Set up your Printer to use with Envoy Deciding which printer to get In most cases it is recommended to get the QL-720NW printer so that the Ethernet cable can be utilized as a fallback option. If wireless is desired because of the printer s location, it s important to understand the wireless capabilities if you re looking to get the QL-710W. Overview of each printer QL-720NW - Wireless (802.11 b/g/n)(2.4ghz) and wired capable - Only one can be used at a time and failover is not automatic - Pricier of the two printers - Quickest setup (web based using Ethernet) - Restricted to the wireless capabilities outlined below QL-710W - Wireless (802.11 b/g/n)(2.4 GHz) only - Cheaper of the two printers - Restricted to the wireless capabilities outlined below Wireless Authentication available for both printers Personal - Open (w/ None or WEP) - Shared Key (w/ WEP) - WPA-PSK (w/ TKIP or AES) - WPA2-PSK (w/ AES) Enterprise - LEAP (w/ CKIP) - EAP-FAST (w/ TKIP or AES) o Inner Authentication: None, MS-CHAPv2, or GTC Note: Enterprise wireless configurations require a server certificate to be installed and could be considered an advanced setup. Network Requirements In order for Envoy to be able to print it is required for the ipad to be able to talk directly to the printer. Envoy uses the IP address of the printer on your
internal network to instruct the ipad to send the visitor badges right to the printer, so that a middleman is not needed. The following ports should be open between the ipad and the printer within your local network: - UDP 161 (SNMP Printer Status) - TCP 5900 (Data Printing) Setting up the QL-720NW printer Initial configuration of the QL-720NW is quickest when used in an environment utilizing a DHCP server. It is advised to set a static IP address on the device or as a reservation on a DHCP server to avoid issues in the future. Wired - When a DHCP server is available (fastest) If a DHCP is available when setting up your printer, follow these instructions: 1. Plug printer in to power and load the test roll of paper into the printer. 2. Plug an Ethernet cable in to the printer and attach to a network port that will receive a DHCP address. 3. Power on the printer and wait ~1 minute for the printer to configure itself. 4. Press and hold the Cut button until it begins printing. These printouts include the necessary information to connect to the device. 5. Look for the IP Address field to determine the address given to the device via DHCP. Note: If the IP address starts with 169.254 then the printer was unable to get an address because: - Wireless is enabled (hold the wireless button on the front of the printer until it turns off) - An address was not received from the DHCP server. Check physical connections and then restart the printer. A new printout will be needed if you restart the printer to check the new settings. 6. Open a web browser and type the IP Address in the address bar. 7. Click Network Configuration at the top of the page. 8. Use the default user (admin) and password (access) to connect. 9. Set a static IP using instructions below.
a. For quickest deployment You can find the MAC address for the wired connection on the printouts used in this section. You can use this MAC address to make a reservation on a local DHCP server to assign a static IP. In-depth steps can be found below. Wired When a DHCP server is not available If a DHCP isn t available when setting up your printer, follow these instructions: 1. Plug printer in to power and load the test roll of paper into the printer. 2. Plug an Ethernet cable in to the printer and attach to a network port that you want the printer on after configuration. 3. Power on the printer and wait ~1 minute for the printer to configure itself. 4. Press and hold the Wi-Fi button until the light turns green. Wait until the light is steady green until moving to the next step. 5. Press and hold the Cut button until it begins printing. These printouts include the necessary information to connect to the device. 6. Look for the IP Address field to determine the address. 7. Using a wireless enabled device, connect to the SETUP network. Wait ~1 minute for the device to get a selfassigned IP. 8. Open a web browser on that device and type the IP Address from the printouts in the address bar. 9. Click Network Configuration at the top of the page. 10. Use the default user (admin) and password (access) to connect. 11. Set a static IP using instructions below. When you ve completed the static IP instructions, hold the Wi-Fi button until the green light goes off. Wireless To set up wireless, double check your wireless network fits in the network requirements before configuration: 1. Plug printer in to power and load the test roll of paper into the printer. 2. QL-720NW Press and hold the Wi-Fi button until the light comes on. 3. Wait for the Wi-Fi light to be steady green.
