Premier Software Portal To configure your web booking firstly go to our web site at http://www.premiersoftware.co.uk Click the Client Login link at the top right then enter your serial number and postcode and click submit This will bring up the dashboard Here you can upload files to us to help our support team diagnose problems, edit your web booking configuration, setup the booking confirmation email your customers will receive when they make a booking, and set up your premier mobile licenses
Premier Web Booking Configuration From the dashboard, click the view details button to enter the web booking configuration page Your Company Logo To change the logo displayed at the top of your web booking page first click the upload button. This will open a file browser window, where you can select the logo you d like to have displayed. Select the image file you d like and click the Open button. The file will be uploaded and available immediately.
Payment and Pricing Options To take payments through PayPal you will first need to set up a PayPal merchant account. For information on merchant accounts with PayPal https://www.paypal.com/webapps/mpp/merchant All you have to do then is tell us email address you used for your merchant account You can also choose whether to let your customers choose which treatments they d like to pay for or not. To set the maximum amount outstanding that your customers can book online simply enter the number in this box If your customer has already booked treatments to a value greater than this figure then they will not be permitted to use web booking to add additional treatments. e.g. if this is set to 30 pounds and your client has a 15 pound treatment that has not been paid for then they can book a treatment costing 20 pounds but they will not be allowed to book any further treatments. If they pay for the 15 pound treatment then they can continue to book appointments If you set the maximum outstanding to 0 (zero) then web booking will not enforce any limit.
You can set up the pricing information that the customer sees using the Display Treatment Prices options:- Ticking the In Appointment Dropdown List box will display the lowest price available for that treatment in the drop down list that the customer uses to select the desired treatment. Because the price you charge depends on a number of factors (day, time, therapist/stylist) this will show the lowest price that could be available for that treatment. Ticking the In Available Bookings List box will show the price in the search results for the appointment. This is the actual price for the appointment based on day, time and therapist You can use the Currency options to pick which currency your PayPal account will use, this also sets which currency symbol will be displayed on appointment search and where the currency sign will go. e.g. 35.00 has the currency symbol at the front 45.00 has the currency symbol at the end.
Additional Options Allow Creation of a new client Choose whether to allow new customers to create a client card. If you d rather only have your current clients use web booking then choose the No option. If the customer has a client card in the system that doesn t have a web booking login then they will be asked for a few details and web booking will attempt to match this to their client card and update it with the their new login details. If you choose the Yes option then your existing clients will still be able to update their details as before, but new clients that have no client card will be able to enter their details to create a new client card. Booking Increments This will let you set up the times when web bookings can be made. If you only want customers to be able to book every hour then this is where you set this up. This will be overwritten by the tick boxes in the Web booking days and opening hours options lower down. Maximum future date This option will enable you to set how far in the future you would like allow people to book. First Bookable day Choose the earliest your clients can make a booking. Would you like them to be able to make a booking for today, or tomorrow or make the earliest appointment a week from today? Class Booking Set the number of days that clients can book ahead for group bookings *available in spa+ only
Available Staff Select which members of staff are available to be booked through web booking Cancelation Policy The following options sets your cancellation policy which will be visible on web booking If your cancelation policy is on your web site then you can put the address here:- If you d rather have a short text message then you can add that here:- You can have both a link and some text if you wish
Additional Text If you d like to have some additional text at the bottom of the search page then you can add it here:- This will be displayed like this Forgotten Password Sometimes people forget their login details, so you can add some text here which will be added to the login screen to tell them what to do should it happen.
Tablet Booking Options If you are using our premier mobile tablet app then you can set if you d like to allow it to be used to generate new appointments. Depending on how you re using the tablet app (i.e. you might be using it running as a display only in your staff room) then you can set if you want to allow the screen to automatically refresh. If you don t wish to allow the app to automatically refresh then set this to 0 minutes.
