Compiled to walk you through the ordering basics, you ll be able to use this as a great reference for those quick tell-me-now questions. For more in-depth information, be sure to check out GoldCanyonUniversity.com. For now, happy exploring! Ordering Basics So you just got some orders. Now what? Here s a crash course on orienting yourself to the Scentral Hub, your online order entry portal. First, the Scentral Hub is Gold Canyon s Consultant headquarters! Subsequently, it s also where you ll place all those orders. To get started, log in to and enter your username and password. TIP: Not sure what your username and password are? Contact Partner Support at

2 How to Place a Personal Order What is a Personal Order? A Personal Order is a Consultant-Only order. It s perfect for times when you have a smaller order that doesn t qualify for a Scent Mixer ($150 minimum) or for when you want to pick up a little something for yourself! Through Personal Orders, you can place orders for products from the catalog (commissionable items) as well as supply items. You ll receive your Consultant 25% discounted price for these items. You ll earn PV, which counts toward your title volume requirement, on any commissionable items (which excludes supplies) included in your Personal Order. Ready to Enter a Personal Order? Start on the ORDERS tab on the Scentral Hub. 1. You can start a Personal Order using the START A PERSONAL ORDER link in the upper left-hand area of the page. 2. Enter Your Personal Order. 3. Enter products by SKU number or name in the field at the top of the page. Wait until item comes up in the box and then click on item to populate. 4. Enter the quantity. 5. Hit the + button to add to the order. 6. Repeat until all desired products or supply items have been added to the order. 7. NOTE: the link that says DO NOT USE does not function. Please do not click this link as it will cause errors in your order. 8. In the Shipping section, select a shipping profile from the drop-down menu. 9. You can add a new shipping profile by selecting the + button at the top of the Shipping section and entering the new address information. SAVE when finished and it will be added to your shipping profile drop-down list and may be selected. 10. IMPORTANT NOTE: You cannot ship to a P.O. Box. Also note that the order will ship in your name even if another address has been added. 11. In the Billing Information section, you can choose a form of payment from the dropdown menu or add a new payment method in the same way you added a new shipping profile. Simply select the + button at the top of the Billing Information section and enter the new billing information. SAVE when finished and it will be added to your billing profile drop-down list and may be selected as the form of payment. 12. After you have chosen the form of payment, enter the amount to apply to the order balance and hit the + button. 13. The shipping method is selected for you and shows the amount charged for shipping. 14. Review the order totals and when ready, hit the SUBMIT ORDER button at the bottom of the page. 2

3 How to Place a Scent Mixer Order Tools for Scent Mixer Orders The Scentral Hub offers you an intuitive, online process for setting up and completing your Scent Mixer Orders. Keep this guide handy to help you: Enter Host and Scent Mixer information. Set up the online Host portal to easily manage Scent Mixer invitations. Keep records of the individual guest orders. Manage the Host Rewards. Keep an eye on the Scent Mixer total, including any orders placed on your Personal Website that are associated with the Scent Mixer. Choose how the order will ship: to you, to your host or directly to a customer. Manage payments. Get tips to ensure quick and accurate order processing. Get Started! Log in to the Scentral Hub and navigate to the ORDERS tab. Select the SCHEDULE A SCENT MIXER link on the left of your page. Enter the Scent Mixer information in the fields on the Scent Mixer Setup page. Who is hosting your Scent Mixer? Enter your Host s name. Once your Host s name loads below the text box, click on the name. The Host information will auto-populate if they are already in your Scent Mixer contact information. Otherwise, you will need to enter , phone and address information for them in your Contacts. IMPORTANT NOTE: Before adding a new Host to the Scent Mixer Order, it is recommended that you add them to your Contact List so that all of their information is captured for future use. Scent Mixer Specifics Enter a Scent Mixer Name, Scent Mixer Date and Time. This is how your Scent Mixer will display on your personal website if selected. Choose a recognizable name, such as the Host s name, so their guests will easily find it when placing online orders. Check the LIST THIS SCENT MIXER ON MY PWS box to include the Scent Mixer on your personal website. Take advantage of all avenues of selling to increase the Scent Mixer sales! Check the Use e-vites box so your Host can invitations to her guests. E-vites Enter the Organizer s/host s address so they will receive instructions about sending the e-vites. You can also add Personalized Content to your Host. Click here to view an E-vite Tutorial or visit Toolbox/Scentral Hub at 3

