CALL HANDLING FEATURES PLACING A CALL To Place an Outside Call Lift the handset and dial the number. To place a call using a headset, press the Headset button and dial the number. To place a call using the speakerphone, press the Speaker button and dial the number. The first available Call Appearance line lights solid green when the line is active. ANSWERING A CALL ENDING A CALL MUTE HOLD If you do not retrieve the call from hold, It will ring back to you after 300 seconds (Flexible setting at system admin level). TRANSFER Sends a call from your extension to another extension. To Answer a Call, do one of the Following Lift the handset. If you are using a headset, press the Headset button. To use the speakerphone, press the Speaker button. To Answer a Second Call while on an Active Call 1. Ask first caller to hold. 2. Press the line appearance of the second call. The existing call is place on hold automatically. Toggle between the callers by pressing the appropriate Line Appearance button. To End a Call Hang up the handset. If you are using a headset, press the Headset button. If you are using the speakerphone, press the Speaker button. While on an active call, 1. Press the Mute button. The indicator next to the Mute button lights. The microphone for your handset (or headset or speaker) is disabled until you press the Mute button again. To Place a Call on Hold 1. Press the Hold button. The line button flashes green. Retrieving a Held Call 1. Press the line button of the held call. The call is now active. To Transfer a Call 1. Press the Transfer button. This puts the caller on hold. 2. Dial the extension number to which you want to transfer the call. Stay on the line and announce the call. 3. Press the Transfer button to complete the transfer. NOTE: If the party refuses the call, press the call appearance to return to the original call. 2 Proprietary to CPCS 1608 Document

TRANSFER A CALL DIRECTLY TO VOICE MAIL To Transfer a Call to Another User s Voice Mailbox (using short code if administered) 1. During a call, press the Transfer softkey. 2. Press [#]. 3. Dial the extension number of the user. 4. Press the Transfer button to complete the transfer. To Transfer a Call to Another User s Voice Mailbox (using the standard method/no short code) 1. While on a call, dial *17. 2. Dial the extension number of the user. 3. Press the Transfer button to complete the transfer. CONFERENCE Allows you to conference up to 6 parties on a call (including yourself) so you can conduct a 3-way conversation. Conference 1. While on the current call, press the Conference button. The current call is placed on hold. 2. Dial the number of the next party. 3. Press the Conference button again or press the Conf softkey to add the new party to the call. Repeat Steps 1-3 to join additional parties into the conference call. Using the Conference Button to Add a Held Call to an Active Call 1. Press the Conference button. 2. Press the Call Appearance button of the original call on hold. 3. Press the Conference button again. All parties are now connected. Dropping a Specific Party from a Conference Call 1. Press the Details softkey to display a list of call participants. 2. Highlight the person you would like to remove from the conference call using the Navigation Arrows. To drop the highlighted caller from the conference, press the Drop softkey. Note: To exit the conference display list, press the Exit softkey. PARK / PARK RETRIEVE (If Administered) If the person intended for the call does not retrieve it, the call will return to the party that parked it after 300 seconds (factory default). FRONT DESK (If Administered) Allows one-touch dial to the Front Desk of your building. To Park a Call 1. While active on a call, press one of the Park buttons. The call is automatically put on hold. To Retrieve the Parked Call 1. Lift your handset. 2. Press the appropriate Park button twice. To Call the Front Desk 1. Press the Front Desk button. ADDITIONAL FEATURES RINGING PATTERN Changing ring tone CALL LOG Your call log contains the most recent 10 missed call, 10 most recent answered calls, and 10 most recent outgoing calls. Missed Calls Missed calls are calls to your phone that you did not answer. The Call Log button is illuminated when you have any new missed calls in your call log. The lamp is extinguished when you have viewed the missed call in the call log or the record of that call is no longer in your call log. CONTACTS Maximum of 100 contacts 1. Press the Menu button. 2. Press the Select softkey. 3. Use the Navigation Arrows to locate Personalized Ringing. 4. Press the Select softkey. 5. Use the Navigation Arrows to scroll through the different available ring patterns. 6. Press the Play softkey to repeat the currently display ring pattern. 7. To select the highlighted ring pattern, press the Save softkey or press the Cancel softkey to cancel. 8. When completed, press the Done softkey. 9. Press the Exit softkey to exit the menu. To Access the Call Log 1. Press the Call Log button. The display will change to show your call log records. The caller's name is shown if known, otherwise the number. 2. Use the left and right arrow keys to select which call log records you are viewing. 3. Use the Navigation Arrows to scroll through the records. To Place a Call to someone in your Call Log 1. Highlight the name in the list. 2. Press OK to place the call to the highlighted entry. OR 2. You can use the functions listed at the bottom of the display by pressing the softkey below the function name. The functions are: Call - Make a call to the number stored in the currently displayed call log record. Details - Display more details about the current call log record. You can then also add the caller details to your personal directory if desired. More - turn the softkey page to other possible functions. Delete - Deletes the current displayed record. Del All - Delete all the call log records, not just the current types of records being shown. 3. To exit the call log, press the PHONE/EXIT button. To Add a Contact to the Personal Directory 1. Press the Contacts buttons. The directory menu is displayed. 2. Use the Navigation Arrows to select Personal Directory. 3. Press the New softkey. The menu now allows editing of the name and number. 4. Use the Navigation Arrows to switch between number and name entry. 5. When the name has been entered as required, press the OK softkey. 6. When the number has been are required, press the Save softkey. 7. To exit without making any changes, press the Cancel softkey. 4 Proprietary to CPCS 1608 Document

CONTACTS (Continued) Making a Call from the Contacts List 1. Press the Contacts button. 2. Use the Navigation Arrows to select which type of directory entries you want displayed. Directories include: All - Lists entries from all directory entries. External - Lists directory entries stored by the telephone system for all users to use. Groups - The names and numbers of Departments/Groups on the system network. Users - The names and numbers of other users on the system network. Personal - Your own personal directory entries. 3. Press the List softkey to display all the directory entries, or start spelling out the name using the dial pad to display only matching entries. 4. Use the Navigation Arrows to scroll through the matching entries. 5. To return to the start to match a different directory selection, press the Back softkey. 5 Proprietary to CPCS 1608 Document
