Directions From London / M40 Leave the M40 at junction 15 and head on the A46 towards Coventry. There are a number of service areas around the halls for exhibitors to use to unload. All vehicles MUST leave the service areas by 20:00 on Friday 31st July. General Stand Details Shell Scheme A shell scheme is an aluminium framing system into which white foamex panels slide in to complete the structure. The panels are not load bearing but display material can be attached using double sided hook and loop tape or something that does not damage the panels in anyway. You must not staple, screw or drill into the panels. Shell Scheme stands are 2.5m high and will display a company name board at open sides. Shell Scheme stands include: Quality Panels to divide you from your neighbours and give you a surface to affix any display material. Carpet and Company Nameboards on open sides. Please remember if you have a shell scheme on an island site, this will have no internal or external walling. Additional information for bespoke stands Illustration of a Shell Scheme with two side open All space only stands must submit a stand plan for approval using the form provided within the Exhibitor Manual. Drawings showing proposed construction must be submitted and approved by the organisers before any work is started. Please note all space only stands must be laid with a suitable floorcovering acceptable to the organisers. On Site Organisers Office The Organisers Office is located within the centre of the Blackdown Buildings. The Organisers will be onsite from 08:00 Thursday 30th July 2015 until 21:00 pm Sunday 2nd August 2015. On Site Catering Vending machines will be operational on Thursday 30th July for drinks and a selection of snacks. The main restaurant within the exhibition halls will be open to exhibitors serving food and drinks on Friday 31st July during the buildup period. There will be a number of food vans, restaurants and cafes serving hot and cold food and drinks for the duration of the show. First Aid There is a First Aid Suite situated in the Hall 2 Foyer area that will be staffed by qualified medical staff during build up, breakdown and the open hours of the show. Cleaning and Waste disposal Large items of waste materials to be disposed of before the exhibition opening must be placed in skips located in the courtyard. Stoneleigh Park s cleaning teams only clean recyclable rubbish e.g. cardboard from the aisles. Everything else needs to be removed from site by the exhibitor/contractor. You need to ensure that gangways, public circulation areas are kept clean of all rubbish and removed from site if it is non-recyclable. All waste materials accumulated after the event from your stand must be disposed of using the skips provided. If you do not do this you will be charged a cleaning fee for its removal. Vehicle Passes If you find that you have not ordered enough vehicle passes for your organisation, please come to the organiser s office to collect at the event. There will be a charge of 5 for each additional pass requested. Subject to availability. 11

General Build up access and parking You will be provided with a map highlighting access areas for build up and breakdown times. You can download additional copies of this map by logging into the Exhibitor Zone. Licences Licences may be required for the following activities: Music: PPL/PRS; Video: VPL; Cinema or public viewing of films etc. Exhibitors who play music whether recorded (i.e. from records, cassettes, compact discs, TV, video, slide/tape presentation etc.) or live music in public, are required by law to apply for a licence to prevent infringement of copyright. Animals The show organisers and its agents do not hold any responsibility for the behaviour of animals. Animals must be kept away from the food areas at the show. All animals kept in enclosed areas must have enough space to stand up, turn around, sit down and make normal postural adjustments. No animals may be given as a prize or transferred on site. Animal Injury What to do There will be a number of qualified veterinary officers on site during the show period. In the case of an emergency please make your way to the organisers office where we will be able to locate a qualified veterinary officer onsite or request the service of a local veterinary officer. Display Every exhibit must be open to the public view at all hours during which the Exhibition is open. If any exhibit at any time is not in accordance with the Terms and Conditions the Organisers shall have the right to remove any covering and expose the exhibit without responsibility for loss or damage occasioned thereby. The movement of exhibits during the show opening time is only permitted with the approval of the Organisers. Every Exhibitor must ensure that a sufficient number of responsible members of staff are in attendance at the stand at all times when the Exhibition is open. No draws, lotteries or raffles are allowed without the permission of the Organisers. 12

