PeopleAdmin Overview Automates many of the most paper intensive Higher Education Human Resource processes including Applicant Tracking, Position Management and Performance Management Delivered as an ASP (Application Service Provider) and does not require local installation or maintenance of any hardware or software on campus Provides a high degree of customization and support for clients including configuration changes to system forms and workflow for one standard license fee 7
PeopleAdmin Applicant Tracking Module Create and submit job requisitions online for review and approval Collect employment application materials (resume, cover letter, vitae, voluntary EEO information) via the web Screen applicants automatically using job specific qualification questions Allow managers and search committees to review applicant materials online and record results Provide automated communication (email and online) to applicants regarding the status of their job search Improve control and oversight for Human Resources 8

Interface Features Populates Biographic/Demographic, Employee, and Employee Job information in Banner HR Banner HR data elements can originate in PeopleAdmin as needed Allows optional use of on-line electronic routing and approval of new hires through integration with Banner HR s Electronic Personnel Action Form (EPAF) Enter additional data as needed on EPAF Prevents duplicate person records in Banner through integration with Banner s Common Matching functionality 12

Interface Process Flow - PeopleAdmin Produces delimited variable length flat file Will send Banner codes in file where code values are required Works with each institution to determine: Frequency of extract file creation (daily, weekly, etc.) PeopleAdmin Applicant Tracking Data mappings from PeopleAdmin site to interface file, including crosswalk values The workflow to be used and what action will trigger an applicant s data to be included in the interface file Example: Status change from Offered to Accepted 14

Interface Process Flow Banner HR Run PeopleAdmin Employee Load Process (NZPPAUL) from Job Submission Loads data into EPAF Additional data can be entered as needed in the EPAF If there are problems loading the PeopleAdmin data into Banner, it will be corrected in Banner not in PeopleAdmin Banner HR Electronic Personnel Action Form (EPAF) Seed EPAF Approval Categories and Types will be delivered with the interface Can create your own categories, as needed, for institution specific routing rules Employee Class feature 16
Interface Assumptions with NZPPAUL Routing rules are built by institution Three EPAF Approval Categories delivered with interface Additional Categories can be created as needed Delivered Approval Types should not be changed or added to Required indicator can be set Labor Distributions and Default Earnings will default No Approvals Types included for these Updates, if needed, must be completed after the EPAF is applied on the Employee Jobs Form, NBAJOBS 17

Interface Submit Messages From NZPPAUL When EPAF Submit Indicator is N Specific transaction causing error is reported on the output file Message This line is not in the correct format. Cause There are not 131 delimiters found for the record being reported. 24
Interface Submit Messages From NZPPAUL When EPAF Submit Indicator is Y Specific transaction causing error is reported on the output file Message Review NOIEMSG for errors that occurred on submit. An error occurred during submit validation. Required fields are missing values. Common Matching Code must be defined in NTRINST. Possible match found for this person. Cause Errors were generated during the submit of the EPAF. The transaction could not be submitted for the record being reported. Fields marked as required on the EPAF Approval Type form, NTRAPTY, do not have a value in the record being reported. Common matching is turned on at the institution level, GUAINST form, and the common matching code is not set-up on NTRINST form. Common matching finds a potential match for the employee in the record being reported. 25
