3 The purpose of the Business Reporting Tool The Business Reporting Tool enables companies to report multiple instances of fraud and internet crime in a more efficient and straightforward manner. Reports are selected and input by fraud type, and submitted one at a time, but with the additional functionality of being able to copy details from one report to another within the same session, thus minimising duplication of data entry. The tool also enables the user to select the fraud to report directly, avoiding the questions used in the main reporting tool to establish what has occurred. The tool is able to take crime and information reports on fraud and internet crime. To submit an information report, i.e., when a fraud could have occurred but didn t, or the situation was not more than merely preparatory, you must use the main online reporting tool available on the Action Fraud website. Starting the Business Reporting Tool The tool is available using the following link : To start the tool please click on the following button: To report fraud using this business reporting tool you will need to be authorised by Action Fraud. Please submit a register request providing information about your business and the volume of reports you expect to report. If you have already been authorised, please sign in using your and password. ** If you forget your password there is a link on the login page to request a new one ** Please note it can take 1- days to activate a new account and activate a new password. Help Action Fraud opening hours are Mon- Fri 8am 9pm and Sat/Sun 9am 5pm Online assistance with the tool is available during these opening hours through a webchat function where you can talk to an Action Fraud advisor. 1
4 Section Steps Step 1: Fraud type section The first screen lists all the fraud and internet crimes you are able to report to Action Fraud, as set out in the Home Office counting rules. On the left hand side there is a helpful list of frauds by category to assist in identifying the fraud type required. On selecting a fraud type you can view a description of the fraud to check your selection is correct and/or start reporting, as shown below.
5 Section Steps Step : What information can you provide Once you have selected Start Report under the correct fraud type required, you will be asked to select the question section(s) relevant for your reporting session, shown below. Each category in this section is automatically selected. If you have no information on a particular section then unselect by clicking the box, this will then hide these questions. To reduce data input duplication, Victim or Person Reporting information can be pre-populated based on your login, this can be requested at the bottom of that particular section when entering your first report. 3
6 Section Steps Step 3: Reporting Based on the information provided in Step 1 and a crime reporting template will be created enabling you to efficiently report the details you have. Please note, the more information submitted the more valuable it is to the Police and Law Enforcement in generating investigation packages and informing the larger picture of fraud in the UK. Home office counting rules are victim based, therefore a report must be completed for each victim or instance of fraud; however, you may add up to 3 suspect details and up to 3 types of money transfer methods within one report. The Victim section is split into sections, Section A - The Victim is an organisation or Section B - The Victim is an individual. Fill in the one relevant to you. A calendar pop up option is activated when entering dates, however, you may also input the data using the dd/mm/ yyyy format. To pass quickly from one question to another on a page the <tab> button on your computer keyboard can be used. Copying information from one report to another At the end of each section you are asked whether you want to save this information for use in the next report. By selecting this option the data will be automatically populated in your next report during the current session. For each suspect,the Suspect section is split into 3 sections, Section A The Suspect is an individual, Section B The Suspect is an Organisation and Section C is for any money transfers. To comply with current data input rules, please do not add any commas, hyphens or spaces when entering telephone numbers or money amounts. 4
7 Progress Bar On the right hand side of each page is a progress bar showing the main sections of the current reporting session. The main page headings are hyperlinks and can be used to directly access that section in the report. As you pass through the reporting sections the progress bar appears as below. Impact In this section you will be asked what impact the fraud has had on the victim, be it an individual or organisation. At this point the Victim s details can be passed on to Victim Support for advice and support. Submit On the final page is the option to submit your report. Once submitted the information is released and placed in a secure area ready for transfer to the National Fraud Intelligence Bureau (NFIB). You are not able to access this report again. You will be provided a unique Police Crime Reference Number (NFRC) and case sensitive password for the report. At this stage you will be asked if you wish to report another fraud. If you choose to do this then any information you may have saved through the previous report will automatically be populated. Please keep a record of the reference and password for future correspondence or information. 5
8 Submitting Additional Information Using the unique Crime Reference Number (NFRC) and the password you are able to submit additional information at anytime to link to the original crime report. This functionality is available on our website: ** Please note You will not be able to view your original report ** Evidence and/or supporting documents At this time we are unable to receive physical or uploaded documents that support your crime report. Within the reporting tool you can highlight what information you have available and should the police investigate then the relevant force will contact you directly for access to this. We advise you to keep all documents safe. Crime report updates Membership to the Business Reporting Tool provides you with monthly updates on the number, value and types of crime your organisation has submitted and their current status, i.e., whether they have been disseminated to a police force for investigation at the current time, if so, which one.
