Online Registration Using Web Advisor: A Step by Step Guide Link to WebAdvisor through Sacred Heart Website by clicking on MYSHU Log into Web Advisor and choose Students to view the Student Menu To register for classes you must be a current student and have a network account. To setup your account or to change your password go to MSHU and click on Account Management. During registration periods each student will have a specific date and time for which they may begin their registration. Online registration and add/drop will remain available through the first week of the semester unless otherwise announced. Steps in the Registration Process 1. Clear all Registration Restrictions 2. If prompted you must meet with your advisor 3. Review your academic program evaluation and begin planning your courses 4. Search for classes to view course offerings for the semester 5. Build your Preferred List 6. Register for classes from your Preferred List 7. Modify your schedule as needed through the add/drop period 8. Manage your waitlists Registration Restrictions Before you may register for courses, all registration restrictions must be cleared. From the student menu, click on Person Restrictions. Your restrictions will be displayed along with the department responsible for maintaining that restriction. In this case our student must contact Student Accounts, Public Safety, Health Services and his advisor. By clicking OK you will be brought back to the main menu. Page 2 of 14
Once you have cleared your restrictions you should return to the Person Restriction screen to make sure the department has cleared your restriction. In some cases this is an overnight process. Be prepared and resolve your restrictions early! Remember that restrictions such as Public Safety and Student Accounts may be added at any time. The screen below indicates that there aren t any current Registration restrictions in place and the student may register or add/drop courses. Page 3 of 14
Planning Your Course Selection What courses do you need? This is a good time to check your academic progress and review your Program Evaluation. Your Program Evaluation is listed under the Academic Planning tab. If you are planning on changing your major, it is important to contact your current major department and the department you are adding. If you want to declare a minor you should contact the Registrar s Office. Review the semester s course offerings and Search for Sections Now that you have an idea of the courses you want to take, you need to see what courses are being offered. You do this through the Search for Sections feature available on the Student menu under the Registration tab. Setting up your search To search for classes you must choose a semester or a date range do not choose both. You must also choose one other criterion. The more specific you are in your search, the more specific and quicker the results. You can widen or narrow your search and print the results using the print function from the file menu on your browser. You can continue to search until you are confident that you have all the information you need. Remember that course offerings and availability change in real time. A course that is currently open may be full when you are ready to register. Cancelled courses will no longer be displayed and changes in section information will be displayed without indicating that the changes were made. Here is an example of setting up a search. I want to know any 200 level Accounting courses and all Art 101 sections offered on the Fairfield Campus for the Spring 2007 semester. Page 4 of 14
View your search results and course information Once you click on Submit your results will be displayed as shown below. The search indicates the course name and number, section, meeting time, instructor and availability. A course that is listed as Open has available seats. Courses that are listed as Closed or Waitlisted will be available for wait listing only. Courses indicating that the Waitlist is full will not be available for wait listing. If a course looks like there are available seats but also has a waitlist it will still not be available for registration. Waitlists must be cleared first because these students have priority. You should contact the department offering the course for assistance. Page 5 of 14
Building Your Preferred List Search for classes to add to your preferred list Before you can register for a course section, the information must be available on your Preferred List. To begin building your Preferred List, click on Build My Preferred List from the Student Menu under the Registration tab. This will take you to the screen Search/Register for Sections. This screen is similar to the Search for Sections screen and the same rules for searching for sections apply (see information on page 4.) Unlike the regular Search for Sections screen which gives you informational results, the results of the Search/Register for Sections will allow you to choose the courses you want to add to your Preferred List. In this example I am requesting information on a specific Biology section, any Physics 090, Art 101, Music 103 and Education 152 sections offered. Click on submit to see your results. Page 6 of 14
Choose sections to add to your Preferred List Once you click on Submit you will be able to view your results and choose those sections you want to add your preferred list. You do this by placing a check mark next to the sections you want to add and then click on Submit. You may choose more than one section of the same course or courses that are currently closed. Your choice only puts the course on your Preferred List for action later in the registration process. Remember to click on submit to save your list to your Preferred List. If you do not submit the information you will not be able to see any courses listed when you try to register. Review and modify your Preferred List Once you click on Submit from the previous screen you have saved your Preferred List and you will now be on the Register and Drop Sections screen. You will be able to view your Preferred List and any courses in which you are currently registered by semester. In the example below all the courses chosen are on the student s Preferred List as well as any courses for which the student is currently registered. To access your current list at any time log into Web Advisor and from the Student Menu choose Register and Drop Sections from the Registration tab. You may modify your Preferred List by removing specific courses from the list by choosing Remove from List under the Action column. You can add sections to your Preferred List by repeating the steps in the section Build My Preferred List on page 6. Page 7 of 14
