Create a Visual Treatment Plan with CAESY CAESY video presentations are the ultimate visual aid when creating a treatment plan for a patient. While compiling a treatment plan with a patient, you can launch the CAESY Power Presentation and display informative video presentations that visually walk through each step of a procedure. In the Power Presentation, you can also attach X-rays and imaging exams to help you specifically explain the procedure using the patient s own teeth as a visual aid. Use the CAESY printables to provide an enhanced take-home explanation of treatment. This is especially useful when creating treatment plans for children. The hand-out will not only explain the process to parents but may help to alleviate the fears of the child by familiarizing them with the procedure. ? Questions and Answers The following are questions frequently addressed by our support team. Check the responses below to be sure you re using Eaglesoft software as efficiently as possible. Q. How can I show all of the unpaid services in an account for just one provider? A. In the Account Screen, click on Filter Ledger, and you can change the provider at the top of the filter by pulling down the dropdown menu to the right of Provider. Then, click on Apply Filter to set the new filter. Note: this will automatically reset to All when you close out of the account. Q. Can I enter in an insurance overpayment in Eaglesoft? A. In Eaglesoft 16, you can only apply the amount owed based upon the fee walked out. Any remaining amounts will be left unassigned. For example, if services were walked out at $800, and an insurance payment is made of $818, Eaglesoft will distribute the $800 and it will leave the $18 unassigned. This will be displayed in the lower portion of the account where it says Total Unassigned. Additionally, if the services have already been paid, Eaglesoft will display the information symbol. Hover over the symbol, to view a tool tip explaining the remaining amount for distribution. In Version 15, you can enter in the insurance payment for the submitted amount and then make an additional account payment for the difference of the check and insurance payment. Some offices choose to create an Insurance Overpayment payment type to track these. Q. Is there a way to create an invoice with just the services that I select? A. In Version 16, you can use the new Smart Invoice feature. To do so select the items to be included by selecting the first desired service in the account ledger, then selecting the control key on your keyboard and highlighting the remaining services. After highlighting the desired services, select Smart Invoice in the upper right-hand corner of the account. Q. Is there a way to quickly view how many active patients are patients at my practice? A. A good way to view that information is Eaglesoft s System Inquiry. (You can use Eaglesoft Reports to acquire this information.) From the front office screen of Eaglesoft, go to Utilities System Inquiry. Three options (Patient Demographics, Account Activity and General) are available in the Options section of the System Inquiry. Choose from the following options to get the information that you need: Patient Demographics - Number and Percentage of the following: Active and Inactive Patients Patients, Responsible Parties, and Policy Holders Male and Female Patients Has Insurance and Does Not Have Insurance Receives Discount and Utilizes Fee Schedule Account Activity Transactions Which Increase Balance Written Off Accounts Transactions Which Decrease Balance Walkout Statements Deleted Transactions End of Days/End of Months/End of Years Processed Payment Plans Insurance Claims (Unsubmitted or Open and Closed) Number of Notes General Providers/Staff Prompts Insurance Companies/Employers Payment Types Fee Schedules Alerts Service Codes Appointment Types Q. Does Eaglesoft offer any graphs for production, sales, or collections? A. Yes! From the Eaglesoft front office screen, select Reports Graphs. Right-click in any graph/column to bring up an additional list of choices. The choices will vary depending upon the type of graph you are accessing, and the list includes the following: Type Different types of graphs (2-dimensional, stacked, solid, and stacked/solid) are available. Copy Color Different colors are available for each column. Fill Style Solid, square, diagonal, vertical are available for each column. To print a graph for your records, select the Report button in the upper right corner of the window. 4
