2 REQUEST FOR PROPOSAL (RFP) Introduction Established in 1873, the University of Illinois Alumni Association is an independent, university-related 501(c)(3) not-for-profit corporation. The mission of the University of Illinois Alumni Association is to champion the betterment of the University of Illinois by embracing thoughtful stewardship of the University s heritage, brand, resources and future through the active engagement and empowerment of its alumni community, prospective and current students, faculty and staff members, supporters and fans, and local campus communities. The UI Alumni Association strives specifically to successfully connect, inspire and celebrate our global, highly diverse alumni base. The vision of the University of Illinois Alumni Association is to serve as a compelling and persuasive advocate for a dynamic, constantly improving University of Illinois by effectively leveraging the creative energies, wide-ranging talents and generous contributions of the well-connected, best-informed and most-committed university alumni in the world. The University of Illinois Alumni Association s Main Web site: The University of Illinois Alumni Association s Main Facebook Page is: Purpose The University of Illinois Alumni Association ( Alumni Association ) is seeking proposals for consulting services to provide cloud-hosted social media monitoring, measurement & engagement platforms in order to accomplish our targeted objectives. Scope of Work The University of Illinois Alumni Association seeks to capture, measure and engage social media users who are alumni of the University of Illinois and who also actively comment, post, review, or promote the University of Illinois. Furthermore, we seek to listen to social media messages within our targeted market segments in order to better focus and fine-tune our engagement strategies. To this end, we seek to contract with an entity that can provide a product that will best meet our specific social media needs. The social media monitoring RFP scope of work will fall within the strategic themes and objectives of the University of Illinois Alumni Association listed below: - 2 -
3 Theme 1: Kindred Forever Become the primary clearinghouse for all alumni to broaden and strengthen their lifelong relationship with the University of Illinois. Carefully listen to the alumni community and University partners to establish actions that are achievable, appreciated and beneficial to the University. Objective 1: Provide the principal gateway to pair alumni interests with University needs Objective 2: Provide the principal gateway for alumni to share their opinions about the University Objective 3: Provide the principal gateway for alumni to connect with current/prospective students Objective 4: Guide alumni interests in supporting a comprehensive advancement model Theme 2: Brand Enhancement Implement marketing operations that clearly support and seamlessly integrate with the University s overall strategic messaging plan. Specifically design policies and programs that highlight the UI brand, and connect alumni needs and interests with University goals and capabilities. Continually explore new opportunities that expand recognition of and richly develop an enduring appreciation for the University of Illinois and its graduates. Objective 1: Conduct ongoing assessment of alumni sentiment and attitudes Objective 2: Provide targeted and consistent information to alumni about the University Objective 3: Provide targeted and consistent information to alumni about alumni Objective 4: Provide targeted and consistent information to legislators and civic leaders about alumni Theme 3: Connection and Engagement In conjunction with University partners, create and serve a widely connected, broadly engaged alumni community that is well known, highly respected and broadly impactful to the University of Illinois, and to the state, nation and world. Objective 1: Provide the principal gateway to encourage personal and professional interactions Objective 2: Provide a comprehensive, accurate and updated alumni directory Objective 3: Optimize third-party social media to connect alumni with each other Objective 4: Facilitate profession-based alumni engagement forums and groups Objective 5: Facilitate constructive engagement between the University and legislators, civic leaders and others Theme 4: History and Traditions Become the recognized custodian of key institutional history and traditions that instill and preserve University pride and loyalty throughout the alumni community. Objective 1: Present content through various media that celebrates the University s history and traditions and its contributions to society Objective 2: Provide recognition to outstanding alumni for their accomplishments and contributions that enhance the University s reputation and brand - 3 -
4 Vendor Response and Proposal Please respond to the following questions and attach your responses to your submission. 1. Describe your methodology or approach to social media monitoring, including any relevant case studies and/or past related work experience. 2. Describe the services offered as part of your proposal. Please address your ability to meet the following requirements: a. Ability to provide eight (8) end user accounts. b. Ability to provide eight (8) dashboards. c. Ability to provide unlimited keyword search-ability. d. Ability to provide 10 search folders with unlimited keywords. e. Ability to provide dashboard analytics. f. Ability to provide real-time metrics and analysis. g. Please specify types of reports available through the proposed interface. h. Ability to export articles to Microsoft excel with ComScore source data. i. Ability to share articles via Facebook, Linked-in and Twitter. j. Please specify forwarding, archiving and translational tools. k. Please specify available analytical tools and their functionality. l. Ability to provide a Social Media monitoring tool including the ability to monitor Linked-In, Facebook, Twitter, Instagram. m. Ability to access to world-wide media clips. n. Monitoring capability of TV and radio broadcasts. o. Access to TV and radio transcripts. p. Please specify number of online news sources available. q. Please specify number of blogs available. r. Please list customizable functions. s. Please specify if mobile/tablet interfaces are available including supported platforms. t. Ability to provide on-site training for end users. 3. Identify and provide biographies of key personal who will be assigned to this project. If work requires the use of subcontractors, so indicate. 4. Provide a list of references. 5. Provide a Budget. a. Please submit expense projections for the entire term of your proposed services. Describe assumptions that form the basis for your projections. b. Method and rate of compensation hourly fee, daily fee, monthly fee or flat fee. c. Include terms of payment. Please review the background material and respond as completely as possible
5 Evaluation Criteria Services offered and ability to meet requirements 35% Relevant experience based upon similar engagements 25% Financial Terms 15% References 15% Key Personnel 10% Presentations Two finalists may be invited to make presentations to the selection committee, in person and at the bidder s expense, at the Alice Campbell Alumni Center.
