7 Introduction Introduction RMFT Web Client enables users to perform the following tasks using a standard Web browser (Internet Explorer, Firefox, Safari and Chrome): Exchange files with other RMFT users or hosts Upload and download files to and from a shared folder on RMFT Server Upload and download files to and from SharePoint (via RMFT Server) Download files from other RMFT users Your RMFT account settings determines which of the features and capabilities described in this user guide are available to you. If you need to use a certain feature that is documented but not available, please contact your RMFT administrator. Note: This document assumes that you are using Microsoft Internet Explorer. RMFT Web Client is also compatible with Firefox, Safari and Google Chrome, though you may experience slight variations in functionality between the supported browsers. 8 Introduction Terminology Package Files are sent in packages. When sending files, RMFT Web Client creates a special folder known as a package that contains your files as well as various information required to process the package such as the names of the package recipients, when the package expires, and so on. After you send a package, it is uploaded to RMFT Server where it undergoes sorting and processing before being downloaded by the recipients and/or delivered to hosts. Enhanced The RMFT administrator can either configure your RMFT Web Client operating mode as "Lite" (see below) or "Enhanced". If your operating mode is Enhanced, active components will be downloaded from RMFT Server to your computer (if you agree). Active components provide enhanced functionality, enabling you to pause and resume transfers, easily manage the download of multiple files, recover transfers, encrypt/decrypt files and access shared folders. Despite the benefits that RMFT's active components provide, your organization's corporate policy may prohibit the use of active components or you simply may not need the functionality that they provide. If this is the case, you can change your operating mode to "Lite" as described in Operating Mode. For more information on Shared Folders, see 10. Shared Folders. Lite The RMFT administrator can either configure your RMFT user account as "Lite" or "Enhanced" (see above). If your account is configured as "Lite", you will only be able to send packages and download files sent to you by other RMFT users or hosts. Hosts Hosts are computers either within or outside an organization that your RMFT administrator has enabled you to send files to or receive files from. Host nicknames When sending files to a host, you must specify the host nickname and, if required, the target directory nickname. The host nickname is an alias for the actual host IP address while the target directory nickname is an alias for the actual target directory on the host. If instructed by your RMFT administrator, you may only need to specify the host nickname (and not the target nickname). Specifying only the host nickname will send the package to several directories on the same host. Host address format when host and target nicknames are required: host_nickname:target_nickname Example: mozart:requiem Host address format when only the host nickname is required: host_nickname Example: mozart RepliWeb, Inc. 8

9 RMFT Web Client Requirements RMFT Web Client Requirements RMFT Web Client is supported on the following browsers: Internet Explorer (v6.0 and above), Firefox (v2 and above), Safari (v2 and above) and Google Chrome (1.0 and above). The following section explains which browser settings are required for compatibility with RMFT Web Client. IMPORTANT The required browser settings are determined by your account capabilities. If your RMFT user account is configured as "Enhanced" all requirements must be met. If your account is configured as "Lite" only the requirement pertaining to your browser's cookie settings is mandatory. For information about your account capabilities, contact your RMFT administrator. The location of the required browser settings is different for each of the supported browsers and may even be determined by which versions of the browser you are using. The explanations below are accurate for the following browser versions: Internet Explorer 7 Firefox 3 Safari 3.2 If some of the settings in your browser version differ from the versions described in this document, please refer to your browser's online help. When you open RMFT Web Client for the first time, the RMFT Web Client Initial Setup Wizard opens. The RMFT Web Client Initial Setup Wizard enables you to enter required settings and tests their compatibility with your browser's current configuration. Thus, it is strongly recommended to verify that your browser meets RMFT Web Client's requirements before using RMFT Web Client for the first time. See also RMFT Web Client Setup Wizard. ActiveX Requirements ActiveX is RMFT Web Client's default operating mode. The best (and recommended) way of ensuring that your browser's ActiveX settings are compatible with RMFT Web Client is by adding the RMFT Server site to Internet Explorer's Trusted Sites list. However, even if you don't add the RMFT Server site to Internet Explorer's Trusted Sites list, your current browser settings should meet RMFT Web Client's ActiveX requirements. RepliWeb, Inc. 9

