Overview Medilink isafe is an integrated web-service solution for the secure back-up and remote off-site storage of Medilink practice management (and Medilink Clinical) data. Medilink isafe technology resides on your system and can be configured for manual or automated (unattended) back-up. Medilink isafe is integrated with Medilink Practice Management so that when registered isafe users exit Medilink, the system will prompt for a back-up, with options for scheduled or manual back-up. Initially, your Medilink data folders are configured for back-up, however you can add other files/folders/machines to your back-up schedule/s. Medilink isafe will then either begin to back-up immediately (manual) or will exit and allow the isafe scheduler to take over the back-up process at the set time. Medilink isafe looks up its schedule of Backup Sets, and compares these data sets since the last backup. Where data has changed, or has been deleted or modified, then Medilink isafe compresses those changes, and creates a small compressed file which is encrypted with 128-Bit encryption technology. This encrypted file is then uploaded in a secure SSL connection directly between your system, and the secure purpose-built data centres of Ctel, our Technology Partner for secure data services. The data sets are called delta files, and a series of them, plus your original data back-up, represent a restorable data set. Admin/Reports Medilink isafe sends HTML messages in an email to your nominated practice email account, letting you know of the success of your Medilink isafe backup. Should schedules be missed, then notifications will also be sent to the nominated email account. Summary Medilink isafe can be downloaded and started as a 50Mb Trial, and can be extended to a full version upon selecting a Plan. Getting Under-Way To install Medilink isafe and to get your Medilink isafe service under-way, simply go to the Medilink web-site at, or click this link into your web browser \isafe.html You will need an Internet ADSL or CABLE broad-band connection. Your Medilink isafe work-station (or server) should be a Windows XP/PRO; Vista or Windows 2000/2003 Server operating system. This machine should have Medilink installed, and access to any other drive/folders (beside Medilink) should you wish to back-up other systems/files.
The Installation Wizard When you click on the link to download the Medilink isafe installer, you will be prompted to SAVE/RUN the file. You may wish to save the file to your network/system for safe-keeping, although this file will always reside on the Medilink web-site. When you click on RUN, the Medilink isafe wizard will start: Click on NEXT to start the installation. Click on I accept... to accept the Terms of Use. Click on NEXT to accept the installation directory, typically on your own machine, which is where Medilink isafe will run as a scheduled service Click on NEXT to accept (or change) the Start Menu Folder Name.
Click NEXT to accept that ALL users of your machine may utilize this application. Setup now confirms your settings for the installation. Click NEXT to start the installation. On completion of the installation, you will be prompted to click FINISH to exit the installation.
Configuring Your First Medilink isafe Trial Account (50Mb) When the installation wizard has completed, you will be requested to start the New Account procedures. The first screen is the Server selection screen. Please enter ctelbackup.qi.com.au this is the name of our Ctel secure data centre facility. If you have a Proxy Server (unlikely), key the relevant information. Otherwise click NEXT to continue. You will be prompted for the Trial Registration, click Trial (unless you have already installed Medilink isafe and are an existing user perhaps setting up on a different work-station). Click NEXT to continue. You are now prompted for your Username/Password details for your secure log-in. Key your preferred Login Name. Key (and confirm) your Password. Complete the email contat details. This is the default email account that will be used to send your practice reports on your Medilink isafe activity. Click SUBMIT to continue. Please Note: The TRIAL account is only a 50Mb container. Medilink isafe plans allow significantly more staorage (e.g. 12Gb over 1 Year). Please select to backup ONLY your Medilink DATA directory for the TRIAL. This will compress satisfactorily to just under 50Mb in most cases.
Now key the NAME of this Backup Set. Typically you will call this Medilink, however, Medilink isafe allows you to establish several Backup Sets, possibly for other files/directories/machines. Once you have entered the Backup Set Name, click NEXT to continue. The next screen allows you to select the drives/directories on your system for the Medilink Backup Set. Tick the directory/files you wish to back-up. Click the + sign to open any directory, to select/deselect as you wish. Note that this is a C drive installation of Medilink. On YOUR system in a MULTI-USER network, it is more likely that your Medilink directory is in the M or F drive. This will CERTAINLY be the case if you are using Medilink isafe on a work-station. Do NOT use your local C drive Medilink if you are a workstation, as the Medilink database does NOT reside on a work-station in a multi-user environment. NB: For Terminal Server sites, a C drive WILL be applicable as ALL users access the Terminal Server, including the Medilink isafe application. Contact Medilink Assist on 1300 765 110 for further assistance if you are unsure. Click NEXT to continue. You are now prompted for the Properties of the Backup Set. This provides the ability to nominate a Daily/Monthly/Custom schedule. Click PROPERTIES to continue. [The Medilink isafe scheduler allows the Medilink isafe task to sit in your Windows Task-Bar, waiting for the appropriate time to start the automated backup process]. IMPORTANT If you wish to use the Scheduler, you MUST have all users exit Medilink, and leave YOUR machine logged-on (but the screen may be turned off...)
