOLSNEXT RELIABLESHARE SECURESMAR T SOLUTION
3 Table of Contents» THE BENEFITS OF MOBILE DEVICE MANAGEMENT Mobile device management is helping IT deal with this explosion of new devices and can protect both your company and your team from security risks. These benefits allow your company to: RECLAIM NETWORK SECURITY MDM gives companies greater visibility into the fleet of devices that are accessing their business applications and files, helping IT teams better protect network data. It allows IT to eliminate rogue, jail-broken or rooted devices from their networks and increase control over personal devices accessing company files. Companies can also enforce encryption and password use on all devices that have access to company information. This protection prevents hacking and ensures that business files are never left open, if a device is lost or stolen. You can even create rules for the type of passwords required, such as an 8-letter minimum or alphanumeric combination. MONITOR DEVICE USE The capability a company has to monitor a device depends on the MDM tools they have chosen. Certain tools can collect user information from the device, like how much time is spent in various applications. MDM can also give companies insight into how devices are being used during company hours, which can help them better protect their network and potentially increase team productivity. 6 4 Table of Contents» EASILY DEPLOY SOFTWARE MDM solutions allow your company to push applications to all of your team member devices instantly. This helps you to automate the deployment of software and custom applications. MDM also allows you to run security or malware updates on devices quickly and easily, which takes the hassle away from your busy IT department. MDM helps you automate the deployment of software and custom applications. POLICY AND PRIVACY CONSIDERATIONS FOR MDM As you can see, mobile device management platforms can be very helpful business tools, but an effective mobile business strategy takes more than just MDM. There are a few things your company needs to consider and discuss with your team before any technical implementation. Start with these questions: READY CONNECT accessreliableshare M ON SECURE SMAR T IND TOOLSNEXT SOLUTION
READY 5 Table of Contents» HOW WILL YOUR COMPANY PUT THE MDM SOLUTION TOGETHER? MDM works as a helpful tool for an IT manager, but it only addresses one piece of the overall device management puzzle. Businesses need to take a holistic approach to mobility adoption, as this is a business decision that affects everybody. Before implementing MDM, your company needs to decide how it s going to regulate mobility, develop thorough policies, and make decisions based on the implications and maintenance associated with increased reliance on technology. WHAT RIGHTS DO YOUR TEAM AND YOUR COMPANY HAVE? Mobile device management tools often create some gray lines between company rights and the device owner s rights. Good internal policy development in advance of MDM implementation can mitigate some of these concerns. Your HR, Legal, and Finance managers should be part of the conversation and should be aligned, for your mobility strategy to be effective. Your company must also make decisions on how to deploy the MDM software and how to communicate changes to your team. WHAT KIND OF POLICY WILL YOUR COMPANY HAVE? Before deploying a BYOD policy or MDM tool, your management team needs to take a step back and figure out what the mobility policies will look like. Here are some considerations to get you started: Will you allow your team to use any type of device or will you limit support and access to specific devices? How will you determine which team members will get access to the network? Who is liable, if a device is lost or broken? How will you provide device support? N D CONNECT access TOOLSNEXT RELIABLESHARE SECURESMAR T SOLUTION
6 Table of Contents» Will you provide an IT help desk to troubleshoot device issues and application installations, or will employees need to access support through their own carrier? Who pays for the device plan? Will you pay the service invoices? Reimburse employees? Split billing, or provide a stipend? How will you determine which team members will be reimbursed? What happens if a team member incurs additional roaming or long distance expenses? How will you regulate the separation of personal and professional data? DOES YOUR TEAM HAVE PRIVACY CONCERNS? Some team members might be hesitant to give your business access and control over their personal device. Since the device can be tracked, and can even monitor physical location via on-device GPS, team members may feel that their privacy is being compromised. There also may be concern about device wiping or business control over what applications they can and cannot access, so the messaging of your MDM strategy is important. You must clearly explain to your team what control and access the business has on their device, and what level of device ownership they will still maintain. WILL YOUR COMPANY S MDM SOLUTION BE HOSTED OR MANAGED One big decision a company must make before implementing MDM is whether to choose a hosted or managed service. With a hosted MDM tool, the MDM platform is provided, and your IT department is responsible for utilizing the solution. This method uses MDM as a service, so you (or your IT team) are in charge of managing all the devices on the network. Some large businesses choose this option, because they have the bandwidth and infrastructure to support and maintain MDM implementation. It also gives the company more control over their MDM solution. READY CONNECT accessreliableshare M ON SECURE SMAR T IND TOOLSNEXT SOLUTION
READY 7 Table of Contents» With a managed mobile device solution, your company gets support deploying, implementing, and using the tool and, in some cases, full service maintaining it. Some solutions may offer IT help desk support for user questions or problems. The right provider should also be able to help you develop end user policies and a long-term mobility strategy for your business. This is usually the preferred choice for smaller businesses, as smaller IT teams have less time and fewer resources to support MDM implementation and management. It also helps IT teams provide effective device and network support without much internal administration. The one big decision a company must make before implementing MDM is whether to choose a hosted or managed service.