Adding the RMFT Server Site to Internet Explorer's Trusted Sites List To add the RMFT Server site to Microsoft Internet Explorer's Trusted sites list. 1. Open Microsoft Internet Explorer. 2. From the Tools menu, select Internet Options. 3. Click the Security tab. 4. In the zone area, click Trusted sites. 5. Click the Sites button. The Trusted sites dialog box opens. 6. In the Add this Web Site to the zone field, enter the RMFT Server IP address or computer name and then click Add. 7. Clear the Require server verification for all sites in this zone check box (the default). 8. Set the Trusted sites security level slider to Low. RepliWeb, Inc. 10

12 RMFT Web Client Requirements Verifying Internet Explorer's ActiveX Settings To use RMFT Web Client's ActiveX Control, Internet Explorer's Download signed ActiveX controls and Run ActiveX controls and plug-ins settings must be set to "Enable" or "Prompt". Unless the default settings have been changed, these should be the current security settings of your browser's Internet zone. To verify your browser's Internet zone security settings: 1. Open Microsoft Internet Explorer. 2. From the Tools menu, select Internet Options. 3. Click the Security tab. 4. Verify that the security level slider is set to Medium-high. Note: If you want the security level to be High (not recommended), you can still meet RMFT Web Client's ActiveX requirements by clicking Custom Level and changing the following settings to "Enable": Under the heading ActiveX controls and plug-ins: - Download signed ActiveX controls - Run ActiveX controls and plug-ins - Script ActiveX Controls not marked safe for scripting Under the heading Scripting: - Active Scripting RepliWeb, Inc. 12

13 RMFT Web Client Requirements Enabling Java When using Internet Explorer, RMFT Web Client offers two operating modes: ActiveX or Java. With all other supported browsers, RMFT Web Client's Java Applet is the only operating mode available. On all supported browsers except Google Chrome, Java plug-in version or above must be installed on your computer. You can download the Java plug-in for your specific platform from Note: Google Chrome requires Java 6 Update 11 or higher, which can be downloaded from: Additionally, your browser's Java plug-in setting should also be enabled (the default). IMPORTANT: Java beta plug-ins are not supported. Internet Explorer v7.0 To ensure that Java is enabled: Add the RMFT Server site address to Internet Explorer's Trusted Sites list. For more information on adding the RMFT Server site address to the Trusted Sites list, see ActiveX Requirements. Firefox v3 To ensure that Java is enabled (the default): 1. Open Firefox. 2. From the Tools menu, select Options. The Options dialog box opens. 3. Click the Content icon. RepliWeb, Inc. 13

14 RMFT Web Client Requirements The Content options are displayed. 4. Ensure that the Enable Java check box is selected. Safari v3.2 To ensure that Java is enabled (the default): 1. Open Safari. 2. From the Edit (Windows) or Safari (Mac) menu, select Preferences. RepliWeb, Inc. 14

15 RMFT Web Client Requirements The following dialog box opens. 3. Click the Security button. 4. Ensure that the Enable Java check box is selected. Secure Connection Requirements Your RMFT administrator may require you to log in securely and authenticate your identity to RMFT Server (see Logging in to RMFT Web Client). If such a requirement exists, you must ensure that your browser's certificate stores contain appropriate client and CA certificates. If you are not sure whether such a requirement exists, please contact your RMFT administrator. Additionally, in order to use RMFT Web Client's Java Applet (if client certificates are required) you must also: 1. Import appropriate client and CA certificates to the Java certificate stores using the Java Control Panel. 2. Be able to access to a keystore containing the required client certificate. You may also need to add the CA certificate to the Java cacerts store (if it is not already included). The default location of the Java cacerts store is: ~\Java\jre1.x.x\lib\security For more information on managing keystore certificates, see: RepliWeb, Inc. 15