You are now ready to register for sections from your Preferred List. You should build your list well in advance of your scheduled registration time and modify it throughout the registration period. Instructions for registering for classes and modifying your schedule follow. Registering for Classes When you are ready to register, click on the link Register and Drop Sections under the Registration tab on the Student Menu. You will see your Preferred List which is used for Registering for classes. Before you register you will need to make some choices: Choose an action for all the courses on your Preferred List (this option is located on the top of your list or Select an action for each course on your list (available to the left of each course on your list.) We suggest that you choose individual actions for each course because this gives you more control and you are less likely to make a mistake. Your choices are: Leave blank (no action will be taken for this course at this time.) Register for the course. Register as Pass/Fail (This option may be used for free electives only. It is student s responsibility to know which courses meet this definition read the pass/fail policy before you make this choice.) Audit (this option carries an additional audit fee and you will not receive credit for the course.) Remove from the list (choose this if you are no longer interested in the course and you do not want to clutter your list.) Waitlist (use this to add your name to the waitlist because the course is closed or already waitlisted.) More information about wait listing is available at the end of this section. Page 8 of 14
Before you click on Submit you have one other choice to make. At the bottom of the screen and above the Submit button you will see If one of your choices is not available. Choose: Allow me to adjust all (if there is a problem with some of your choices, a message will be displayed and you will not be registered for any of the sections you chose. You will now have the chance to adjust your action for those sections.) Complete only available (this will register you for only those sections where no problems were detected and a message will be displayed listing the problems with the other sections.) The following shows two examples of some of these choices. Examples of the Registration Process I decided to register for AR 101 B, BI 132 NU, ED 152 A, MU 103 B and PY 090 A. I also decided to choose allow me to adjust all if one of my choices is not available. After I hit the submit button I will messages displaying any problems. I have some problems with my choices and I have made some decisions. MU 103 conflicts with a number of my selections. I am going to remove MU 103 because there are too many conflicts. If I had checked the times carefully this would not have been one of my choices. I will remove this from my list. I do not have the pre-requisite for BI 132. I can t register but if I think this is incorrect I will go to the Registrar s office to confirm. I will leave it on my list until I confirm this. I already took PY 090 once. I failed the course and I need to repeat it. I will need the Registrar to assist me. I will leave this on my list. Since I chose Allow me to alter my selections I am not registered for any section yet. Next, I am going to make changes to my Preferred List actions and this time I am going to choose complete only available. I will see a message with my Registration Results. Page 9 of 14
At the bottom of the screen is a list that includes the courses I am currently registered for and the courses I registered for and the future courses for which I registered. I have contacted the Registrar s office and was added to the PY class but was told that I could not take BI 132. The next time I go into this screen, the PY 090 section will be on my current registration list. I am not finished. I want to remove the PY and BI 132 sections from my Preferred List and I want to register for one or two more sections. I need to add more sections to my Preferred List to continue to register for more classes. I will choose Build My Preferred List from the student menu. I can then search for classes and choose the ones to add to my Preferred List as described on page 5. I have decided to add EN 101 and have chosen one course but it only has room to be waitlisted. I also added PH 331. I will choose to register for PH 331 and waitlist for EN 101. I also chose Allow me to adjust in case there was a problem. Here are my results: Page 10 of 14
Always Check your Schedule When you completed registration actions, always to check your schedule to ensure that this is what you intended to do. Read the registration results carefully Check your current registration at the bottom of the Registration Screen Check your schedule on Web Advisor by clicking My Class Schedule from the student menu under the Academic Profile tab. If you are still in the Registration screen you will see a link to My Schedule. Print a copy for your records. Page 11 of 14
Managing My Waitlist If you want to add yourself to a waitlist you must do that from the Registration screen using your preferred list. Once you are on a waitlist you can manage your waitlist (check for status, drop the course from your waitlist or register for the course once you are given permission.) From the Student menu under the Registration tab click on Manage My Waitlist. You will see your registration screen and the status of all courses on your waitlist. If you were given permission you will see Permission in the status column and the expiration date of the permission. An automatic email will be sent to you when permission is given. This is a generic email and you will need to view this screen to know which course it pertains to. You will need to choose an action from the drop down menu and click on submit. o Remove the course from your waitlist o Register for the course (prior to the expiration date.) o Register it as Pass/Fail (remember, this option is for free electives only.) o Audit the course (this is not credit bearing and has an additional fee.) You will see a message saying which action was processed. Read this message carefully to make sure you chose the correct action and check your schedule on My Class Schedule to view your final schedule. Print this for your records. If you have problems registering from a waitlist you should check with the appropriate academic department and the Registrar s office for assistance. Page 12 of 14
About Dropping A Course You may drop a course using Web Advisor during registration and through the add/drop period. To drop a course, go to Register and Drop sections Put a Check next to the course(s) you want to drop and click on submit. If you want to drop a course, but it is contingent upon your ability to add another course, try adding the new course before dropping the old course or, make sure you choose Allow me to adjust all if one of my choices is not available before you click on submit. In this case, you will not be dropped from the course if you cannot add your other course. About Pass/Fail Options Pass/Fail options may be used only for courses counted as free electives. The pass/fail option may be used only 4 times for the Bachelor s degree and only 2 times for an Associate s degree. You may elect to move a course from a grade to pass/fail or from pass/fail to grade through the add drop period. After that date changes may not be made. If you incorrectly registered for a course as pass/fail or for a grade you must contact the Registrar s office to make the change; it cannot be done online. Make sure you check your options and make appropriate changes before the end of the add drop period. Always ask for assistance if you are having a problem use the contact list on the top of the screens or use the link to the campus directory to contact a specific office or person on campus.