4 GoldCanyonUniversity.com. Where is the Scent Mixer taking place? Select the Scent Mixer location using the radio button. If you need to enter a location other than the Host s address, you will be able to do that. Ship this Scent Mixer Order to Select where the Scent Mixer Order ships to and then CONTINUE. Set Up Guest Shopping Bags by Adding Guests to the Scent Mixer Order The Host name is automatically added as a Guest to the order on the Guest Shopping Bags page. Use the links in the upper left corner to Add Guests or Add Myself as a Guest to the Scent Mixer. Add Myself as a Guest If you would like to add items to the Scent Mixer Order for yourself, then select Add Myself as a Guest. You may order both non-commissionable supply items and commissionable product under your name on the Scent Mixer Order. Most supply items are not commissionable and do not count towards your Personal Volume, however, placing them on your Scent Mixer Orders minimizes what you pay in shipping on those items. Any commissionable items entered under your name are at your discounted price. You may choose to place guest orders under your name if they are paying the total retail amount plus tax and shipping by cash or check and you wish to keep your 25% commission up front. The drawback to this is that the guest/customer may lose out on Customer Specials that need to be entered under a guest and you would lose visibility to that customer s individual order history. We recommend entering customer orders under the appropriate guest name in the Scent Mixer. Your base commission will be paid at the close of the commission period during which the order is submitted. Additionally, when you add a customer as a guest, you will have the option to select the guest s name, enter an amount and apply it to their credit card in the Payment section at the end of the order. Please note this is not an option if you are placing all the orders under your name. Add Guests Any groups you have set up in your Scentral Hub Contacts are displayed here and you may choose to add customers from those groups. You may also enter the guest name and here. If the guest is already in your Scentral Hub Contacts, their name and will auto-populate. We advise that all guests be added to your Contact list before you add them to the Scent Mixer Order so that all contact information is captured for future use. 4

5 IMPORTANT NOTE: The system requires a unique address for all customer orders. If you do not have an address for a customer, you may proceed with the order using this fake address format. Gold Canyon will recognize it as a workaround and not send communications to that address. Here is the format: First.Last.Number@holdgc.com (i.e., sally.brown.1@holdgc.com) Each customer address you create like this must carry a different number to ensure that every address entered into the system is a unique identifier. This holdgc e- mail address allows you to pass this screen and complete the Scent Mixer Order. If you would like the order to be direct-shipped to the guest, please check the box that says, Direct Ship. If this guest is in your Contacts list, the address should auto-populate. Otherwise, you can manually enter the address. Now you can either use the +Add Another Guest link until all guests have been added to the Scent Mixer Order or click SAVE. Adding Items to Guest Shopping Bags There is an enterable ITEM field for each guest on the order. You may search for the product you wish to enter by typing the item description or item number in the Item field. You will see a loading message just below the Item field. When the item you want appears, just select it and it will auto-populate in to the Item field. Place your cursor in the Qty field, enter the quantity you want and click the + button to Add to Cart. As you add items to the Scent Mixer Order, the total for each guest is displayed in the Scent Mixer Summary in the left-hand column. To enter Combine & Save bundled items: Enter the item number or description in the ITEM field, just as you would for any other item. Remember that one 3-pack = a quantity of one. Hit the + button to add to the order. You will be directed to a screen that prompts you to select the items you would like to include in your bundle. Enter item numbers of eligible items (as displayed in the catalog), select quantity and click the + button to add to the bundle. When the bundle is complete, click SAVE BUNDLE to return to the order. To change or delete an item from the order, be sure to use the X radio button to the left of that item and completely remove it. If you would like a different quantity, re-enter the item with the correct quantity. Once all guest orders have been entered, click the CONTINUE button located below the Scent Mixer Summary box to take you to the Host Rewards step. 5