16 RMFT Web Client Requirements Proxy Server Requirements Your organization may use a proxy server to connect to external Internet sites. If this is the case, make sure to specify your browser's proxy server settings in the Tools > Preferences >Transfer page. For more information, see Using a Proxy Server. Internet Explorer 7 To verify Internet Explorer's proxy settings: 1. Open Microsoft Internet Explorer. 2. From the Tools menu, select Internet Options. 3. Click the Connections tab: 4. 17 RMFT Web Client Requirements The Local Area Network Settings dialog box opens. Firefox v3 The proxy address and port number are displayed in the Address and Port fields respectively. Note: If the proxy check boxes are selected and the address is not displayed, click the Advanced button to see the proxy details. To verify Firefox's proxy settings: 1. Open Firefox. 2. From the Tools menu, select Options. The Options dialog opens. 3. Click the button and then click the Network tab. RepliWeb, Inc. 17

18 RMFT Web Client Requirements The Network options are displayed. 4. In the Connection area, click the Settings button. The Connection Settings dialog box opens. The proxy address and port number are displayed in the HTTP Proxy and Port fields. RepliWeb, Inc. 18

19 RMFT Web Client Requirements Safari v3.2 To verify Safari s proxy settings: 1. Open Safari. 2. From the Edit (Windows) or Safari (Mac) menu, select Preferences. The following dialog box opens. 3. Click the Advanced button. 4. Click the Change Settings button to the right of the Proxies field. On Windows platforms, Internet Explorer s Internet Options dialog box opens. On Macintosh platforms, Safari s proxy settings dialog box opens. Continue from Step 6 below. 5. On Windows platforms, continue from Step 4 of verifying Internet Explorer s proxy settings. 6. 20 RMFT Web Client Requirements Google Chrome 1. Click the icon in the browser s top right-hand corner. The Google Chrome Options dialog box opens. 2. In the Network area, click the Change proxy settings button and then continue from step 4 of Internet Explorer 7 above. RepliWeb, Inc. 20

21 RMFT Web Client Requirements Allowing Cookies for the RMFT Server Site RMFT Web Client uses cookies to store all your settings including the settings provided in the RMFT Web Client Initial Setup Wizard. To enable RMFT Web Client to save your settings, your browser must allow RMFT Web Client to store cookies on your computer. Unless the default browser settings have been changed, cookies should be allowed automatically. Internet Explorer 7 To allow cookies for the RMFT Server site: 1. Open Microsoft Internet Explorer. 2. From the Tools menu, select Internet Options. 3. Click the Privacy tab: 4. Click the Sites button. RepliWeb, Inc. 21

22 RMFT Web Client Requirements The Per Site Privacy Actions dialog box opens: 5. In the Address of Web site field, enter the RMFT Server address and then click Allow. Firefox v3 To allow cookies for the RMFT Server site: 1. Open Firefox. 2. From the Tools menu, select Options. 3. Click the Privacy button. RepliWeb, Inc. 22

23 RMFT Web Client Requirements 4. In the Cookies area, Click Exceptions. The Exceptions - Cookies dialog box opens: 5. In the Address of web site field, enter the RMFT Server site address and then click Allow. Safari v3.2 To verify that cookies are allowed: 1. Open Safari. 2. From the Edit (Windows) or Safari (Mac) menu, select Preferences. RepliWeb, Inc. 23

24 RMFT Web Client Requirements The following dialog box opens. 3. Click the Security button. 4. Select the Only from sites you navigate to option. RMFT Web Client Setup Wizard When your browser connects to the RMFT Server site for the first time, the RMFT Web Client Setup wizard opens. The RMFT Web Client Setup wizard verifies that your browser's current settings meet RMFT Web Client's minimum requirements. Completing the RMFT Web Client Setup wizard is a requirement for using RMFT Web Client. If you close your browser before completing the wizard, the wizard will open the next time you connect to the RMFT Server site. Note: The tasks performed by the setup wizard will vary based on your user account capabilities (which are set by your RMFT administrator). "Lite" - The wizard will check your browser's cookie settings, after which you will be prompted to log in. "Enhanced" - The wizard will check your browser's cookie settings, after which you will be prompted to log in. After you log in, the wizard will download required active components. For a detailed description of the above terms, see Terminology. If you are prompted to download RMFT's ActiveX or Java components during setup, agree to download them. RepliWeb, Inc. 24

