First Time Sign In and Password Recovery - PeoplePoint Service Overview This How to Guide will provide you with step by step instructions on how to sign into PeoplePoint Self Service for the first time and how to recover a forgotten password. The Self Service system can be accessed on the PeoplePoint Portal by clicking on the Apply for Annual / Non Annual Leave or Update my Personal Data link on the PeoplePoint Portal home page. This guide will demonstrate the first time sign in process through the PeoplePoint Self Service system by selecting Update my Personal Data link on the PeoplePoint Portal (peoplepoint.gov.ie). Please Note: Users have a joint username and password for the Self Service System, Case Management System (CMS), Pension Service System (PSS) and the epmds* system. As such, the following process will also set your password and password recovery question for the CMS, PSS and epmds. *epmds will not be live for OPW and National Council for Special Education until 2015 Page 3 of 18
First Time Sign In This section provides a step by step guide on how to sign in to PeoplePoint Self Service for the first time as well as setting your password and password recovery question. There are three steps in this process: Initial log in Setting your password Setting your password recovery question Step by Step Guide Step 1: Access the Update my Personal Data through the PeoplePoint Portal Click on the Update my Personal Data link which is on the PeoplePoint Portal home page (peoplepoint.gov.ie). This will bring you to the Self Service System login screen. Page 4 of 18
Step 2: Log into the Self Service System You will need to log into the Self Service System using your User ID and temporary Password received via email. Once you have entered your details, click Sign In. Please remember the following points when logging in to the PeoplePoint systems; 1. Your username and password are case sensitive. 2. DO NOT copy and paste your Username and Password as this is highly prone to error. 3. After 2 failed attempts at logging in, click on the Forgotten Password link to retrieve a new password 4. If you have 3 failed attempts at logging in, your account is locked for security purposes and the Forgotten Password link will not be effective. You will need to contact PeoplePoint to unlock your account. Page 5 of 18
Step 3: Click the link to access the Change Password screen Once you have entered your User ID and temporary Password you will be brought directly to the password expiration page. You are required to change your temporary password to something more memorable on first sign in. In the middle of the screen you will see a link that reads Click here to change your password. Click this link to access the Change Password screen. Step 4: Set a new password Once on the Change Password screen enter your temporary password in the Current Password box. Choose a new password and enter it in New Password and Confirm Password boxes. Click the Change Password button. You will be notified that your password has been changed. Click OK to continue. The following are general recommendations for creating a Complex Password: A Complex Password must contain a minimum of 10 characters from three of the following five categories: 1. Uppercase alphabetic characters (e.g. A-Z) 2. Lowercase alphabetic characters (e.g. a-z) 3. Numerical characters (e.g. 0-9) 4. Nonalphanumeric characters: ~!@#$%^&*_-+=` \(){}[]:;"'<>,.?/ 5. Any Unicode character that is categorized as an alphabetic character but is not uppercase or lowercase. This includes Unicode characters from Asian languages. A Complex Password should not Spell a word or series of words that can be found in a standard dictionary Spell a word with a number added to the beginning and/or the end Be based on any personal information such as user id, family name, pet, birthday, etc. Be based on a keyboard pattern (e.g. qwerty) or duplicate characters (e.g. aabbccdd) Use a passphrase or a nonsensical word A passphrase could be a lyric from a song or a favourite quote. Examples of complex passwords are: Welc0me t0 PP, i.e. Capital W, elc, zero, me, space, t, zero, space, capital PP. or ET Phon3 hom3, i.e. Capital ET, space, capital P, hon, 3, space, hom, 3. A nonsensical word can be built using the first letter from each word in a phrase (e.g. Tn1!Dbpcd$, represents "The number 11 Dublin bus passes Clonskeagh daily."). Page 7 of 18
Step 5: Set your security question Please Note: The password recovery system requires the user to provide the answer to their security question. For this reason is it important that every user sets a security question and memorable answer immediately after first sign in. After changing your password, you will be directed to the PeoplePoint Self Service home page. Select the option to Reset Password at the bottom of the page. You will be brought to your General Profile Information page. The system has a password recovery service called forgotten password help. To edit the details of this service click Change or set up forgotten password help. The following page allows you to choose a security question to be used for recovering a forgotten password. Select a security question from the dropdown list. Try to pick a question that you will remember the answer to but others may not know. Page 8 of 18
Enter the answer to your security question in the Response box. Click OK to return to your General Profile Information. Once back on your General Profile Information page, click Sign Out to exit the system. Page 9 of 18
Password Recovery This section provides a step by step guide on how to recover a forgotten password. Please Note: The password recovery system requires the user to provide the answer to their security question. If you did not set a security question or cannot remember the answer you gave to the question you chose, please see the troubleshooting section at the end of this document. Step by Step Guide Step 1: Choose the option for forgotten password On the login screen for the Self Service System, choose the option for Forgotten Password? below the Sign In button. You will be directed to the Forgot My Password screen Page 10 of 18
Step 2: Enter your User ID On the password recovery screen enter your full User ID in the User ID box. Click Continue to proceed. Step 3: Answer your security question The next screen will ask you to verify your identity by answering your security question. Please ensure your email address is listed correctly. If it is incorrect go back and re-enter your correct User ID. Carefully read the question and type your answer in the Response box. Click the Email New Password button to send a new password to your email account. A message will indicate that a new temporary password has been sent to your email account. Page 11 of 18
Step 4: Retrieve your temporary password Look for a message in your email with your new password. You can use your username and this new password to sign into PeoplePoint. Remember to change your password to something you will remember as soon as you sign in. Page 12 of 18
Troubleshooting This section provides step by step troubleshooting to common password recovery issues. Step 2: Attempt to reset your password Choose the option for forgotten password On the login screen for the Self Service System, choose the option for Forgotten Password? below the Sign In button. Step 3: Answer the default security question To will be asked verify your identity by answering a default security question. Please ensure your email address is listed correctly. If it is incorrect go back and reenter your correct User ID. Carefully read the question and type your answer in the Response box. Click the Email New Password button to send a new password to your email account. A message will indicate that a new temporary password has been sent to your email account. Step 4: Retrieve your temporary password Look for a message in your email with your new password. You can use your username and this new password to sign into PeoplePoint. Remember to change your password to something you will remember as soon as you sign in. I don t remember my username Step by Step Guide Step 1: Search your email for your username You can try using the Search function of your email to locate the original email from PeoplePoint containing you user name and temporary password. Search for the phrase: yourusername@peoplepoint.ie Note that the password in this email may no longer be your password if you changed it on first sign in. I didn t set a security question Step by Step Guide Step 1: Verify that you did not set a security question There is a simple way to check whether or not you set a security question. On the login screen for the Self Service system, choose the option for Forgotten Password? below the Sign In button. Step 2: Contact PeoplePoint If your profile has a security question set up you will be taken to the Forgot My Password screen. Otherwise, an error will be displayed. I don t remember the answer to my security question Step by Step Guide Step 1: Verify that you do not know the answer to your security question On the Forgot My Password page, review your question and think carefully about what you may have answered. What would you say if you were asked the question now? Type your best guess in the Response box and click the Email New Password button. Step 2: Contact PeoplePoint An incorrect answer will return an error. You can guess multiple times if there are a number of answers that could be correct. If you cannot remember your answer you will have to contact PeoplePoint directly on 076-107-1000. Page 18 of 18
