Service overview Hydrant offer an e-learning Management System (HELMS) on which a variety of e-learning solutions can be built and configured. Developed in Drupal and deployed as a managed service to offer a feature rich, flexible, scalable and secure platform, it can be easily extended, customised and integrated with external systems. On-boarding On-boarding is included in the price for this service, and comprises of: Updating of the default Drupal theme to match your branding Implementation of your logo Selection from a default set of features, subject to your requirements Setting up the key sections, based on an agreed sitemap Provision of the installation on to our managed hosting service This process usually takes 3-4 weeks. Off-boarding The system is built on Drupal and is fully Open Source, allowing it to be ported to a suitable alternative supplier. You may cancel the service with 30 days notice and receive a full copy of the system and all data. We will provide a developer for up to one day to assist with the off boarding process to ensure a smooth transition. Fully managed hosting platform Our cloud hosting platform sits in secure, high availability enterprise data centres in the UK run by our hosting partners. We offer a fully managed service on top of their architecture adding system administration and performance optimisation for the application layer. We have experience of running and performance-optimising large scale, high availability platforms for global organisations. We continuously monitor the performance of the servers and our support team monitor and respond to increases in load, providing effective scaling of the service platform as required. Backup / restore and disaster recovery We provide a fully managed backup and restore service with daily, weekly and monthly storage media cycles to allow for up to 7 years retention if required. Restoration of partial data depends on the type of data and cause of the need to restore. Rollback / full data restorations from a server backup can be requested via our support team. Page 7
Automated hardware failover is configured on production servers. Our providers provide 100% network availability and a 1-hour hardware response Service Level Agreement for further peace of mind. Our hosting and business processes have disaster recovery plans in-place. Information Assurance We provide a fully managed cloud hosting platform including high performance architecture, backups and failovers, 24/7/365 monitoring, and a dedicated support team. We comply with all requirements of the relevant legislation, such as the Data Protection Act. We are ISO9001 certified for our quality management processes and we also follow industry best practice. We work with ISO27001 hosting partners and are working towards ISO27001 certification ourselves. Service Management We use a support ticketing system and an ISO 9001 accredited process to log and respond to all requests for support or maintenance - whether reported by telephone or email all support requests are issued a unique support number. We provide client access to the ticketing system to enable client tracking of support tickets. Support requests are triaged and assigned a priority and category. They will then be assigned to a relevant team member. Whilst we do not offer a guaranteed time to fix, support calls are constantly monitored and assessed and where necessary promoted to second and third line support. Support Service Levels Within the core platform we will train and support up to 5 named administrators. Our support service offers a guaranteed response time of 1 hour during working hours of 9-5.30pm The following upgrades to service level are available Per extra hour of support time in each month: 120 Upgrade to 24/7 support, per month: 4,500 Additional administrators per month: 150 (each) Page 8
Training The core service includes up to 2 days onsite training for up to 5 named administrators including our travel costs within the UK. Additional training can be arranged for administrators or other users at the rate of 900 per day + expenses. Ordering and invoicing process; Products and services are ordered. Invoices are raised monthly in advance. We provide 28 days standard payment terms. We accept purchase orders, all major credit cards and BACS payments. Termination terms: By you There are no long term contracts. The service can be cancelled at any time with 30 days notice on settlement of outstanding arrears and commitment to a defined handover plan. By us We can cancel with 90 days notice and will agree a handover plan and 3 developer days to ensure a smooth transition. Page 9