25 RMFT Web Client Requirements Java Prompts The Java prompt will be displayed if you are using Firefox or if Internet Explorer's ActiveX verification failed and you opted to use Java instead. During the RMFT Web Client Initial Setup Wizard's Java plug-in test the following prompt is displayed (the dialog may differ according to which Java plug-in version is installed on your computer): Select the Always trust content from this publisher check box and then click Run. Note: If you do not select the Always trust content from this publisher check box, the Java security warning will open each time you want to transfer or download a file using RMFT's Java Applet. 27 1. Getting Started 1. Getting Started In this chapter: Logging in to RMFT Web Client Changing your User Details Logging in to RMFT Web Client To log in to RMFT Web Client: 1. Open your Web browser. 2. In the browser s Address field, enter the RMFT Server URL and press [Enter]. The RMFT Server URL should be provided by your organization or business partner s RMFT administrator. The default URL is: Server name/ip address>/repliweb-mft/bhub.cgi Or, if you are required to connect securely: Server name/ip address>/repliweb-mft /bhub.cgi For more information on logging in securely, see Secure Connection Requirements. Note: If this is the first time you are using RMFT Web Client or if RMFT Server has been upgraded since your last session, the RMFT Web Client Setup Wizard opens. For more information, see RMFT Web Client Setup Wizard. The RMFT Web Client Setup Wizard will also open if the RMFT Server cookie was deleted since the last time you used RMFT Web Client. For more information about cookies, see Allowing Cookies for the RMFT Server Site. RepliWeb, Inc. 27

28 1. Getting Started Otherwise, the browser loads the RMFT Web Client login page: 3. In the User Name field, specify your address or RMFT user name. 4. In the Password field, specify your RMFT password. If permitted by your RMFT administrator, you can change your password later. 5. (Only applicable to Active Directory RMFT users) In the Domain field, specify your Active Directory domain. 6. To establish a secure connection to RMFT Server, select the Secure connection check box. Note: If you connected to RMFT Server using HTTPS, this option will already be selected. This option requires a certificate to be installed on the IIS Server of the RMFT Server machine. If you want to establish a secure connection but are not sure if the required certificate is installed, contact your RMFT Administrator. 7. To bypass the login procedure each time you open RMFT Web Client, select the Log in automatically next time check box. 8. Click Log In. After logging in, RMFT Web Client will display one of the following pages depending on your user account capabilities: Account Capabilities Send/Receive files to/from other RMFT users/hosts -OR- Only receive files from other RMFT users/hosts Shared Folders only. 29 1. Getting Started Changing your User Details The RMFT administrator determines whether you can change your password and which of your general details you can modify. If you are an Ad Hoc user, you will be required to change your password and may be required to provide more details about yourself. To modify your details: 1. Log in to your RMFT account. 2. Click the icon displayed on the left of the page. The User Details page is displayed: 3. In the General Details section, modify your details as appropriate. 4. To change your password: a. In the Old Password field, enter your old password. b. In the New Password field, enter your new password. c. In the Verify Password field, re-enter your new password. 5. Click Apply. A confirmation message is displayed. 6. Click OK to return to RMFT Web Client. RepliWeb, Inc. 29

30 1. Getting Started Resetting your Password If you cannot remember your password and/or username, you can submit a request for a new password. After submitting your request, you will receive an from RMFT Server containing your username and a new disposable password. To request a new password: 1. Click the Forgot your password or username? link in the login page. The New Password Request page is displayed. 2. Enter your username or and then click Submit. RMFT Server will send you an containing your username and new one-time password (which you will be required to change when you next log in to your account). Renewing an Expired Password Your RMFT account settings may require you to periodically renew your password. If your password has expired, you will be prompted to provide a new password when you attempt to log in. Fill in the fields and then click OK. RepliWeb, Inc. 30

