SOME QUESTIONS AND ANSWERS WHAT IS THE SURVEY ABOUT? What is the survey about? The Staff Survey questionnaire has been designed to gather your views about the University. The overall aim is to collect information that will help the University to learn what we do well and what we need to do better to support staff. What topics will the survey cover? The survey will cover a full range of employment issues, such as pay, job satisfaction, your role, training, learning and development, leadership and management, equality and work life balance. How will the survey results be used? The University will use the results to identify what key actions need to be implemented at University and College / Departmental levels to improve the University s support for staff. What are the benefits of completing the survey? The survey provides an opportunity for you to voice your opinion and influence improvements that are relevant to you. In addition, for each completed survey received a donation of 5 will be made to Ty Gobaith children s hospice. Do I have to complete the survey? You do not have to complete the survey but the more responses the University receives the more likely it is that the results will give a more accurate reflection of the opinions of the staff. The Unions are also supporting the staff survey as a means of identifying areas of improvement in the University.
WHO IS RUNNING THE SURVEY? Who is running the survey? Capita Surveys & Research Unit is running the survey on behalf of the University. They are a leading survey, HR research and consultancy organisation, and have supported 40 other Universities to undertake their staff surveys.
CONFIDENTIALITY AND SECURITY Will the survey be anonymous? Yes, the results of the survey will be provided to the University only in an aggregated format to ensure that no one can be identified in the results. No one in the University will be allowed access to the raw data or the completed questionnaires. The survey will be conducted in line with the Data Protection Act and the Market Research Society s Code of Conduct. It is Capita s duty to ensure that you cannot be identified in any reports they produce. If you ve got my email address, how can the survey be anonymous? Captia need to communicate directly with all staff in the University, and they need to send you the details of where you can complete your questionnaire. Capita will provide each member of staff who has an email address with a unique password in an email invitation. Your email addresses will not be used for any other purpose, and Capita will not keep your email address after you have completed the questionnaire. They will never be linked to your survey responses or used in any reports. How secure is the e-survey? It is very secure! All Capita surveys have a site secure licence (SSL). You will be able to see the padlock that indicates this at the bottom of your computer screen. Everyone will have their own unique user name and password, so only you can access or see your questionnaire and responses. Who will see my completed questionnaire? Unless you choose to share your completed questionnaire with someone, only Capita will see your completed questionnaire. What happens to the responses when the survey is complete? Capita will delete all email addresses from their records. Hard copy questionnaires will be stored securely by Capita for three months and then shredded while raw data will be stored securely for a year and then be deleted.
USING DIFFERENT FORMATS TO COMPLETE THE QUESTIONNAIRE Will the survey be a paper questionnaire or an e-survey? The University will give staff the chance to either complete a survey online or as a paper questionnaire. Anyone who has a work email address will be invited to participate in an e-survey. Those who do not have an email address will be sent a paper version of the questionnaire. What if I prefer to complete a paper questionnaire? No problem. Just contact Capita using the link on the e-survey to request one- or call them on Capita s telephone number and they can send you one. I don t have an email address at Bangor; can I complete it on line from home? Yes. Just call Capita on their telephone number and they will provide you with a password. What do I do if I need help completing my questionnaire? There will be a telephone helpline you can call to answer questions and / or help you to complete the survey over the telephone instead of filling in the questionnaire. A trained researcher will go through the questionnaire with you and submit the questionnaire on your behalf. The telephone number will be available from the 16 of April until the 18 of May. If I tick all the boxes, in the Background Section of the questionnaire, can I be identified? There is no need to worry about this Capita will not report on the views of individuals. The results will be presented in a cumulative form, so it will not be possible to identify one individuals answer from the tick boxes.
HOW LONG WILL IT TAKE TO COMPLETE THE SURVEY? How long does it take to complete the questionnaire? The majority of questions are tick box answers, so it takes about 20 minutes, but this also depends on how much you want to write in the comments boxes. Please note that this is the first survey that we have conducted in the University and as such we have included questions to ensure that we cover all the key areas relating to staff. Also, you do not have to complete the survey in one go. You can go back to the survey as many times as you wish. Can I complete the questionnaire in work time? Yes. The University will provide time for staff to complete the questionnaire and your manager will be aware of this requirement.
WHAT YOU MIGHT NEED TO KNOW BEFORE COMPLETING THE QUESTIONNAIRE Do I have to answer every question? We would like you to respond to all the questions. However, if you do not have a view or opinion regarding a question you may leave the question blank. Will the survey be bilingual? Yes, the survey will be bilingual and the Helpdesk provides a bilingual service. When you log into the questionnaire you will be asked if you wish to complete the questionnaire in Welsh or English. Do I have to complete the e-survey all in one go? No. You can keep coming back to the questionnaire as many times as you wish. Your responses are saved each time you exit the survey site, so you can pick up where you left off each time you re-join the site. How do I know how far I ve got in the survey? The survey is split into Question Blocks and it will tell you which question block you are completing and how many there are left to complete. As some blocks are longer than others, Capita has also included an indicator bar too, which shows the percentage of the questionnaire you have completed. What if I think I ve made a mistake, can I go back to correct it in the questionnaire? Yes. There are buttons next and previous at the bottom of each page on screen so you can navigate through the questionnaire. Will we receive reminders about completing the survey? Yes, reminders will be sent before the survey closes as it is important that as many staff as possible complete the survey, also emails may be deleted or forgotten. The University will also send e-mail reminders to all staff during the last week of the survey. What if I lose my email invite? Contact the Capita survey bilingual telephone helpline. The number of the helpline will be available from the 16 of April to the 18 of May. Capita will send you another email with your user name and password. What if I have two jobs/roles in different areas? Please respond to the questions in terms of the role you undertake for the majority of your time. Why does the survey ask me for personal details such as gender, age, ethnic background, disability, sexual orientation and religion or belief? The University is committed to providing a working environment in which all staff are treated equally and with dignity and respect. We are asking you to provide this information to help us to understand if there are differences in experiences that are related to such factors.
Please note that your responses will analysed at College level and Central Services have been placed into three large groupings. Analysis will not be undertaken below these levels i.e. at individual school or department level thus ensuring that staff cannot be identified. Remember we will not be able to access individual responses. You do not have to provide this information but the University encourages you to do so as the data will help us to identify and investigate if any particular group feel they may be disadvantaged. What if I have any other questions? When the survey is launched you can call Capita on their telephone helpline or talk to your manager before then. This will be communicated to staff on April 16 and available until 18 May. What is the telephone helpline number? The telephone number is 01423 818700 and is available between 9am and 5pm. All calls are in the strictest of confidence. No calls are recorded.
