Summary of Steps: (see below for detailed instructions) 1. Retrieve Patient Chart in Logician 2. Begin with Print Command 3. Expand the Letters Folder 4. Select the Desired Letter Template 5. Select Additional Print Options 6. Change User to Dictating Provider 7. Transcribe the Dictated Letter 8. Print the Letter 9. Save Letter to Patient s Chart (with routing as appropriate) Detailed Workflow: 1. Retrieve Patient Chart To begin transcribing dictated letters directly into Logician you must first locate the appropriate patient s chart. From the desktop click on the Chart Button Page 1
2 Note: If this is the first encounter of the day and you have not accessed a patient s chart, the Find Patient dialog box will display. Within the Find Patient dialog box, choose the desired Search by criteria. In the example below, name is the desired Search by criteria. In the Search for selection box, the patient s partial name has been entered. Click the Search button to query the patient database. Once the database has been queried, the search results will display within this dialog box, click on the appropriate patient name if there are multiple results. Click the OK button to bring up the patient s chart within Logician. Page 2
3 Patient s chart is open. Note: If you click on the chart button and it opens a patient s chart, to open a new chart click on the Find Patient button Patient dialog box. located on the toolbar. This will activate the Find 2. Begin with the Print Command Once in the patient s chart, you will need to select the Print button from the taskbar. The print dialog box will appear. Page 3
4 3. Expand the Letters Folder Under the Print Topics column you will need to expand the letters folder. Select the plus next to the Letters folder. You will see categories listed for specific clinics. Select the Surgery folder. Page 4
5 4. Select the Desired Letter Template Displayed in the right-hand column under Print Items are letter templates that were established for your clinic. Select the Generic Letter template. 5. Select Additional Print Options Additional options are available for printing additional file copies, printing a mailing label, and saving the document in the chart. Printing Additional File Copies: If you select this option, an additional copy will automatically print. This may be necessary if the letter has a carbon copy, or a copy needs to be mailed elsewhere. 6 Print Mailing Label: This will print a mailing label for you. You will need to make sure the appropriate label paper is in the printer prior to printing. Note: The order of printing is the letter, any additional copies, and then the mailing label. Save as Document in Chart: This will automatically save the letter in the chart for you. Note, if the letter does not need to be saved in the chart you do not need to select this option. Should you need to save the letter in the patient s chart, once you place a checkmark next to Save as Document in Chart, the option to change the user becomes active. 6. Change User to Dictating Provider You should change the user to the provider who dictated the document. From the dropdown list select the appropriate provider, or select the binoculars appropriate provider. to search for the 7. Transcribe the Dictated Letter You are now ready to transcribe the letter. Select the Customize button. The Customize Letter dialog box will display. Page 6
7 From here you will need to transcribe the letter into the text box. You will notice that you have options similar to Word where you can change the font, font size, bolding, italics, underlining, justification, bullets, spell check, cut, copy and paste. 8. Print the Letter Once you have completed transcribing the letter and you are ready to print the letter, select the Print button. The letter will automatically print to your default printer. Page 7
8 9. Save Letter to Patient s Chart (with routing as appropriate) Saving the Letter as a Document in the chart will require you to route the document to the appropriate provider. Once you select the Save button appear. the Route dialog box will If you are a Resident and the letter requires your Attending Physician s co-signature, select the New button to select the provider to route the letter to. The New Routing Information dialog box will appear. Select the appropriate provider from the dropdown list. Page 8
9 Change the Reason to Signature. You may change any additional options as well as enter a comment if necessary. Once you are finished, select the Ok button. Once you select Ok you will return to the Route Document dialog box. Click the SIGN button if you are a Resident or a Physician. If you are a MA entering the letter for the provider DO NOT SELECT THE SIGN BUTTON. Providers and Residents will select the Sign button. If the resident has entered routing information, the letter will be routed to the Attending for co-signature. Transcriptions, MA, and/or Healthcare Assistants will select the Route button route the letter to the provider to sign. to The letter is then routed to the provider for them to sign, which will place it in the chart permanently.