31 1. Getting Started Toolbar Buttons The table below describes the toolbar buttons at the top of the interface. Button Click To Delete packages in your Inbox, Sent Packages or Deleted folder. Delete all packages in your Deleted folder. Switch between Files view and Packages view. The current view will be applied to all your folders and any search results. For more information on the View options, see View Preferences. Open the online Help file. Log out of your account. Download files (only displayed in Files view). 32 2. Sending a Package 2. Sending a Package Files that you send are uploaded to RMFT Server as RMFT packages. Packages consist of your files and RMFT metadata files. RMFT metadata files contain important information such as who to deliver the files to, when the package expires, and so on. After you send a package, it is uploaded to RMFT Server where it undergoes processing before being delivered to hosts or downloaded by users. For information on checking the status of sent packages, see Checking the Status of Sent Packages. In this chapter: Sending a Package Describes the basic requirements for sending a package. Inviting Users Describes how to send packages to Ad Hoc users (users who are not RMFT users). Advanced Tab Explains how to configure advanced options such as security and package expiration. 33 2. Sending a Package Sending a Package Packages can contain files or a message or a combination of both. To send a package you must, as a minimum requirement, specify a recipient. You can also choose additional transfer and security options as described in Advanced Tab. The package sending options differ depending on your operating mode. If your operating mode is Enhanced, continue below. If it is Lite continue from Sending a Package in Lite Operating Mode. For a description of Enhanced and Lite, see Terminology. In order to send a package the only requirement is to specify at least one recipient. All other options such as specifying a subject, writing a message and adding files are optional. Sending a Package in Enhanced Operating Mode To send a package: 1. Click the (New) button in the left pane. The New Package window opens displaying the Package tab. RepliWeb, Inc. 33

34 2. Sending a Package 2. In the To field, specify the recipient names. You can either type them or select them from the Address Book (recommended) by clicking the button next to the To. Recipients can be users, distribution lists and/or hosts. You may also be allowed to send packages to recipients who are not RMFT users. For more information, see Inviting Users. Note: If you cannot remember the recipient s user name or are unable to locate it in the address book, then you can specify his/her address instead. The address will be used by RMFT Server to identify the intended recipient. When typing host names, you must use a special format consisting of the host nickname followed by the target nickname. For example: bach:brandenburg For more information on host name formats, see Terminology. Multiple recipient names must be separated by a semi-colon and no spaces, for example: mike;jane;peter;mozart:serenade Note: RMFT Web Client's auto-complete feature will automatically complete unambiguous recipient names. For example, if the recipient's user name is "andrew" and no other user names begin with "an", typing "an" is sufficient. If you typed the recipient names, it is a good idea to verify whether you specified valid recipient names by clicking the below the button. For more information about checking recipient names, see Checking Recipient Names. 3. To prevent recipients from seeing who else the package was sent to, select the Hide recipients from each other check box. 4. To allow recipients to download files without logging in, select the Allow recipients to download files without logging in check box. This option will only be displayed if it is has been enabled by your RMFT administrator. Note: Selecting this option makes it easier for the recipients to download the files, but it will also allow anyone with access to the recipients computers to download the package files (since login is not required). Therefore, it is advisable to only select this option if the files that you are sending do not contain any confidential information. 5. In the Subject field, enter a package subject. 6. In the Message field, write a message to accompany the package. 7. (Optional) To choose files: a. Click the Add button to the right of the Files field. The Choose file dialog box opens. b. Either double-click a file or select a file and then click Open. The file is added to the list. 8. (Optional) To choose multiple files at the same time: RepliWeb, Inc. 34

35 2. Sending a Package a. Click the Add button to the right of the Files field. The Choose file dialog box opens. b. Perform one of the following tasks as appropriate: o o c. Click Open. Adding a group of files: While holding down the [Shift] key, click the file at the beginning of the group and then click the file at the end of the group. Adding individual files: While holding down the [Ctrl] key, click the files that you want to add. The files are added to the Files field. 9. To remove a file, select the file in the File pane and click Remove. (Use the Shift or Ctrl keys to select multiple files for removal). 10. To send the package, click the Send button at the bottom right of the tab (The Advanced tab also contains a Send button). The Upload Progress window opens. Note: If you are using Java as your operating mode, when sending the package a Java security dialog may ask you whether you want to run BHubApplet. This dialog will only be displayed if: o o You did not agree to always trust BHubApplet the last time you were prompted to do so (either while completing the RMFT Web Client Setup Wizard or while sending a package). The security certificate has been deleted from the Java trusted certificates store. Agree to run the BHubApplet applet. For more information, about sending methods, see Operating Mode. 36 2. Sending a Package Transfer Progress Window The Transfer Progress window opens when you send a package. The Transfer Progress window provides a progress report and transfer-related information, including: Overall transfer progress The total overall transfer progress. Current file - The name and transfer progress of the file that is currently being transferred. Transfer status - The current transfer status. Estimated time left - The transfer progress in terms of remaining time. Files transferred - The number of files transferred so far. Transfer Rate - The current transfer rate. Transfer log - provides various information about the transfer including the name of the directory in which the package was created, the total size of the package, the package ID and how many files were transferred successfully. Note: The total number of files transferred includes two RMFT files (<name>.control and <name>.content) that are created during the packaging process and that are required by RMFT Server. In other words, if you selected four files to transfer, the transfer report will state that six files were successfully transferred. RepliWeb, Inc. 36

