1. DATES AND VENUE The Meeting of Commonwealth Health Ministers (CHMM) will be held on Sunday, 18 May 2014 at the Starling Hotel Geneva, Switzerland. The Starling Hotel Geneva is located at Route François-Peyrot 34, CH-1218 Le Grand Saconnex, Geneva. 2. MEETING ARRANGEMENTS The Commonwealth Secretary-General, HE Mr Kamalesh Sharma, will lead the Commonwealth Secretariat team and is responsible for the conduct of the Meeting. The Commonwealth Secretariat is responsible for the general organisation of the Meeting. MEETING PROGRAMME The Ministerial Meeting will convene at 0845hrs on Sunday, 18 May 2014 and conclude at 1330hrs in the Montana Room, Starling Geneva Hotel. Please note that Commonwealth and Observer Organisations are welcome to attend all open CHMM plenary sessions but will be requested to leave the meeting room for any restricted sessions. Restricted sessions (sessions for member governments only which are not open to Observers or Commonwealth Organisations) currently include the Agenda Item: VI: Chair Statement. The Conference Secretary will inform Organisations if there any additional restricted sessions. 1
The theme of the Meeting is Commonwealth Post-2015 Health Agenda: Strengthening Health Policies and Systems. A Provisional Programme and Agenda will be available on the Commonwealth Connects workspace. 4. ACCREDITATION AND REGISTRATION All delegates and participants attending the meeting must be accredited. Organisations are asked to complete the Observer Registration Form at ANNEX A and return it to the Conference Officer as soon as possible and no later than Friday 25 April 2014. Please note that there will be no onsite facility for Observers and Organisations to register. All Observers and Commonwealth Organisation must register prior to the registration deadline. Identification passes for pre-registered Observers and Commonwealth Organisations can be collected at the Registration Desk outside the Montana Room, Starling Geneva Hotel, from 1600-1800hrs on Saturday, 17 May and from 0745hrs on Sunday, 18 May 2014. 5. MEETING ROOM PASSES In addition to their Accreditation Pass, delegates will require a Meeting Room Pass in order to gain access to the meeting room. The passes will be issued as follows: Two (2) passes per Commonwealth Organisation (Head of Delegation plus one) Two (2) passes per Observer Organisation (Head of delegation plus one) 6. DOCUMENTS All Meeting documents will carry the identification prefix HMM(G)(14). The Secretariat will prepare a summary record of the Meeting, which will be circulated to all Commonwealth member countries after the conclusion of the Meeting. a. CHMM Website and Commonwealth Connects This note on Administrative Arrangements and Observer Registration Form will be available on the CHMM webpage at: www.thecommonwealth.org/chmm2014 Upon registration, each delegate will be invited to join the Commonwealth Connects workspace for this Meeting where they will be able to access documentation for the Meeting. Observers are requested to download and bring with them all necessary meeting documentation. Please note that documents previously circulated from London will not be available in Geneva. 2
b. Delegation Directory A Provisional Directory of Delegations will be issued in Geneva before the start of the meeting, on the basis of information provided in Annex A. Organisations will be required to verify names in order of precedence, designation and other information in the Provisional Directory and to inform the Conference Officer of any amendments as soon as possible after arrival. A final amended version of the Directory will be available on Commonwealth Connects after CHMM. 7. HOTEL ACCOMMODATION Delegates are responsible for arranging their own accommodation in Geneva, including direct communication with hotels and settlement of all charges. The Secretariat has negotiated with the Starling Geneva Hotel a room rate for a Standard Room of CHF235 per room night, for single occupancy or CHF255 per room per night, for double occupancy. Local City tax is CHF4 per person, per night. The room rate includes an American Buffet Breakfast served at the Starling Café. The hotel rate is applicable only for the nights of 16 to 18 May 2014 inclusive and may not be available for bookings made after 14 April 2014. From Tuesday 15 April all reservations will be processed on request and the best available rates will be offered. Rooms are available on a first-comefirst-served basis. Delegates wishing to take advantage of this special rate may make reservations by using the room reservation form uploaded on the conference website. The hotel provides complimentary access to the in-house fitness and wellness centres. Free WiFi access is available in all guest rooms and public areas. Business services are available for a fee. The hotel also offers a free public transport card for all guests sleeping at the hotel. Further information is available on the hotel website at: www.shgeneva.ch. 8. TRANSPORT AND PARKING The Starling Geneva Hotel provides complimentary shuttle service from/to Geneva Airport and Airport Train Station. The courtesy bus operates approximately every 15 minutes and can be boarded outside the Arrivals section of the airport, door no. 4. There are also good public transport links from the hotel to the city centre. Please note that parking is available at the Starling Geneva Hotel at a special rate of CHF 10 per day for CHMM participants. It is possible to drop-off or pick-up in front of the hotel but cars may not wait at the entrance to the hotel. 3
