erenewal Benefits Easier renewal process for members and they will more likely use online methods moving forward Fewer duplicate constituent records; less record maintenance for you Fewer duplicate memberships Auto-fills information (member names, address, membership level, etc.)
The Hook Be Prepared! Get ready for online sales by sending User Registration emails. This will allow your members to create a username/password online. Discount, Discount, Discount! Offer early renewal options and benefits, like term extensions and % discounts Talk to Expired Members! Offer recapture discounts. For example, create a segment for people who have expired 6 months ago and offer a discount Talk it UP! Train your staff on the benefits of renewing online and have them talk to Patrons about it! Offer Alternatives If someone does not want to renew online, create a solicit code on their record notating that and send mail packages along with every email package so you don t lose anyone!

Creating the Renewal Email Option #1 This option is for you if your organization already sends emails. You will edit an existing email and insert the customized renewal link. Option #2 This option is for you if your organization has not used email renewals yet. This option will walk through configuring a new email renewal letter and inserting customized renewal link, editing renewal process and replacing the package.
Edit Renewal Email 1. From Marketing and Communications, click Email Marketing, click View emails 2. In the Membership section, highlight the email, click Edit 3. Click on the HTML button 4. Replace any renewal links that have /Renew with http://target=&pid=194&did=0 &tab=0 link and Hit Update button. 5. Save the letter
Creating Renewal Emails 1. From Marketing and Communications, click Email Marketing 2. Click Add a membership email 3. Select Membership Renewal Effort (Email) 4. Click Continue 5. Draft your email 6. Insert custom link (<a href="http://target=&pid=194&did= 0&tab=0">Click here to renew</a> )Using HTML button 7. Insert privacy policy & email preferences
Create Membership Package 1. From Marketing and Communications, click Packages 2. Click Add Email Package 3. Enter the name, like Month of Expiration 4. In the message field, search for and select the email message you added 5. Click Save
Connect Email Package to Renewal Process 1. Go to Marketing and Communications, click Membership renewal efforts 2. On the Templates tab, you will see the list of renewal processes that you currently have 3. Click the name of the process that you currently use. 4. In this example, select Membership Renewal Notice Process
Edit Renewal Segments 1. On the Membership Rules tab, highlight the 1 month before expiration, click Edit 2. In the package field, use the magnifying glass to select the package we added in the previous step 3. Click the pencil next to the segment field and rename the segment (remove Mail) 4. Also, in the selections window delete the mailing preference smart query
Process Renewal Notices 1. Next, click Save, click Save again 2. Now you are ready to run your membership renewal notices 3. To run membership renewals, click Memberships, click the membership program name, click process membership renewal notices 4. Select the process and click Start 5. Start the email job for the month of expirations and download the letters for the other segments (month before expiration and 1 month after)
1. Open the email renewal notice email 2. Click the link in the email 3. In the Altru web form, click Add to Cart or Continue 4. To expedite the process, you can sign in and it will fill in all the personal information 5. Continue and complete the sale 6. In Altru, open the constituent record and notice the renewal on the memberships tab Let s renew today!

Appendix: Hiding Membership Term Display If you would prefer to hide the display of a membership term on your membership form just add the following line of code. Please note that this will hide the display of the term value on all your membership forms..membershipexpress_termradiolterm {display:none;}

Appendix: Customizing Web Acknowledgement Emails By default, one acknowledgement email is sent for web forms. You can, however, send custom emails per membership level. This is best when the benefits are different and you want to advertise/thank you members separately. Appendix: Update Language/Field Names Its important that anyone/everyone can purchase a membership online. You may want to add a note to your web forms indicating the last name field is also for Organization names. Also, you will want to unrequire first name. You may also want to add a note about who gift memberships will go to. 1. From Web, click Manage Membership Forms 2. Expand the Membership program name, click Options 3. On the Design tab, unmark First name in the require column 4. On the Language tab, select Help Text as the category 5. In the Registration field, enter something like: Enter the names of each member you'd like to include with this membership. Please note: Any gift membership purchase will be sent to the Gift Recipient. If you would like it sent to a different address, please email <a href='mailto:membership@discoverymuseums.org'>membership@altrumuseums.org</a>. If you are purchasing a Corporate membership, fill out the organization name in the Last name field.