General Trading Where an Exhibitor wishes members of a dealer or agent to staff or work from their stand, these persons are considered by the show to be temporary staff of the Exhibitor and are therefore bound by the Rules and Regulations of the show. The Exhibitor must issue them with an Exhibitors Pass. They may only trade from the stand of the Exhibitor who has provided them with a pass. Stands must be manned at all times. Exhibitors are not permitted to allow personnel or staff to roam the exhibition on behalf of themselves to distribute literature or any other promotional items. Any staff found to be giving out leaflets or any other items anywhere but on their own stand may be escorted from the show and this exhibitor may be refused the opportunity to exhibit at future shows. Damage to Exhibition Building, Fixtures and Fittings The fixing of display material to the shell scheme will be permitted only by methods laid down by the Organisers. No nails, screws or other fixtures maybe driven into any part of the Exhibition building including the floors; nor may any part of the Exhibition Building be damaged or disfigured in any way. No painting is to be carried out in the Exhibition Hall. Should any damage occur then the Exhibitor shall be liable for reparation charges incurred. Gangways All gangways, fire protection equipment access areas and exits must be kept clear at all times. Balloons/Inflatables Use of helium or gas filled balloons must be agreed in advance so contact us well in advance and we will clear it with the venue. Clubs and Voluntary Organisations Clubs and Voluntary Organisations will be bound by the rules and regulations of the show. 13

Compulsory Proof of public liability insurance All exhibitors must submit details of their insurance cover for approval by 1st June 2015. All Exhibitors must take out public liability insurance against personal injury, death and damage to or loss of property for a limit of indemnity not less than 1,000,000 sterling (or its equivalent). Health and safety Declaration All exhibitors must submit the health and safety declaration. You can download the form by logging into the Exhibitor Zone. Submit by the 1st June 2015. Shell Scheme Stand Risk assessment All exhibitors with shell scheme stands must submit risk assessment form 1. If you answer YES to any of the questions on form 1, you must also complete form 2. You can download the both forms by logging into the Exhibitor Zone. Submit by 1st June 2015. A risk assessment is an important step in protecting your workers and your business, as well as complying with the law. The law does not expect you to eliminate all risk, but you are required to protect people as far as is reasonably practicable It is simply a careful examination of what, in your work, could cause harm to people, so that you can weigh up whether you have taken enough precautions or should do more to prevent harm. Workers and others have a right to be protected from harm caused by a failure to take reasonable control measures. Risk Assessment and Stand plan (Space Only - using a contractor) All exhibitors with space only stands must provide us with detailed risk assessments and a stand plan for approval. These documents should be submitted by your stand contractor, although it is your responsiblity to ensure these are provided. Submit by 1st June 2015. Compulsory Exhibitor Badge Registration Exhibitors must upload details of all attendees using the online exhibitor registeration form. Each attendee will have a personal barcoded exhibitor badge, these will be sent out in July. Exhibitors without a badge will need to present themselves to the exhibitor help desk on arrival and obtain another. This will cause delays to entry. You can find a link to online form by logging into the Exhibitor Zone. Please complete the online form by the very latest: 1st July 2015. Shell Scheme Nameboards All exhibitors with shell scheme must submit their company nameboard information, this form us used to display the name of your company on your shell scheme. You can find a link to online form by logging into the Exhibitor Zone. Please complete the online form by: 1st June 2015. Advertising Deadlines Show Guide Artwork Adverts/Editorial To those who have booked an advert to appear in the 2015 edition of the official show guide, artwork for your advert will need to be submitted by: 1st June 2015. Show Guide Vouchers To those who have booked a voucher, will need to submit a company logo or product image, print quality, 13 words describing your special offer/competition and stand number no later than: 1st June 2015. Visitor Bag Inserts Exhibitors who have booked a promotional insert into the 2015 visitor bags; Items must be delivered between 09:00-17:00 between Monday 13th to Friday 17th July to: 18 Ivatt Way, Westwood, Peterborough, Cambs, PE3 7PG. DEFINITIONS In these Terms and Conditions: a) The word EXHIBITOR means the person, company, firm or other organisation to whom space at the Exhibition has been allocated by the Organisers and, in relation to any term or condition imposing any prohibition, shall include employees, servants or agents of the Exhibitor. The word EXHIBITION means THE PET SHOW. The word ORGANISERS means Huddle Events LTD 2. APPLICATION FOR STAND SPACE Application for stand space must be made on the Exhibition Stand Contract for THE PET SHOW. Applications will be dealt with in order of receipt. The submission of an application in the manner and on the form provided, together with the allocation by the Organisers and the acceptance by the Exhibitor of stand space shall be deemed to be a contract in acceptance of and in accordance with these Terms and Conditions. The Organisers shall reserve the right to refuse any application. The Exhibition Stand Contract must list all firms being represented by the Exhibitors. 