Executive Administrative Assistant for 11 HOA'S while provisionally managing a portfolio of 4 Communities. Accounts Payable Clerk/Receivables Clerk.Front Desk Receptionist to HOA Division and Property Management Division HOA DIVISION I have both HOA and Property Management HOA experience Receive phone calls per day -answer and transfer for (3) corporate divisions Apartments/HOA/Single Family Homes for a total of 12 staff members. Accounts Payable Department Clerk and Accounts Receivable Fill out, complete, check request and mail NRED and SOS compliance forms ( etc) Attend Board Meetings, take minutes. Type out minutes scan and file. Maintain homeowner accounts that includes: violation reports, architectural submissions and all correspondence. Receive and stamp incoming assessment checks give to Community Manager to place in Vms for receivables. Create and mail association nomination forms and cover letters. Alerted vendors, to new association management contracts and mailing addresses. Place all new associations CC&R S in VMS for compliance. View-amend and send assessment and fine collection policy s per individual associations per CC&R s Mail/certify mail late notices, final delinquency notices and intent to lien notices. Property Management HOA- I led the HOA division overseeing 1400 individual Homowners approximatley 400 different HOA's. Contacted Correct Management Co using Secretary of State website Prepared all documents for Homowner signature Purchased all common area keys, gate remotes etc for future Tenant Notified Tenant and Homeowner of HOA Violations Notified HOA that Tenant was advised of alleged violation. Followed up with Tenant on violation or called a Service Provider to correct. Attend hearings on Homeowners behalf if needed. Sent HOA all Property Management Agreements, Leases and Authorization forms. RECEIVABLES Retrieve incoming assessment checks deposit via Net Capture Business-Digital Check Teller Scan TS240 Create monthly receivable, payables, journal entry folders. Homeowner refunds in VMS. 1 time ach payments. Communicate with bank any software problems. Communicate with bank for check look ups or discrepancies.

2 Process lockbox files, print lockbox summary s for receivables files. Create adjustment batches for monthly fines for Homeowner compliance account. PAYABLES Make check request. Place all data from invoice into payables vms system for check to be printed. Correspond with Board Members in order to have them approve invoices for payment. Stuff and mail to vendors. Run AP vendor ledgers. Run AP vendor registers. Void checks for payables. File all payables. DELINQUENCIES Reconcile delinquency summaries against 120 delinquencies- verify with prior management cocollection agent. Track status, write payment plans and monitor according to NRS. Send to collection attorneys. FRONT DESK Hand out job applications, back ground checks and drug testing documents. Communicate with HR when dealing with possible new hire appointments, check in and out candidates. Respond to HOA calls and s Read, route, and organize all incoming and outgoing communications including written, fax, electronic, phone, and mail. Respond to and facilitate client, resident, and vendor issues and concerns. Receive all mail for Corporate, HOA and Property Management Division. Sort, stamp, open and or deliver to the appropriate divisions. Organize, maintain, and store paper and electronic files including but not limited to Permanent files, Insurance files, Project files, and Incident files for HOA properties. Maintain an organized office with notes, materials, and supplies readily available. Take calls for (14) apartment complex s when rolled over, 8 HOA s, and roll over Property Management calls. Support HOA division, and other upper Management with contracts, market surveys, ongoing tracking programs and special projects. Handle HOA Answering Service Emergency Calls as directed by HOA Division Manager Condo Certs-Preview all order, process demand statements by filling in pertinent information. CORPORATE RELATED Greet and facilitate people who contact Management by phone or in person calls per day. Read, route, and organize all incoming and outgoing communications including written, fax, electronic, phone and mail. Respond to and facilitate management, client, resident and vendor issues and concerns. Monitor Management Cares calls and s and report daily activities to appropriate Regional Manager. Receive package deliveries and route to appropriate department. Maintain and monitor all Management document storage (paper and electronic) including but not limited to insurance, legal, contract files, etc. Organize, maintain, and store paper and electronic files including but not limited to Permanent files, Insurance files, Project files, and Incident files. Maintain an organized office with notes, materials, and supplies readily available. PROPERTY MANAGEMENT Created a 10th Month Inspection Program using Appfolio and Happy Inspect software. Oversaw 6 employees on the Inspection Program Team. Used Appfolio to send 80 heads up inspection s a month. Edited inspections in Happy Inspector software and sent to Homeowner.

3 Advised Tenant of Happy Inspect results and their lease responibilities such as oil stains, A/C filters etc. Communicated to Homeowners and advised on items they may need to addresss, such as water meter, carpet, any damage to home. Documented corrspondence in a spreadsheet. ESTIMATING ASSISTANT MK House Consulting March 2012 May 2012 Receive phone calls or from potential clients who have a RFP (request for proposal). Place client and job information into Quick Base. View job sites after receiving phone RFP. /communicate with clients i.e. HOA managers, Homeowners etc. Generate quote templates with verbiage from Estimator, create Quotes. , mail or hand-deliver the quotes to Homeowners, HOA Managers etc. View job sites for status of job and report to Estimator my findings. Place all job walks and meet ups in Google Calendar. Provide information by answering questions and request in customer service. Document, Document, Document. Promote business thru networking events. Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheets. Open, view, sort, incoming correspondence, including incoming s. Evaluate customer satisfaction and improve on it! Receive job approvals from Homeowner or HOA Managers, enter job approvals in Quick Base.