4. Power on the printer and wait ~1 minute for the printer to configure itself. 5. Press and hold the Cut button until it begins printing. These printouts include the necessary information to connect to the device. 6. Look for the IP Address field to determine the address. 7. Using a wireless enabled device, connect to the SETUP network. 8. Open a web browser on that device and type the IP Address from the printouts in the address bar. 9. Click Network Configuration at the top of the page. 10. Use the default user (admin) and password (access) to connect. 11. Click Network Configuration at the top of the page again and then click the Configure Wireless link. 12. Configure the wireless settings accordingly (click Enterprise at the top for enterprise wireless networks): a. Communication Mode Infrastructure b. Wireless Network Name Click Browse and choose the radio button next to the SSID of the wireless network. Click OK at the bottom. c. Channel Define a channel if necessary. 13. Enter the rest of the fields appropriate to connect to the wireless network. Consult your local IT team if needed. Click Submit at the bottom. 14. Set a static IP using instructions below. 15. Restart the printer (turn off and on again). Test connectivity to the printer by visiting the address set in a web browser. Note: It is suggested to set up the wireless connection using the USB (QL-710W) or Web Interface over Ethernet (QL-720NW). If you cannot connect to the printer after configuring the wireless using the Web Interface over Wireless then the printer needs to be factory reset. (Instructions below Reset network connections to default ) Wired/Wireless - Set a static IP on the device Follow these steps to set a static address to the device itself: 1. Log into the device if you haven t already Connect to it by typing the IP address in a web browser a. user: admin pass: access as the credentials 2. Click Network Configuration at the top of the page. 3. Next, click Configure TCP/IP halfway down the page.
4. Enter the static IP, Subnet Mask, and Gateway. If you re unsure on what to enter here, talk to your local IT team. a. Set Boot Method to Static 5. Click Submit. 6. Apply this address in Envoy under Customization -> Printer & Badge -> Enable Print Support. Wired/Wireless Set a static IP using DHCP reservation Follow these steps to set a static address to the device using a reservation on a DHCP server: 1. Log into the device if you haven t already Connect to it by typing the IP address in a web browser a. user: admin pass: access as the credentials 2. Click Network Configuration at the top of the page. 3. Click the tab for the preferred method of connection (Wired or Wireless) 4. Take down the MAC address for that connection and provide it to your IT team to make a DHCP reservation. If you are IT, use this MAC address to create a reservation on your DHCP server. The IP address set here will be applied to your printer. 5. Restart the printer. 6. Apply this address in Envoy under Customization -> Printer & Badge -> Enable Print Support. Setting up the QL-710W printer The QL-710W printer supports only wireless. Follow the wireless steps for the QL-720NW. Troubleshooting printer problems Nothing printing/ Connection error shows in Envoy 1. Make sure your ipads ios and Envoy app are up to date with the latest version. 2. Double check the IP address by printing out the information tags. a. Load the plain white paper. b. Hold Cut button until it starts printing 3. Make sure the IP is what it was set during initial set up. This should also match what is in the Envoy configuration. a. If they don t match
i. Check settings to make sure a static IP is set. If the IP is set on the device, make sure the settings didn t reset. If the IP is set as a DHCP reservation, double check the MAC address used is correct. ii. If the IP address on the information printouts starts with 169.254 and you re using a Wired connection on the QL-720NW, make sure Wireless is disabled (light on the front of device). 1. If wireless is on hold the wireless button on the printer until the light goes off. b. If they match make sure the ipad can talk directly to the printer on the local network. See Network Requirements. Reset network connections to default 1. Turn the printer off. 2. Press and hold the Cut button while simultaneously pressing the Power button. 3. Wait for the Wi-Fi light to flash and the Status light to go orange. 4. Press the Cut button 2 times while still holding the Power button. Release the power button. 5. All network settings are reset. QL-710W Wireless Setup Instructions through Wireless Setup Utility Mac 1. Go to downloads.brother.com and select the OS being used to set up the printer. a. Windows b. Mac OS X i. Under Utilities select Wireless Device Setup Wizard ii. Click Agree to the EULA and Download iii. Select a location to save the DMG and launch it iv. When the DMG is mounted, the folder will open double click the Wireless Device Setup Wizard shortcut. 2. Select Yes for the USB cable and choose Next. 3. Check the confirm box and choose Next.
4. Power the printer on and connect the USB to the computer. 5. Find and highlight the SSID of the network to connect to in the list. Click Next. 6. If DHCP reservation is in use, click Next. If DHCP reservation is not in use a. Set the IP address to the device by clicking Change IP Address. b. Enter the static IP, Subnet Mask, and Gateway. If you re unsure on what to enter here, talk to your local IT team. c. Click Next. 7. Confirm the settings and click Next. 8. When the prompt comes up to disconnect the printer, unplug the printer s USB from the computer. 9. Setup complete. If a DHCP reservation is being useda. Press and hold the Cut button until it begins printing. These printouts include the necessary information to connect to the device. b. Look for the MAC Address field to determine the address given to the given via DHCP. c. Take down the MAC address for that connection and provide it to your IT team to make a DHCP reservation. If you are IT, use this MAC address to create a reservation on your DHCP server. The IP address set here will be applied to your printer. 10. Apply the printer s IP address in Envoy under Customization -> Printer & Badge -> Enable Print Support.