3. CHARGES FOR SPACE ONLY AND SHELL SCHEME a) The SHELL SCHEME package will be charged at the rate of 110 per square metre plus value added tax at 20%. Description: shell scheme stand rental, carpet, company name board, show guide listing and event website listing. This DOES NOT include extras such as Electric, Furniture or Lighting. Organisers will not be held responsible for any Exhibitor who fails to order such extras. b) The SPACE ONLY package will be charged at 90 per square metre + value added tax at 20%. Description: bare floor space, show guide listing and event website listing. This DOES NOT include extras such as Carpet, Electric, Furniture or Lighting. Organisers will not be held responsible for any Exhibitor who fails to order such extras. 4. PAYMENT FOR STAND SPACE There are 2 options available for payment: A) The Exhibitor shall pay the full amount including value added tax at 20% by BACS transfer on receipt of the invoice issued by the organiser. B) The Exhibitor shall pay a deposit of 50% towards the total cost of the stand/s allocated, plus value added tax at 20% on receipt of the invoice issued by the Organisers. The Exhibitor will accompany this payment by sending a post-dated cheque for the remaining balance dated 1st May 2015. If such balance is not paid by this date, any deposit paid by the Exhibitor may be forfeited and the stand re-allocated. Stands booked after 1st May 2015 must make a payment of 100% of the total cost of the stand. All payments must be made by electronic bank transfer, cheque or banker s draft drawn on any United Kingdom bank in pounds sterling and made payable to Huddle Events LTD 5. CANCELLATION OR REDUCTION OF STAND SPACE If, after allocation of stand space to any Exhibitor, such Exhibitor shall desire to cancel or reduce the stand space allocated to him, a cancellation charge of the total charge for the stand will be made as follows: Cancellation within 12 months of the event will incur a charge of 50% of the total space contracted. Cancellation within 6 months of the event will incur a charge of 75% of the total space contracted. Cancellation within 3 months of the event will incur a charge of 100% of the total space contracted. The Organisers will endeavour to re-let the stand space not required by the Exhibitor but if they shall be unable to do so, the Exhibitor shall remain liable to pay the full charge for the stand space allocated to him. 6. ALTERATION TO STAND SPACE Whilst every endeavour will be made to adhere to the published layout of the Exhibition, the Organisers shall be entitled to vary the layout if, in their opinion, this is in the general interest of the Exhibition, 7. BANKRUPTCY OR LIQUIDATION In the event of an Exhibitor becoming bankrupt or (being a company) entering into liquidation other than for the purpose of reconstruction or amalgamation, or having a receiver appointed, the Organisers shall be at liberty to terminate forthwith the contract with such an Exhibitor and to cancel the allotment of stand space to the Exhibitor, and all sums paid by the Exhibitor under the contract shall be forfeited. 8. BUILD-UP OF STAND SPACE The Exhibitor, his servants, agents, employees and contractors, may enter the Exhibition area for the purpose of erecting and preparing his exhibits during the build-up days which are as follows: a) SPACE ONLY Thursday 30th July 2015 from 08:00 to 20:00. (Access for space only exhibitors) b) SHELL SCHEME Friday 31st July 2015 from 08.00 to 20.00. (Shell scheme and space only to complete stand dressing) All stands must be complete, stocked and ready by 20.00 on Friday 31st July 2015. 9. REMOVAL OF STAND All stands must be completely removed from the period of 17:15 to 22:00 on Sunday 2nd August 2015. No Exhibitor may remove any items on display from their stands before 17:15hrs on Sunday 2nd August 2015. 10. FAILURE TO VACATE If the Exhibitor, or his servants, agents or sub-contractors should fail to remove all his property or otherwise fail to vacate the Exhibition premises by 22.00 on Sunday 2nd August 2015 due to any cause whatsoever, the Exhibitor shall be fully responsible for any penalties imposed by Stoneleigh Park, or any other losses and costs incurred by the Organisers as a result of the Exhibitor failing to vacate the premises by the agreed time and without prejudice to any other right or remedy of the Organisers, the Organisers may remove any property of the Exhibitor left at the Exhibition Hall by the Exhibitor after the said time and the costs of such removal shall be paid by the Exhibitor to the Organisers on demand. 11. SUB-LETTING Sub-letting or licensing the use of stand space is not permitted, neither may the products or services of firms not exhibiting in their own rights be promoted or displayed as exhibits, except where the Exhibitor is the SOLE United Kingdom selling agent for such products or firms, or express written permission has been obtained from the Organisers. 17

