Overview You can bring up the Inventory Management section by choosing Inventory -> Inventory Management -> Manage Inventory from the menu. You have a number of different inventory management options in here. 3
Item Manager 2.1 Create New Item Hit the Item Manager option to bring up the Inventory Lookup window. Hit the New button. You will be given the option to choose Inventory Type, either Inventory or Inventory Master. Make your selection and hit Ok. You should then see the Item Manager display with all of its fields empty. You can key in a UPC Symbol, Part Number, and Description. Select a MFG Code and Type. Hit the button next to UPC Symbol to auto generate a unique UPC code. Once you hit the Save button, the item is created. You are then able to modify the rest of the fields for the item Savance 4
Type There are a number of different types of items that can be created. Here is a list of your selections. You will see various parts of the item manager enabled/disabled, depending on the Type selected. Blank Line Free Item Kit Line Comment Misc Charge Normal Inventory Item Order Comment Service Item Template Freight Discount Adjustment 2.2 Edit Existing Item Hit the Item Manager option to bring up the Inventory Lookup window. 5
Type in search criteria and hit Search. You will see the results based upon your search criteria. You can switch between All Stock, Stock Only, Non-Stock Only, and Master Inventory. Double-click on an inventory item, and you will be able to edit it further. Things like Pricing, Cost, Characteristics, and Alternate Barcodes can all be changed Savance 6

Package Qty. 1 - Represents the allowed quantity for the first package. Package Qty. 2 - Represents the allowed quantity for the second package. Weight - Represents the weight of the item. Obsolete - Obsolete options. COO - Country Of Origin Do not update from the Global Inventory Master - If this is checked, no fields will be updated from the Global Inventory Master. Do not show this item on the web - Suppresses this item from being displayed on the web site. Mark this item as a large item - For shipping. Target Fill Rate - The industry standard is 98% fill rate, meaning 98% of the time you want to have something in stock. This can be adjusted as desired. If you have an expensive item, you may not want to keep a large quantity of this item at all times to meet this need. What percentage you set here can be used in order to calculate the reorder points and quantities. Comment - This is optional. Warehouse Msg: - An internal comment for the warehouse. Taxable - If this is checked, then this item will be taxable. Non-returnable - If this is checked, then this item can t be returned. Asset Account - Ledger account of type Asset when the inventory type is either Normal Inventory Item or Kit. Alternate Barcodes Pricing & Cost Pricing works like this: Manual pricing takes precedent over everything else. Then contract pricing, promotional, discount group, and finally price column pricing. An item flows through each level until a price is found. If the best price or best cost method is configured for that account then the pricing engine will always process all levels and then determine the best price/cost to use. 9
Each account can be assigned a price class. If there are no column prices specified for an item, then everyone is going to get list price. After the column pricing, it goes to list price, then finally retail price. If you do not have anything under retail price, then you do not have a price. Trade Cost The trade cost is what would be found in the pricing file, such as Trade Service. True Cost The true cost would be your cost. You can use a formula to calculate this value. If you place a check box next to the true cost, then it will be updated from the master database. Otherwise, it will remain fixed to your customized value Savance 10
Buying & Selling Cost You can set which field you would like for the buying and selling costs by selecting it from the dropdown. Price Columns There are 5 pricing columns available for use. Column 5 is the best price. You can base all the column prices off the cost. For example, you can multiply the true cost by a percentage. When this cost changes, column prices change. You can also base columns 1-4 off column 5, and column 5 off cost. If you place a check box next to the column price, then the associated column will be updated from the master database. Otherwise, the column will remain fixed to your customized value. User-defined Cost There are 5 cost columns available to customize. They can also be based off trade cost, true cost, or other desired fields by using a formula. You can also rename these 5 fields to anything you want by clicking the name and entering a new one. 11
Formula Designer You are able to use a formula to calculate some pricing and cost fields. These fields include True Cost, Column 1-5 Prices, and User-defined Cost 1-5. After hitting the icon, the Formula Designer will open. The available pricing and cost fields are available to choose on the left. The available math formulas are on the right. In this example, you are setting your True Cost to be 10% higher than Trade Cost. Discount Code Select a Discount Code from the dropdown list. The discount codes will be loaded on the Column 15 Prices and the List Price. Hit the magnifying glass icon next to the Discount Code dropdown to open the Multiplier Management screen. Here, you can Add New, Edit, and Delete discount codes and specify the multipliers Savance 12
Purchase Units Units Can be E, C, or M. E means that there is no change on the Ext Net. C means that the Ext Net will be divided on 100. M means that the Ext Net will be divided on 1,000. Action Buttons You will find these buttons in the lower right part of the screen when you have an item open. Retire Item - You must select an inventory item to supersede the retired inventory item, making its purchasing history available to the specified item. Save - Saves any changes made to an item. New - Create a new item. Open - Allows you to search for and choose a different inventory item. Duplicate - Makes a copy of an existing inventory item and its data. Delete - Deletes an existing inventory item. 13
2.3 Warehouse The Warehouse section of the Item Manager Mass Maintenence In the menu, go to Inventory -> Inventory Management -> Data Maintenance. From here, you have the options to Import From Master, Manage Master Inventory, and Manage Local Inventory. Import From Master From here, you can select a manufacturer code and search for part numbers or any other criteria that currently belong to your master inventory. The Search Results are displayed below. You can check and uncheck part numbers from here, and when you have selected everything that you want to import, hit the Proceed button Savance 14
On this screen, you are able to modify a number of different fields for these selected items. You can add a warehouse message, change the asset account, add the items to an item group and template, and change which column the cost/pricing values will use. Any values you change here will apply to all selected items. Once everything is all set, hit the Import Items button, and the import from master will be complete. Manage Master Inventory The Manage Master Inventory screen is very similar to the Import From Master screen you previously used. The only items that will be returned in a search are the items in your Master Inventory. You can make bulk changes and save them in the same manner. They just won t be imported into your local inventory in the end. Manage Local Inventory Just like the Manage Master Inventory option, you can do the exact same things, except you will only see search results for items you already imported into you local inventory. 15
