2 Introduction The rowin reliance on for critical business processes has driven the need for increasinly complex systems. Data stores have rown rapidly, resultin in backup systems with potentially untenable recovery times. Hih-availability technoloy has been incorporated to reduce downtime but can be difficult to manae. Wireless devices have been added for mobile executives who now know instantly whenever there is a system outae. These and many other chanes have added unprecedented manaement complexity to keepin up and runnin. For many oranizations, the costs and manaement burdens of ever more sophisticated continuity and archivin systems is now a serious problem. There are multiple strateies to solvin these manaement problems, but at a hih level these approaches fall into two cateories: on-premise solutions and on-demand services. While on-premise solutions have been the norm, there are many challenes that are comin into focus with increasin volumes and system complexity resultin in the acceptance of on-demand services for solvin these needs. Ten of these challenes and their on-demand solutions are presented below. Also included is an overview of Dell s on-demand Manaement (EMS ), a product that can uniquely solve these problems. Ten manaement challenes with on-premise manaement solutions: In real world use, archives that look similar often perform very differently. Here are a few problems that oranizations commonly encounter with archive solutions. When evaluatin archives, be sure they can solve each of these problems: Problem 1 - Downtime due to local infrastructure dependencies Infrastructure availability, confiuration errors, database corruption, and viruses can cause outaes In-house solutions are, in-house. They are dependent on local infrastructure, directory services, and susceptible to database corruption, Windows viruses, and confiuration errors. While a multitude of solutions are available to minimize many of these in-house problems, they can be complex to manae and often don t always work well toether. 3 Problem 2 - Data loss windows Local infrastructure interruptions and faulty backups can cause data loss In addition to service outaes, local infrastructure interruptions can cause data loss when the last ood backup misses the most recent transactions. Tape backup always has some data loss window. Even vaultin and other hihly available technoloies will have data loss windows after confiuration errors, loss of directory service, data corruption or local infrastructure outaes. On-demand services can eliminate the data loss windows of tape, replication, vaultin or lo shippin systems by restorin lost messaes from offsite data storae back to Exchane after any primary system outae. Problem 3 - Difficult to manae systems Staffin costs can often dominate the cost of providin services The operation and maintenance requirements of complex on-premise systems can be substantial. With the need to manae patches, servers, licenses, storae capacity, memory indexes, user capacity, recovery, hih availability, and complex back-ups on multiple, noninterated solutions, staffin costs can outweih all other system costs combined. With ondemand services, very little software or hardware is deployed on-site and the burden of maintainin the system is shifted to the manaed service provider. Problem 4 - Difficult and costly to expand over time New hardware and licenses must be installed often requirin re-architectin and professional services When mail volume rows and the oriinal on-premise system can no loner keep up, servers, storae, bandwidth and complimentary hih-availability and backup solutions must be purchased and interated into the existin environment. As the equipment reaches the end of it s useful life, new hardware and software licenses must be purchased to keep the system runnin. These uprade demands routinely increase the complexity of staffin and manain the system. With an on-demand service, scalability is no loner an internal problem. 4 Problem 5 - Multiple copies of critical data increase costs and complexity Multiple copies result in duelin retention policies, incomplete searches, and lon backup times Often, multiple copies of messaes are saved in separate systems for primary storae, disaster recovery, backup, archivin, leal compliance or hih-availability use. Problem 6 - Provin archives are tamper-proof In-house manaement of critical data leaves the impression that data could be modified or omitted With the rowin compliance requirements most oranizations face, provin that searches are thorouh and that documents have not been modified is increasinly becomin a challene for on-premise systems.
