Qulliq Energy Corporation Job Description Position Title Senior Enterprise Systems Specialist Unionized Reports to: Manager, Information Technology Reporting to this Position Enterprise Systems Specialist - Dotted line reporting relationship Location Baker Lake, Nunavut Positional Objective The primary purpose of the Senior Enterprise Systems Specialist is to manage, monitor and support all enterprise software systems, related databases, and associated projects alongside the Enterprise Systems Specialist through training and coaching. The incumbent will take the lead in delivering support, training, and develop best practices for internal customers and business units to ensure the efficient use of enterprise software systems in fulfilling business objectives. The incumbent will apply proven communication and problem-solving skills to guide and support internal customers on all issues related to enterprise software and related systems. The incumbent will also lead in directing, evaluating, maintaining, reviewing, and managing corporate database resources and services across the organization to ensure the highest level of data quality and is responsible for developing, implementing, and overseeing database policies and procedures to ensure the integrity and continuity of corporate databases and their accompanying software. Where required, the Senior Enterprise Systems Specialist will design, install, monitor, maintain, and tune the performance of production databases while maintaining the systems and databases to ensure they function effectively and to ensure the continuity of the Corporation s day-to-day business. Work structured by the QEC Hardware and Software Policy, QEC Network Drive Policy, QEC Security Policy, internal IT, HR and Purchasing policies and procedures. KEY ACCOUNTABILITIES: 1) Administration a) Keep detailed and accurate records of enterprise software systems setup, structure and security. b) Ensure up to date documentation on all enterprise software systems policies, procedures and processes. c) Submit reports as required on maintenance, upgrades and or outages as it pertains to enterprise software systems. d) Develop requirements and schedules for enterprise software system initiatives. e) Project design and management of all new enterprise software system initiatives. f) Ensure all enterprise software system activities are carried out in accordance with internal QEC policies, regulatory requirements and software licensing laws. g) Must seek supervisory approval for procurement and travel. 2) Systems Support a) Provide day-to-day support to internal customers on the use of all enterprise software systems. b) Provide security and data audits of all enterprise software systems as required by internal IT policies. c) Ensures all support incidents and resolutions are documented as per internal IT policies. d) Continuous development of a self-help support knowledgebase for internal customers. e) Develop reports for internal customers from data within the enterprise software systems. f) Work with vendors and software partners on complicated support requirements that cannot be resolved internally in a timely fashion. 3) Systems Administration a) Schedule and perform systems upgrades as and when required. b) Implement new functionality and or software systems as and when required. c) Perform preventative maintenance of all enterprise software systems and related corporate databases. 4) Operational Management February 2015 Page 2 of 6
a) Ensure the security, stability and reliability of data access and data quality across the organization via ongoing database support and maintenance. b) Analyze customer requirements for reports, forms, queries, and data extraction. c) Develop and deploy end-user policies, procedures and tools for data extraction, queries, and data manipulation in accordance with established business processes. d) Provide end-user training as necessary with regards to the effective and efficient use of enterprise systems, databases and resources. e) Monitor database system details within the database, including stored procedures and execution time, and implement efficiency improvements. f) Create and document models for new database development and/or changes to existing ones through data flowcharting. g) Respond to and resolve database access and performance issues. h) Develop, implement, and maintain change control and testing processes for modifications to all enterprise software systems. 5) Strategic Planning a) Develop and administer strategies for the control and sharing of company database resources and services. b) Develop long-term goals for enterprise software systems in conjunction with data owners and department managers. c) Design and implement redundant systems, policies, and procedures for disaster recovery and data archiving to ensure effective protection and integrity of data assets. 6) Project Management a) Ensure project deliverables are being completed on time. b) Ensure project deliverables are being completed on budget. c) Ensure project deliverables are being completed to defined expectations. d) Provide regular and timely reporting of project progress. e) Proactively manage foreseen project risks, mitigating as necessary. f) Manage changes without unduly affecting the project s stated objectives and benefits. 7) Training and Coaching a) Identify knowledge gaps and develop training plans. b) Provide one on one training and coaching where necessary. c) Review work and provide feedback. This position is quite similar to the Enterprise Systems Specialist position with the key differences being: This position will take the lead role. Project management competencies. Training and coaching competencies. Level of experience required. KNOWLEDGE AND EXPERIENCE Minimum 7 years of experience working with Microsoft Great Plains at a systems level. Strong understanding of relational database structures, theories, principles, and practices. Excellent understanding of, and experience with, client-server computing and relational database environments. In-depth experience with data management and data processing flowcharting techniques. Broad knowledge of reporting and query tools and practices. Working technical experience with designing, building, installing, configuring and supporting database servers. Hands-on database tuning and troubleshooting experience. Knowledge of applicable data privacy practices and laws. EDUCATION REQUIRED Post-secondary training in the Information Technology field equivalent to a Bachelor s degree from an accredited college or university and at least 6 years of experience in a software system specialist/administrator/analyst position, otherwise, or 10 plus years of experience in a software system specialist/administrator/analyst position. A combination of education and experience will be considered. External QEC Contacts Contractors Suppliers (1-2 times per month) technical support; Vendors (2-3 times per year) discuss product requirements and solutions.