Web booking days and opening hours This is where you setup which days you are open and the times you d like your customers to be able to book and how you d like your customers to search for appointments. To say which days you d open Pick the tick boxes for the days that you re open; you will see a tab for every day you have ticked, this will allow you to set opening times for different days. On each tab you ll see a slider where you can set your opening times and a list where you can set which times you d like to have displayed. Select the tab corresponding to the day and adjust the slider. You can set the opening times to be different for different days; so Monday you can set it from 9am 5pm but if you open from 10am on Wednesday then you can select the Wednesday tab and set the opening times to 10:00. Any time you make a change you should click the Update Table button. This will update the bookable times list to reflect the hours you ve just chosen. So for example if you change the times to 11am 1pm when you click the Update Table button then the list will only have the times between 11am and 1pm.
You can then select which times to display in the appointment time drop down on the web booking site. So if you only want your clients to book appointments at 9am, 10am and 11am then you should untick all the other times and just leave the relevant boxes ticked. For example.. Once you re happy with the times for Monday then repeat for the remaining days.
Advanced Options If you click the Advanced Options at the top of the section you ll be able to edit the flexible times Ticking the box next to the time period label makes the period active. Type in the label that you d like to show for this time period (e.g. Morning, Afternoon, Evening or anything else you d like to call it) and adjust the slider to reflect the time you d like the period to cover. Clicking the button will show the time period in the bookable times list. If your customer selects one of these option as an appointment time (e.g. if they want a morning appointment but don t mind what time) then the search will return the earliest available time. Please note: Flexible times will ignore the bookable times that have been ticked. If this is not desired then you should disable all Flexible timing and instead use the Search+/- option
Search +/- This is where you can set how your clients can search. When your customer selects a specific time on web booking (for this example I will use 11:00am) then web booking will attempt to find an appointment at that exact time. With the search +/- option set (in this example to 45 minutes) then if web booking can t find that exact time; appointment search will attempt to find an appointment up to 45 minutes earlier or later and offer this time as an alternative. This time will also be limited by the Bookable times tick boxes e.g. If you have set up your web booking to only allow your clients to book at 9am, 10am and 11am and you have set search +/- to 90 minutes. If your client requests an appointment at 11am and that appointment is available then the search results will allow them to book an appointment at 11am. If there are no appointments available at 11am but there is an appointment available at 10am then web booking will display that as an alternative. If the 10am appointment is also unavailable then web booking will inform them that it was unable to find an appointment and they should try again. Even if there are appointment slot available at 10.30am or 12pm as these are not valid web bookable times, or if there is an appointment available at 9am as this falls outside the search range (11am +/- 90 minutes is 9.30am 12.30pm) Saving When you are happy with your setup then make sure you click the Update Settings button You can click this at any time and it will save your current configuration.. There s nothing worse than spending time carefully working on the perfect configuration only to have a power cut ruin your day.
Confirmation Email Configuration You can setup your confirmation emails from this screen. You can choose to send your clients and email when they make a booking as a reminder; you can also choose the receive an email yourself when someone makes a booking via web booking which will enable you to check the appointment in your diary and see if you need to contact the client about their forth coming appointment (for example) From the Dashboard click the set email now button to enter the email configuration page Web Booking Email Configuration Send an email If you would like to send the client an email regarding their new appointment, then tick this box. If you would rather they didn t receive an email then un-tick this box. Email From Set which email address the email will appear to come from.. This identifies the email as coming from your email address and can be useful if the client would like to reply to the confirmation email Email Subject Line This is the subject line that the client will see in their email
Email Body You can edit the exact layout and wording of the email that is sent to the client in this window. The editor is WYSIWYG (What You See Is What You Get) so you can pick different fonts, text size, underline, bold, etc. similar to a word processor. Using the Insert Fields buttons on the right. Will allow you to insert place holders (these are the text in curly brackets {} ) These placeholders will be replaced for the relevant details when the email is sent. So if a client called Sarah has just made an appointment then Dear {ClientName} will become Dear Sarah. The same goes for {Appointment}, {StaffName} and {Date} {Logo} will be replaced by the company logo that you have set in web booking configuration. Appointment Notification If you would like a notification when someone makes a web booking, tick this box and enter the email address where you want the email to go.
Saving your Email Configuration To save your configuration click the button Please Note Some features are only available with certain products and versions of the web booking interface.