37 2. Sending a Package To pause a transfer: Click the Pause button. The caption on the Pause button changes to Resume. To resume a paused a transfer: Click the Resume button. To abort a transfer: Click the Cancel button and then click Done. To close the Sending Package window: Click the Done button. 38 2. Sending a Package Sending a Package in Lite Operating Mode To send a package: 1. Click the (New) button in the left pane. The New Package window opens, displaying the Package tab. 2. Perform steps 2-6 of Sending a Package in Enhanced Operating Mode. 3. To select a file: a. Click the Add button. A Browse button appears. b. Click the Browse button. The Choose File to Upload dialog box opens. c. Double-click the file that you want to send. RepliWeb, Inc. 38

39 2. Sending a Package The file is added to the Files field. d. To select more files, repeat steps a-c. 4. To send the package, click Send. The Upload Progress window opens, showing you the files that you selected to send. While the transfer is in progress, both the Total data sent value and the size of the file currently being transferred are updated every few seconds to show how much data has already been uploaded. 5. To abort the upload operation, click Abort. When the transfer completes, a transfer report is shown. The report includes the total amount of data transferred, the amount of data transferred for each file and the completion status of each file (indicated by an icon). 6. Click Done to close the Upload Progress window. When sending a package, you can override several of your default transfer and security preferences. For more information, see Advanced Tab. 40 2. Sending a Package Checking Recipient Names After typing the recipient names, you can click the below the button to verify that you have specified valid recipients. If all of the recipients are valid, a confirmation will be displayed. Even if you do not click the Check Recipients link, RMFT verifies the validity of each recipient before sending the package. If the validity of one or more of the recipients cannot be verified, the Check Recipients window opens: In the above example, users mi is "Ambiguous" meaning that there are several valid user names beginning "mi" (mike and miles in the example). The other recipient is "Unknown", meaning that he/she is not a valid user. 1. To correct "Ambiguous" recipients, select the intended recipient from the drop-down list in the Corrected Recipient column and then click Add. The recipient is added to the Valid Recipients field at the bottom of the window. 2. To correct "Unknown" recipients, type the correct recipient user name in the Corrected Recipient column and then click Add. The recipient is added to the Valid Recipients field at the bottom of the window. 3. After you have corrected all the recipients, click OK. The package will be sent if you already clicked the Send Package button and if all the corrected recipient user names are valid. RepliWeb, Inc. 40

41 2. Sending a Package If have not already clicked the Send Package button, the program returns you to the Package tab. Selecting Recipients from the Address Book The Address Book contains the names of all the RMFT users or distribution lists to which you are permitted to send packages. Using the search feature, you can easily search for specific users or groups of users that match your search criteria. To select recipients from the address book: 1. Click the button next to the To field. The Address Book window opens. The Address Book is divided into three tabs: Users, Distribution Lists and Hosts. In each of these tabs, the procedure for selecting and searching for recipients is identical. The right side of the tab lists the recipients that you are permitted to send packages to while the left side of the tab enables you to search for recipients. 2. To add recipients, click the RMFT entities to which you want to send the package and then click Done. 3. To search for recipients by the first letter of their name, click a letter on the left as appropriate. 4. To search for recipients using the available search fields, enter a search string in any of the designated fields and then click Find. Note: A search string can contain letters and/or wildcard characters. A single letter can also be used to find recipients. For example, entering a in the Users tab's Last Name field and b in the Address field will find all recipients whose last name begins with a and whose address begins with b. RepliWeb, Inc. 41

