How to set up secure email Guide to setting up and using secure e-mail 1. To request that a secure email is set up. Send an email 1 to the following address: earlyedgrantclaims@suffolk.gov.uk 2. In response to this you will receive 2 emails as follows: 1) Secure email instructions- this email has an attachment containing these instructions for you to follow 2) Please activate with CRES-this is the email you will need to open and use this email when following the instructions 3. Open the second email entitled Please activate with CRES and open the attached file to this email. You will see the following dialogue box: Click on the Open button. 1 If you are using a Suffolk County Council email address this is already a secure method of sending messages. Therefore, in this instance, there is no need to set up a secure email account - 1 -
4. You will now see the following envelope message: 5. Click on the Register button and you will see the following form to complete: 6. Complete the above form. You will be asked to enter a password which you will need to remember 2 and enter for future secure emails to this address. You will also be asked to enter a short phrase that only you will know and this will automatically appear on message envelopes when you log in. When you see your phrase you know you are logging in to the secure site. You will also be requested to enter some security questions/answers for further security. Once the form is complete click on the Register button. 2 Note that the password should contain both numbers and letters and be a minimum of 6 characters. Passwords are case-sensitive. Make a note of this password for future use - 2 -
7. The next screen to confirm account activation will appear as follows: 8. You will receive an email containing the following message: - 3 -
9. Click on Click here to activate this account that appears within the above message. You will then see the following message which confirms that the secure email account has been activated and the registration process is now complete: Now close this screen by selecting the of the window. icon at the top right hand side 10. The process is now complete. You will also receive an email message in your email Inbox 3. Open the attachment to this email to view the following message: 3 Always check your junk/spam mail too if the message does not appear in your Inbox - 4 -
11. As the above message suggests you may send a test message to ensure that the secure email is working correctly. If you do not wish to send a test message, simply close this window. However, should you wish to do this, click on the Reply button and you will see the following screen: 12. Type in a message in the Message box e.g. this is a test message to ensure that I have set up my secure email correctly. Next click on the yellow Send button 13. A message will be displayed to confirm that the message has been sent as follows: 14. Close this window. You will receive a confirmation email to this test message which will be sent securely. How to open secure email messages 1. You may receive a secure email message within your Inbox e.g. if you have sent a test message to ensure secure email set up correctly. The sender of these messages will be Early Ed grant Claims. 2. Open the email and open the email attachment. You will see the following dialogue box: 3. Click on the Open Button and you will see the following envelope message: Now type in your password and select the yellow OPEN button. - 6 -
4. You will now be able to view the secure email message. If you do not wish to reply to the message, close the window. 5. If you wish to reply to the message, select the Reply button and you will be presented with the following screen: 6. Type your message in the Message window. Next, click on the yellow Send button. 7. A message will be displayed to confirm that the message has been sent as follows: 8. Now close this window. - 7 -
How to send secure email messages with attachments 1. Should you wish to send a secure email with attachments e.g. your Early Years funding claim forms, you may send this information electronically via your secure email by using the following link: https://res.cisco.com/websafe/ Point your cursor to this link and press down the Ctrl (Control) button on your keyboard and click with the mouse at the same time. 2. You will see the following screen: Type in your email address i.e. the email you originally used to set up the secure email facility and select the yellow Login button. - 8 -
3. This is the next screen you will see: a. In the To box: type in the following address: earlyedgrantclaims@suffolk.gov.uk b. In the Subject box: enter an appropriate subject heading and setting name c. In the Message box: enter an appropriate message Now click on the yellow Attachments button. 4. The next screen you will see is: Now click on the Browse button. - 9 -
5. Windows Explorer will now reveal where all your files/folders are saved as follows: Locate and highlight the file you wish to attach 4 and click on the Open button. 6. You will now see the following: Note that the location of the file will now appear in the Attachment box. Click on the yellow Add button. 4 Attachments you may wish to add include any forms relating to early years funding claims (forms SEYF2, SEYF3, SEYF5), any scanned documentation e.g. Parent Declarations forms (SEYF1), 2 year old funding application form etc. Ensure that any scanned documents are saved in either a JPG or PDF format. Do NOT save in a TIF format as the file will be too large to attach. - 10 -
7. You will now see confirmation that the file has been added under Current Attachments : If you wish to add further files, return to step 5 to repeat the attachment process. If you have no further files to add, click on the yellow DONE button. You will now be returned to the original message screen: Once the email is complete, click on the yellow Send button. - 11 -
8. You will receive confirmation that the email has been successfully sent: Now close the window. Note that we aim to contact you within 4 working days of receiving your claim. You will always receive a reply from our office either confirming receipt of your claim OR advising you of any issues - 12 -