Terms and Conditions 12. PUBLIC LIABILITY The Organisers shall not be liable for any claims arising from death or bodily injury or damage to property arising in connection with the erection and dismantling of the Exhibitor s stand and anything permitted, omitted or done there on or there from during the period of the Exhibition or the construction and dismantling periods caused directly or indirectly by the Exhibitor or any contractor, sub-contractor, servant, agent, licensee or invitee of his or the act, omission or neglect of any such person or by any exhibit, machinery, or other article of the Exhibitor or in the possession of or use of the Exhibitor or any servant or agent of his. The Exhibitor will indemnify the Organisers in respect of each and every such claim and all actions, proceedings, costs, claims and demands in respect thereof. The Exhibitor shall effect adequate insurance in respect of all such claims, and the liability therefore assumed by the Exhibitor. 13. INSURANCE OF EXHIBITS The Organisers do not accept responsibility for any loss or damage from any cause whatever, in respect of any property brought to the Exhibition premises by the Exhibitor or his servants, agents, sub-contractors or any other persons. The Exhibitor releases and indemnifies the Organisers in respect of any loss or damage to the exhibits of any other property brought to the premises whether it is his property or not. The Exhibitor shall adequately insure all such property in the joint names of himself and the Organisers on a full All Risks basis for a sum insured equivalent to the full value of all exhibits and other property brought to the Exhibition. The Exhibitor shall provide the Organisers with satisfactory evidence that adequate insurance is in force. 14. POSTPONEMENT OR ABANDONMENT If the Exhibition is postponed, cancelled or abandoned by reason of war, fire, storm, explosion, natural disaster, national emergency, labour dispute, strike, lock-out, terrorist threat, civil disturbance, inevitable accident, force majeure, the non-availability, either wholly or partially, of the Exhibition premises, or any other cause not within the control of the Organisers, the Organisers shall be under no liability to the Exhibitor in respect of any actions, claims, losses (including consequential losses) costs or expenses whatsoever which may be brought against or suffered or incurred by the Exhibitor, as the result of the happening of any such events. The Organisers reserve the right to change any special attraction, seminar, workshop and any other events programmes, venue, dates and duration of the Exhibition if circumstances so demand. In the event of change of venue and/or duration, the agreement to participate shall remain in force. The Organisers reserves the right to if, by rearrangement or postponement of the period of the Exhibition, or by substitution of other premises, or in any other reasonable manner, the Exhibition can be carried through, the contracts for space shall be binding upon all parties, except as to the size and position, as to which any modification, substitution or rearrangements considered necessary by the Organisers shall be determined. The Organisers strongly advise the Exhibitor to insure themselves against such eventualities upon the booking of their Exhibition space. 15. EXHIBITORS MANUAL/FORMS Further technical information concerning the Exhibition, together with order forms for services, will be available online through the Exhibitor Zone. Instructions contained within the Exhibitor s Manual form part of these Rules and Regulations and are binding to all Exhibitors and their Contractors. 16. TRADE UNION LABOUR It is recommended that all labour within the halls engaged in servicing the Exhibition is party to the Constitution and Working Rule Agreements for the National Joint Council for the Exhibition Industry and the National Exhibition Electrical Joint Industrial Council. All local Authority regulations must be abided by. In addition, for any specialist tasks correctly trained and certificated labour must be used. 17. ELECTRICAL REQUIREMENTS Additional lighting and power services will be available to the Exhibitor through the official electrical contractor. A schedule of these services, together with relevant charges, will be sent to the Exhibitor. An Exhibitor may provide his own electrical fittings, where such fittings are in the form of made-up units, showcases, signs etc. complete and ready for connection to mains supply. All electrical installations must comply with the relevant Electricity at Work Regulations 1989 and EVA (Exhibition Venues Association) Regulations for Stand Electrical Installations 1998. 18. SECURITY The Organisers will provide a site security service during the period of the tenancy but shall be under no liability for loss or damage. For the purposes of security, Exhibitor badges will be supplied. Badges must be worn at all times by the Exhibitor and his/her staff. 19. CHANGES TO REGULATIONS The Organisers reserve the right to change these Rules and Regulations without notice and on any matters arising, whether covered by the Rules and Regulations or not, their decision is final. 20. REVISION OF LAYOUT The Organisers reserve the right to revise the layout of the Exhibition at any time. Further, the Organisers retain the right to re-allocate an Exhibitor to another site; such decisions are final and non-negotiable. WE ADVISE THAT YOU KEEP A COPY OF THIS MANUAL FOR YOUR RECORDS 18