The PROPERTIES of the backup Set determine the schedule you may wish to apply to THIS Backup Set (e.g. Medilink) Click Weekly, if you wish to allocate CERTAIN days of the week you wish to backup e.g. the surgery is not open every day. Nominate the TIME you wish the scheduler to run. Remember, YOUR machine (the one that Medilink isafe is installed on) should be left ON and ALL users having exited Medilink. Check to see that the Medilink isafe icon is running in your task-bar. Click OK to continue. You will be prompted for the DEFAULT login accept this default. Click NEXT to continue. You have now successfully created your Medilink Backup Set! You are now ready to start your FIRST Medilink isafe backup. The FIRST backup is the MASTER back-up, and ALL files will be copied to the backup server. This process will take some minutes/hours depending on the SIZE of your selected back-up set, and the SPEED of your Internet connection. Click on BACKUP...START BACKUP...MEDILINK to start backing up your selected Backup Set. Your LAST prompt is to back-up to the Off-Site Backup Server. Accept this default. Note that the OPTIONS setting is for an INCREMENTAL backup. This is the preferred method for Internet backups.
Congratulations! You have now successfully established your first TRIAL Backup Set. You will receive a notification in your Inbox of the nominated email account, regarding your scheduled; successful; missed backup sets. You can turn these notifications OFF by DELETING the TRIAL backup set at any-time. Simply access the Medilink isafe program e.g. via the task-bar. Simply login to Medilink isafe using your Username/Password. You can then access the various menu options, which allow you to configure Medilink isafe, including changing your Username/Passwords. Please do NOT change these settings without first contact Medilink Assist, so that we can ensure that your important and CRITICAL backup sets are not adversely affected. The User Profile area allows you to change your Account details. For example, you can changes Username/Passwords and your nominated email account properties.
Restoring a Backup Set You can test a RESTORE of your Backup Set at any-time. You MUST remember to restore your TEST RESTORE to an ALTERNATIVE DIRECTORY. Otherwise, you MAY/WILL over-write the work of other users since your last successful back-up. Select the RESTORE tab after you have access Medilink isafe, either via the task-bar icon, or via START/Program Files. You will be prompted to log-in. Use your Username and Password combination to login. You will see the OBM (Online Backup Manager software). Select the RESTORE tab and select the RESTORE FILES... MEDILINK option. This will show you your data sets on the Medilink isafe server. Tick the respective files/directories you wish to restore (you will be prompted for a Directory to restore to shortly....) Click on RESTORE FILES... Now you are prompted to restore the files. Ensure that you restore the files to an ALTERNATIVE directory. Select the BROWSE option to find an alternative directory.e.g. TEMP. Even in a live restore situation, this would be preferable, as the original directory should be copied/renamed, and the restored files then copied form the alternative directory, to the live directory. Contact Medilink Assist for further assistance. Click START to begin the RESTORE process.
The restore process will download your Medilink backup Set files into your TEMP directory. The following notes are for REVIEW ONLY. DO NOT ATTEMPT THIS WITHOUT ASSISTANCE FROM MEDILINK. the restored files can be reveiwed or tested with the help of Medilink Assist or your Reseller. Typically your live directory is renamed, and the contents of the TEMP direcory restore files is moved into a special DATA directory within Medilink. This can then be tested using the Medilink application. The TEST RESTORE data can then be removed. Your live directory is renamed back to its original name, thus restoring you back to a PRE-RESTORE-TEST stage. The LOG tab provides a record of ALL Medilink isafe activity. This Log File can be inspected to ensure that your backup Sets have completed as expected. These log files however, are the same data sets used for the email notofications.
