Open a project plan In you can open a project file from various locations: - cloud (Dropbox, Google Drive, Box, OneDrive, Basecamp) - via an URL - from MS Project Server - from SharePoint or - directly from your local disc (My Computer) or network locations 4

Create a new project plan First you should define a project by clicking the New button on the Standard toolbar or choose New from the File menu and entering a project start date You could also specify some general settings such as: - date format (Tools menu Options View tab select desired Date format) - currency options (Tools menu Options View tab select Symbol, Placement, Decimal digits and Currency) - default Task type (Tools menu Options General tab select Fixed Duration, Fixed Units or Fixed Work) 6
Insert Tasks and enter tasks duration You can quickly create a task list for your schedule by entering tasks in the Gantt table To enter a task select the task row where you want to insert a new task, type a task name in the Task Name field and press Enter or Press arrow down As you add a task to your schedule, assigns a default duration of one day (1d) You can assign durations to tasks using minutes (m), hours (h), days (d), or weeks (w) You can change the durations as you add each task or after you finish entering all of them 7

Define outline structure You can use outlining to arrange tasks in a hierarchical structure so you can see how subtasks fit within broader groups of tasks called summary tasks You can indent a task or multiple tasks by clicking the Indent button on the Formatting toolbar, choose Outlining from the Project menu, and then choose Indent or by using drag and drop options In a similar fashion you can outdent a task: select the task, and then click Outdent button on the Formatting toolbar, choose Outlining from the Tools menu, and then choose Outdent or use drag and drop options 9

Schedule tasks With the four different task relationships available in Project Plan 365, you can easily link tasks in your schedule to reflect or model the way your project really works provides four different types of task relationships you can use to connect a series of tasks in a schedule: Finish-to-start (FS), Start-to-start (SS), Finish-tofinish (FF) and Start-to-finish (SF) To link tasks you should type the predecessor value for tasks you want to link or use Drag and Drop method in Gant panel 11

Insert resources With, you can assign resources to tasks, and then use tools and views to manage those resources and the overall project more efficiently Two types of resources are supported: Work (human resources) and Material (equipment) You can create a new resource in Resource Sheet view by entering data for each field You can assign resources by using the Resource Name field in Gantt Chart view or by using the Assign Resource Dialog from the Tools menu 13

Show Critical Path The critical path is the series of related (linked) tasks that directly impact the finish date of the project. Assigning costs to tasks and resources For many project managers, cost is an important aspect of project scheduling and control By assigning costs to tasks and resources, you can use to monitor the cash flow of your project You can assign a rate for a resource in the Resource Sheet view by typing the rate in the Std. Rate, Ovt. Rate, or Cost/Use field for the resource You can assign a fixed cost to a task by choosing the Cost table in Gantt Chart and typing the cost in the Fixed Cost field for the task 17

Formatting Format text: You can apply some formatting (Font, Font Style, Size, Color, Background Color) to your text in your project by using the Format Font menu Format a task bar: you can format a task bar by choosing Bar from the Format menu 24

Tracking the Progress of project plan It is important to track whether tasks start and finish on time You can enter the actual start and finish dates for a task by choosing Tracking table and under Actual, typing the dates in the Start and Finish boxes You can indicate how much progress has been made on a task by entering the percentage of the total task duration that is complete You can enter the progress on a task as a percentage in the Task Information window or by inserting a value in the % complete column from the Gantt table 27

Filter The filter option allows the user to view a particular type of information in the project by displaying only the information the user is interested in and hiding the rest Task Filters: allow the user to view specific aspects of tasks Resource Filters: allow the user to view specific aspects of resources Custom Filters: Housatonic application provides all standard filters but also custom filters as they were defined and saved in MS Project for a particular file Highlight Filters: You can view the filtered information as highlight text by setting the filter as highlight filter 30