42 2. Sending a Package Inviting Users If permitted by your RMFT administrator, you can send packages to recipients who are not RMFT users. These recipients, known as Ad Hoc users, will receive an e- mail, sent on your behalf, inviting them to enroll to RMFT and download the package using RMFT Web Client. To send a package to an Ad Hoc user: Follow the procedure described in Sending a Package, but in the To field specify the address of the intended recipient. Note: If you do not know whether or not you are allowed to invite Ad Hoc users, ask your RMFT administrator. RepliWeb, Inc. 42

43 2. Sending a Package Advanced Tab In the Advanced tab, you can set preferences for the current transfer. Any preferences that you set will override the equivalent default preferences. Available preferences are as follows: Security Preferences Package Notifications Priority and Expiration Preferences Compression and Verification Preferences Security Preferences You can safeguard the package contents and prove your identity by encrypting and signing the package before it is sent. Note: This option is only available in Enhanced operating mode. See also Operating Mode. To display your security preferences: Click Security Preferences. RepliWeb, Inc. 43

44 2. Sending a Package Encrypting Files You can encrypt your package using any of the methods described below. Encrypting Files with the RMFT Server Certificate You can use RMFT Server's certificate to encrypt a package between your machine and RMFT Server. After the package is uploaded to RMFT Server, it is decrypted using RMFT Server's private key. If the recipients' public keys reside on RMFT Server and their profiles are configured accordingly, the package will be reencrypted with their public keys. Note: To encrypt files using the RMFT Server certificate, the RMFT Server certificate does not have to reside on your computer. However, an appropriate certificate should have been imported to RMFT Server. If you are not sure whether such a certificate exists, please contact your RMFT administrator. To encrypt files using RMFT Server's certificate: Select the Use RMFT Server certificate option. Encrypting Files with a Recipient User s Public Certificate This option should only be selected if you are sending the package to a single RMFT recipient (user or host) whose public certificate is stored on your computer. Additionally, this option is only available if the ActiveX option in the Transfer Preferences page is selected. If you encrypt the package using the recipient s public certificate, the package will be encrypted from your computer to the recipient s computer. To encrypt a package using the recipient s public key certificate: 1. Select the Use a recipient s certificate option. 2. In the designated field, specify the subject (or a unique part of it) of the recipient s public key certificate. Encrypting Files Using a Shared Secret If you encrypt the package files using a shared secret, the files will remain encrypted until decrypted by the package recipients. To encrypt files using a shared secret: 1. Select the Use a shared secret option. 2. Select a cipher from the Cipher drop-down list. RepliWeb, Inc. 44

45 2. Sending a Package 3. Specify a shared secret in the Shared Secret field. 4. Re-enter the shared secret in the Verify Secret field. To decrypt the package files, the secret and the encryption cipher must be known to the package recipients. Signing Files You can sign a package using a certificate containing your private key. Signing a package proves to the recipients that you are the package sender. To sign the package: 1. Select the Sign file using this certificate check box. 2. In the designated field, specify a unique part of your private certificate subject. Package Notifications You can request to be notified by when any of the following events occur: Package has been distributed to recipient s inboxes on RMFT Server Package has been delivered to hosts Package activity notification You will be notified whenever recipients open the package or download any of the package file. Note: If you select this option, you will also receive a final status report when the package expires. The report will inform you which files each recipient downloaded and which recipients did not open the package (if any). To request package notifications: 1. Select any of the available options. 2. Specify an address in the designated field. RepliWeb, Inc. 45

46 2. Sending a Package Priority and Expiration Preferences You can assign a priority to the package and set an expiration date after which the package will no longer be available for download. To display your priority and expiration preferences: Click Priority and Expiration Preferences. Assigning a Package Priority You can assign a priority (level of importance) to each package. Packages in the recipients' inboxes will indicate their priority level with an appropriate icon. To assign a priority: From the Choose a package priority drop-down list, select Normal, High or Low as appropriate. Setting a Package Expiration Period You can set a package expiration date after which the package recipients will no longer be able to download the package. Note: The maximum expiration period defined on RMFT Server is specified at the end of the note below the Package will expire within fields. The expiration period that you specify cannot exceed the maximum expiration period defined on RMFT Server. To set a package expiration date: Select the Package will expire within check box and then specify the number of days, hours and minutes in the designated fields. RepliWeb, Inc. 46

