Logging into the control panel Before any changes can be made to your email system, you must first login to the Plesk control panel. To get access to the control panel login screen, enter http://mymail.bam.com.au You will now be required to insert your username (which is your email address for the account) and password. Once you have logged in, click on the Mail tab at the top left hand corner of the panel. Creating a new email address 1. From the Mail tab, click on Create E-mail Address. 2. Under the General tab you can create a new email address. The domain name will already be prefilled. Select the name of your new email. 3. If you want to give this person access to the panel, then make sure the Access to the control panel is checked 4. Click Generate to set the password. The system will generate a strong password for you, click Show to view the password. You will require this password to access the panel with the new email address as well as setting up the email account on a computer. 5. Ensure the Mailbox checkbox is ticked and then select the mailbox storage size. You may choose to specify your own mailbox limit; however this cannot exceed the default size defined by the plan. 6. Forwarding an email to a new address To forward a current email address to another email address: 1. Click on the email address you wish to forward. 2. Click on the Forwarding tab at the top. 3. Tick the Switch on mail forwarding box and enter the forwarding email address in the text field. You can add a number of email addresses here by placing each on a new line or alternatively, separate them with a comma or white space. 4. Click on OK to submit your changes; you have now set up a forwarding email address. To stop forwarding, follow steps 1 and 2, untick Switch on mail forwarding, and click OK. Create an alias for an email address An email alias is an alternative email that is associated with a primary address. By setting an email alias to your primary address, you will receive all emails sent to the alias. For example, you could add the alias information@company.com to the primary email info@company.com so you receive all emails sent to the information address. 1. Click on the email address you would like to set an alias for. 2. Press the E-mail Aliases tab. 3. Enter the email alias address in the provided text field. 4. If you wish to add another alias, click Add e-mail alias and enter the next alias. 5. To submit your alias(es), click OK, you have now created an alias email address. To delete an alias email address, simply remove the email from text field then click OK. If there is more than one alias, click on the Remove link next to the alias to be removed. Setting up an auto-reply for an email address An auto-reply is an automatic response to any message that comes to your mailbox. It is typically used to notify correspondants when you are out of the office or on leave. To set up an automated email response for an email address: 1. Click on the email address you would like to set up the auto reply for. 2. Press the Auto-Reply tab. 3. Make sure the - 4. You can edit the auto-reply message subject if you wish, but if you leave it as the 5. Select either plain text or HTML. Plain text format of supported by all mail client programs. On the other hand, HTML messages look better as they allow for different styling however it may appear differently across email clients and may even not be displayed at all. 6. Select UTF-8 from the drop down. This is the recommended setting. 7. Enter your auto-reply message in the text area. 8. If you want to have the original message forwarded to another email address while auto-reply is switched on, enter the email address beside Forward to. 9. I Send an automatic response to a unique email address not more than 1 times a day as it prevents the auto-reply from sending multiple times to the same email address in one day. 10. You can also attach a file to the auto-reply email though it is completely optional. Click on Browse to search for the file to attach on your computer. For multiple attachments, click Add new attachment for an additional field. 11. Once completed, select OK to confirm your settings, auto-reply is now on. To switch off the Auto-reply option, repeat steps 1 and 2, then untick Switch on auto-reply, and click OK. Removing an email address important emails can no longer be sent to it and missed by other staff. Please note: When you delete the email address from the server it will also remove all emails associated with that account on the server as well. If you need to keep those emails, make sure you have downloaded them all prior to deletion. 1. To remove an email address: 2. Tick the box next to the email address you wish to delete. 3. Press the Remove button. You will be asked to confirm deletion, click Yes and the email account will be removed. Upon removing the address, we recommend that you add it as an alias to another email account so that emails sent to the old email can still be received. You might use this option if a staff member leaves your business and the new member needs to receive their emails instead. Email options for non-existant users If a correspondent accidentally sends an email to your domain for an email address that doesn't exist, such as admni@company.com, you can define how these email messages are handled. You may select between; bouncing the email with a custom message, forwarding the email to a specified email address, or rejecting the email which returns an error message. 1. Click on the Mail Settings tab. 2. Tick the check box beside your domain name and click Mail for Non-Existent Users. 3. Select which method to handle mail for non-existent users a. Bounce with message: Enter your custom message to send to the correspondent with the bounced message. b. Forward to address: Enter the email address you would like to receive the email messages. c. Reject: The message will be rejected with a standard error mesage, no further options to be specified. 4. Once completed, select OK to confirm your settings. Please note: This only effects emails sent to incorrectly entered email addresses, messages sent to existing email addresses or alias email addresses will still be sent to the relevant mailbox.
