Aims of this session To understand What is Je-S Why transfer from EAA to Je-S? Timeline for MRC and NC3Rs to transfer to Je-S EAA and Je-S: what s changing and any MRC/NC3Rs scheme specific requirements
Introduction: What is Je-S? An electronic cross research council (RC) grant, fellowship and studentship application and research administration system One of main ways research organisations (ROs) provide information to RCs launched in 2003, developed quickly with expanding functionality and phased take up by RCs MRC capturing students details via Je-S from 2004 99% system availability Used by ROs, applicants, students and peer reviewers Over 800 ROs now work with Je-S Nearly 140,000 users of Je-S Nearly 20,000 proposals submitted in 2009 Over 44,000 reviewer requests sent out in 2009

More functionality It provides our external communities with a central cross RC access point harmonised application, peer review and research administration a common user experience one route for grant communications Resilient, robust, modern and future proof system Supported by a wider range of web browsers Tried, tested and liked by the external user community Je-S is a good example of the RCs working together to be more efficient
MRC/NC3Rs Transfer to Je-S: Timeline Timeline dependent on phased transition of RCs to the new RCUK Shared Services Centre and harmonised back office MRC/NC3Rs competitions with deadlines Up to end March 2011 - submitted via EAA business as usual From April 2011 submitted via Je-S (can start using w/c 21/3/11) Applicants to prepare proposals off line in the interim Some dual running of EAA and Je-S from April until July 2011 (EAA being used for Peer Review only) Phased implementation from 21 March 2011 of Je-S functionality for administering existing awards Extra resource provided to the Je-S helpdesk to support transfer

MRC/NC3Rs transfer to Je-S: key changes (1) Look and feel will be different to EAA New electronic functionality for users (ROs, applicants & peer reviewers) Je-S Common Data Repository (CDR) with RO and People contact details Electronic studentship and fellowship management More automatic system validation during application submission More application information (e.g. ethics, animals, industry etc) Requested resources - not on a year by year basis
MRC/NC3Rs transfer to Je-S: key changes (2) Classifications to identify responsible MRC Programme Manager Peer review adopting harmonised approach 10 day turnaround Je-S standard form and process Pre-award tracker, status reporting and grants maintenance Submission of offer acceptances and starting certificates Deliverables e.g. interim/final reports, expenditure statements etc Emails Je-S standard e-mails
MRC/NC3Rs scheme specific requirements in Je-S You will no longer select a PM on submission but a deadline date Different schemes allow different attachment types check the scheme/call guidance Some schemes not paid at 80% RCC e.g. NPRI. This will be shown on Je-S at the application stage Document menu is the same questions contained within may be different dependent upon scheme Fellowship applications have same content and studentship applications based on current paper versions
What does this mean for you? Many ROs are already familiar with Je-S but please support any Principle Investigators and Peer Reviewers in need of help MRC Je-S available w/c 21/3/11 for applicants submitting to MRC/NC3Rs competitions with deadlines from April 2011 onwards Some dual running of EAA and Je-S from April - July 2011 (EAA peer review) EAA and Je-S are not inter-changeable applications in preparation on EAA cannot be transferred to Je-S EAA is now time limited any historical applications held on EAA need to be retrieved by 31 March 2011 for future use. ROs, please check that your RO is registered with Je-S and that you have the appropriate approver/submitter pools on Je-S There will be a phased implementation of Je-S functionality for administering existing awards so not all functionality available from day 1