47 2. Sending a Package Compression and Verification Preferences You can compress packages for improved transfer speed. The package will only be compressed during transfer and will not need to be unzipped by the recipients. You can also verify that the package contents have not been altered during transit. Note: This option is only available in Enhanced operating mode. See also Operating Mode. To display your compression and verification preferences: Click Compression and Verification Preferences. To zip the files during transit: Select the Zip package check box. Note: Zipping large files or certain file types may increase transfer speed while zipping file formats that already compressed (such as jpegs and mpegs) will have little effect on file size and may even reduce the transfer speed and place an unnecessary burden on the CPU. To verify that the package had not been altered during transit: Select the Verify that files have not changed during transit check box. Note: If a disparity between the source and target files is detected, the package transfer will be aborted. RepliWeb, Inc. 47

48 3. Inbox Folder 3. Inbox Folder Your Inbox folder will either display a list packages or a list of files sent to you by other RMFT users. See View Preferences for an explanation of how to switch between Files view and Packages view. A package can contain files or may simply contain a short message from the sender. Note: In Files view you will not be able to see packages that only contain a subject or message. In this chapter: Downloading Files in Packages View Downloading Files in Files View Replying to the Package Sender Forwarding a Package Viewing Package Properties To access your Inbox folder: Click Inbox in the left pane. The Inbox folder is displayed. New packages are indicated by bold text. Your Inbox folder contains the following columns: From The RMFT user name of the package sender. Subject The package subject as specified by the package sender. Date The date and time that the package/file arrived in your inbox. Size The total size of the file in the package (in Package view) or the size of the individual file (in File view). Status The current distribution/delivery status of the package (not displayed in Files view). RepliWeb, Inc. 48

Inbox Folder If more than twenty packages/files are displayed you can view all your packages/files by clicking the First, Previous, Next and Last buttons at the top and bottom right of your Inbox folder. Downloading Files in Packages View In Packages view, you can download package files one at a time or you can download several files concurrently. There are two ways of downloading files: Enhanced (recommended) Use this method to enable recovery of interrupted downloads, managed download and data verification. Standard Use this method if your operating mode is Lite (i.e. no RMFT active components - Java Applet or ActiveX - are installed on your computer). Files will be downloaded using standard HTTP/S protocol. Both of these methods are described in detail below. To download package files: 1. Switch to Packages view (the default) by clicking the View toolbar button and selecting Packages. 2. In the Subject column of your Inbox folder, click the subject of the package. The Package Details window opens displaying the Package tab. You can see more detailed information about the package by clicking the More button at the bottom left of the tab. 50 3. Inbox Folder 3. In the Files list, select the files that you want to download. Enhanced Download If you pause a download and then click Cancel or if the Package Details window/browser is closed while a download is in progress, the download becomes recoverable. Downloads that are suddenly interrupted due to unforeseen circumstances (e.g. power failure) are also recoverable. You can resume the download at a later date as described in 6. Resuming Incomplete Transfers. This is especially useful, for example, if you are downloading a large file and network problems interrupt the download or if you need to perform an urgent task that requires you to close the browser before the download has completed. To download files: 1. Select the check boxes next to the files that you want to download. 2. To replace files existing files with the same name, select the Replace existing files check box. 3. To verify that the file(s) transferred from the source machine are identical to the files that arrive at the target machine, select the Verify files check box. Note: If a mismatch is detected, the transfer will only be aborted if the Abort on file transfer error check box is also selected. 4. To abort the download if one of the files cannot be downloaded, select the Abort on file transfer error check box. Note: If you do not select this check box, the download will continue even if some of the files cannot be downloaded. 5. Click Download. The Browse for Folder (ActiveX) or Select directory (Java) dialog box opens. 6. Select the folder in which you want the files to be saved and then click OK (ActiveX) or Select (Java) to start the download. The Transfer Progress window opens. RepliWeb, Inc. 50