Q. I have created an exploding code for Adult 6 Month recall. Where are the fees coming from as they are auto-populated? A. When an exploding code is created, Eaglesoft automatically pulls the standard fee that has been previously assigned to each of the individual service codes. If the patient has a fee schedule attached, Eaglesoft applies the fee schedule when the exploding code is used. Q. I use reports for practice management purposes, but are there reports for Clinical? A. Yes. These reports are located in the same reports screen. To access reports for your clinical options, go to Reports Clinical. The reports include the following: Annotations Master Application Interfaces Clinical Exams Master DenOptix Scan Types Master Document Groups Example Groups Image Template Master Incomplete Clinical Exams Quick Pick Assignment Master Q. I need to import an image into a patient s file with the date the image was actually taken rather than today s date. Is this possible? A. Yes! Eaglesoft allows for that by using back dating. At the login screen, simply change the date and log in. After importing the image, log out of Eaglesoft, and then log back in with today s date. Q. Where can I view my images in Clinical? A. There are several places to view images in Clinical. They include the following: Activities View Images Activities Clinical Exam Images Tab Activities Chart Any tooth with an image attached shows an i. o Right-click on the tooth, and click Image to view the image. Activities Perio any tooth with an image attached will show an i. Right-click on the tooth, and click on Image to view the image. Q. I have multiple draw types on a single tooth. How does Eaglesoft determine the order in which draw types Tooth Chart are displayed? A. To determine the order in which draw types display, Eaglesoft looks at the date order. If the services are on the same date, planned services are first (includes Proposed, Accepted, Referred, Rejected, and Post to Walkout). Next, Eaglesoft orders the draw types based on Conditions, then Completed, and then Existing. > Support Report In my opinion, the most under-used feature of Eaglesoft is the Money Finder. It can be used in so many different ways to generate potential revenue sources for the practice, find patients who need appointments scheduled, services completed, birthday lists and countless other options! Wi-fi For the People! Hardware News Please be advised that the information provided in this article is for reference only. The Patterson Technology Center recommends you consult your hardware provider and seek professional approval prior to acting upon any information involving your business and personal computer data. Sometimes, a longer wait is unavoidable for your patients. No matter how comfortable or inviting your waiting room is, it can t make the wait seem shorter. Adding password protected guest wi-fi access to your waiting area, though, might help make your patient s wait more useful and enjoyable. Nowadays, everyone has a wireless web device: the editor with the e-reader the teenager with the hand-held gaming device the lawyer with the smartphone the child with the tablet device the schoolteacher with the laptop Providing free wireless Internet access to your patients is a great way to add value to your services, but how can you provide this service without opening up your network to danger from outside sources? Before you set up a hot spot, review our tips for creating a wireless guest network for your waiting area patients. 1. Do not share your business wireless. Don t provide patients with the wireless password that you use for your office machines. Use a wireless router that has a feature that allows for both a business and a separate guest network log-in. 2. How fast is fast enough? When you offer guest wireless connections, keep in mind you are still using the same Internet connection for your office work, too. As additional people get online, things may slow down. This depends entirely on the speed of your Internet connection. If things are already slow, you might consider upgrading your Internet speed before offering wi-fi. 3. File sharing and illegal downloads. When sharing your wireless, there is the chance someone in your neighborhood may get your password and simply use your Internet for what they would not do from home. A simple solution to this would be to set and regularly change your guest password. The password could then be made available for patients in the clinic when they arrive. 4. Support. An important thought to keep in mind is that for a wireless network to achieve your goals, it needs to be set up, configured, and even updated at times. If your guest wireless is not configured correctly, it could be spotty and problematic. Consult with your office s IT technician and your local Internet service provider for more information on how to host guest wi-fi for your patients while keeping your data secure. 6
> Techniques Using EagleEye in Advanced Imaging EagleEye is a diagnostic tool that lets you view areas of the image in high contrast, colorized or inverted ways. Instead of applying broad changes to an entire image, EagleEye allows you choose specific areas of the image. There are six different EagleEye effects available from the EagleEye submenu: Spot Enlighten, Spot Colorize, Spot Fire, Spot Ice, Spot Invert and Spot Zoom. You can also customize the spot size and the zoom level (magnification of the selected area of the image). The following are examples of some EagleEye options viewed on Large Spot. Spot Fire Spot Colorize Spot Invert Spot Enlighten Spot Ice Move the spot to any location on the image to enhance areas. This high contrast spot highlighter lets you inspect specific areas without manipulating the original image. Change the Spot size and Zoom level using the EagleEye submenu. After you ve selected the desired image, select the Tools menu. When you select EagleEye, the submenu appears displaying the available options. 7