6 IMPORTANT NOTE: You may receive an error if you go back and modify guests carts and their products after you have already entered the Host Rewards. To correct the error, all the items entered in the Host Rewards step will need to be removed then re-entered due to the qualifications changing. Please consider completing the Guest Shopping Bags step entirely before proceeding to the Host Rewards step. TIPS The Scent Mixer Summary in the left-hand column shows the PV Scent Mixer Total from all Scent Mixer Orders, including online orders placed on your personal website for the Scent Mixer. Keep in mind that depending on the date you submitted an order, all of the PV you ve earned to date may not be reflected. If a guest has entered an order AND agreed to host a future Scent Mixer, the Host is eligible to receive a Host Booking Reward! That means they are eligible to order one item at 50% off from that future Scent Mixer. How do you, the Consultant, manage that? The current Scent Mixer Host will order the Host Booking Reward item as a guest at the Mixer of the new Host. They will pay 50% of the retail price plus tax and shipping. Gold Canyon is manually handling this incentive for Hosts. The Consultant must initially cover the other 50% and submit a ticket to Partner Support for reimbursement. Open a new support ticket on the Scentral Hub under the SUPPORT tab. Select the primary category of Promotions/Incentives from the dropdown menu. Enter HOST REWARDS REIMBURSEMENT in the title field. Include the originating Host name and Scent Mixer Order number, the new Host name and Scent Mixer Order number, the item number of the Host Booking Reward selected and the 50% reimbursement amount requested. Enter Host Rewards to redeem Host Credit Items, 50% Product Discount Items and Exclusive Products. Enter items for Host Rewards in the following order: Host Credit/Free Items, 50% Product Discount items, Host Exclusive item Enter items in the Host Credit, Product Discount and Exclusive Product fields in the same way that you entered items to the Guest Shopping Bags. The balance available displays in the upper right corner near the data entry field for each of the Host Reward sections. Remember that Host Rewards do not carry over so be sure to use them all! 6

7 Click CONTINUE when all Host Reward items have been claimed. IMPORTANT NOTE: If you get an Invalid Host Rewards Rule? error, correct it by removing all Host Rewards items and adding them back in this order: Host Credit/Free items, 50% Product Discount Items then Host Exclusive item. Shipping The Scent Mixer Shipping Method step will appear. Please take note and click CONTINUE to move to the Payments step. Payments Apply Payment to: The Scent Mixer Consultants may select a payment type: My Profiles - Bank Account My Profiles - Credit Card Your payment profiles will appear just above the Amount to Apply field when My Profiles is selected. Select the profile you wish to use, enter an Amount to Apply and then click on APPLY TO BALANCE. You will see this amount deducted from the Balance Due and it will appear under Payments applied. When you select Bank Account information, fields will appear just above the Amount to Apply field for you to enter bank account information. Enter the amount you wish to apply and then click on APPLY TO BALANCE. You will see this amount deducted from the Balance Due and it will appear under Payments applied. Apply Payment to: A Scent Mixer Guest Customers may pay for their order with a personal credit card by selecting the SCENT MIXER GUEST radio button and choosing their name from the drop-down menu to apply the payment. DO NOT use the option to enter BANK ACCOUNT information. If a guest chooses to pay with a check, have them make it payable to you, the Consultant, and then cover the payment for their order with your credit card or payment profile on file with Gold Canyon when you pay the balance due on the Scent Mixer. Once all credit card payments have been applied, the balance due can be paid by selecting THE SCENT MIXER radio button and choosing: My Profiles Credit Card With either of these options, simply enter the amount to APPLY TO BALANCE. Once the balance due is zero, you may SUBMIT the order by clicking on the SUBMIT button. 7

8 IMPORTANT NOTE: The system does not support the use of ProPay Spendback, however, Consultants may still use the funds in their ProPay merchant account to pay for Gold Canyon orders. Method 1 Use your Gold Canyon branded card attached to your ProPay account to pay for your order. Method 2 Transfer the money out of your ProPay account to a personal bank account and use either a debit or credit card to pay for the order using those funds. Tracking Upon order completion, you will receive a receipt with an order number. Keep track of this for future reference. You can now view your order in your order history. Click here for more information about the shipping rates or visit the Scentral Hub/Resources/Policies & Procedures. To track orders, click on Numbers & Such on the Scentral Hub. Log in and go to Reports/Administration/Order Shipment Tracking. 8

9 Helpful Hints Cheat Sheet So did you get all that? There s a lot to remember, so chances are you ll need some refreshers. Here s a helpful hint cheat sheet to make getting your orders entered a snap. Personal Order Helpful Hints You cannot ship to a P.O. Box.
