1 Managing Workers Compensation Leaves in Banner Workers Compensation Activity Entry Notes Update the employee s job(s) with Date of Illness/Injury Enter JOBCHG EPAF Use information provided on First Report of Injury. This should be the date the Date of illness/injury, if this date is beyond the employee s Last Paid Date. If this date is prior to the employee s Last Paid Date, use the first day following the Last Paid Date for this job. JOBCHG JOBCHG will automatically populate Enter JOBCHG Jobs Detail Eff Date Same as Defaults as. Override with the Date of illness/injury if it is prior to AIDII Date Chronic Wkr Comp Injury Routing Establish routing. Transaction Comments, SAVE Determine if there are LOST WAGES. Employee time lost is 3 or more days AND the employee will be using Earned Time/Vacation/Sick Leave Workers Compensation Benefit Three-day waiting period. Compensation is based on 66.67% (approx 2/3) of the employee s average gross weekly income. If the Workers Compensation Leave period is 15 or more calendar days, compensation is paid for the three-day waiting period. The employee s weekly compensation rate is calculated according to the income received at the time of the injury/illness and does not change thereafter for that claim.
2 Use of earned time/vacation/sick leave balances The employee CAN choose to use earned time, sick leave or vacation time to supplement the compensation payments. If the employee chooses to use Earned Time/Vacation/Sick Leave check the available balances and calculate $ value of Earned Time/Vacation/Sick Leave hours/units needed to make the employee whole. Manual adjustments to the employees leave records will need to be made to record the time used. If employee persists on Works Comp, credit may need to be provided on the Earned Time expended during the first three days of the leave. Additionally, earned time accrual on the first three weeks of sick pool usage should be provided manually to earned time balances on PEAEMPL Leave Balances window for Operating Staff accruing time in Banner. Enter LOAWKC EPAF Enter and Submit LOAWKC EPAF when employee has been out for three days. If the employee does not have any Earned Time/Vacation/Sick Leave hours/units, their pay will be docked.

This should be the date the leave due to workers compensation ends if the leave ends after the employee s Last Paid Date. If the leave should have ended before the employee s Last Paid Date, use the first available date following the Last Paid Date for this job. Override with the date the unpaid leave of absence due to workers compensation ended if it is prior to Query Date Defaults as LXCWC Exit-Workers Compensation LV Establish Routing
6 Return to Partial Duty Be sure to contact payroll if the employee is due retro pay. Be sure to enter a DEFERC EPAF if there are any 455 default earnings which need to be changed. For adjunct hourly staff, hours will be reported through positive time entry. For adjunct salary staff, enter a DEFERC EPAF to update their default earnings to reflect their return to partial duty. For operating staff exception time entry will be required to provide dock pay, earned time payout as complement to w/c (make whole) and hours worked. Specific information should be provided to time enterers by Campus HR or Workers Compensation processing specialist. When employee is returning to partial duty documentation is required from a physician providing date of return and maximum work hours. Supervisors are responsible for ensuring employee stays within requirements. Enter LOARPD EPAF Job Detail Eff Date Anticipated Return This should be the date the employee is expected to return to partial duty if the partial duty begins after the employee s Last Paid Date. If the partial duty should have begun before the employee s Last Paid Date, use the first available date following the Last Paid Date for this job. LOARPD Enter Position and Suffix for job partially being returned from leave Defaults as. Override with the date the employee returned to partial duty if it is prior to.
