Specifications 1. Appliance The product is in the form of an appliance which can be rack mounted. 2. Web based configuration interface The configuration interface is web based and can be accessed by any web browser. 3. Web based fax logs The fax logs are accessed by a web based interface and can be accessed by any web browser. 4. Web based fax sending Users can send out faxes using the web interface. 5. In built SMTP server for receiving emails to fax out The fax server has internal in built SMTP server to receive emails. It does not rely on Microsoft IIS SMTP server. 6. Automatic detection of fax devices Fax devices are automatically detected and saved and not added manually. 8. Different user roles Users can assume different roles that control their access. The roles are administrator, supervisor and normal user. The administrator can do configurations while the supervisor can view all fax logs. Normal users can only view their own fax logs. 9. Active directory login Users from Active Directory can be imported into the fax server via LDAP. These users can then login to the web interface using their Active Directory credentials. 10. Routing by caller id Incoming faxes can be routed according to the caller id of the fax sender. 11. Housekeeping The administrator can set the archival period of faxes. The administrator can set the days, hours and minutes combination for the auto deletion. Outdated faxes are automatically purged from the system to reduce the disk space needed on the fax server. 12. Fax broadcast Users can perform fax broadcast by selecting to fax to a distribution list at the click of a button. 13. Personalized cover pages in HTML format Users can use personalized cover pages for sending out faxes. Cover pages are saved in HTML format and they can easily be edited using any HTML editor. 14. Folder scanner The fax server monitors documents in a folder. Once a document is detected, it is picked up for faxing automatically. The fax number to fax to can be retrieved from part of the file name. The subject and content of the fax can be configured through a web interface. 15. Folder scanner maintenance The time of working for the folder scanner mechanism can be configured up to the day of the week and hours. This is to allow batch faxing only during after office hours. 16. Monitor fax lines and queue An administrator can view the activities of the fax lines and fax queue using the web browser clearly. He can remove any faxes in the fax queue easily. 17. Central archival of faxes Incoming and outgoing faxes are stored centrally in a database on the fax server. 18. Confidentiality of faxes Users can only access outgoing faxes that are sent by them and incoming faxes whom they are the designated recipients. 19. Multiple channels to send out faxes Users can send out faxes using a web browser or an email client such as Microsoft Outlook. 20. Email notifications Users will receive an email notification for each fax sent containing the status of the fax transmission. Received faxes are also forwarded as emails to the respective recipients. 21. Multiple retries The fax server performs retries when a fax fails to be sent out. The number of retries and the interval between retries can be configured. 22. Automatic printing and saving Incoming and outgoing faxes can be automatically printed to a specific printer or saved to a particular folder for archival. 23. Intelligent fax routing Incoming faxes can be distributed according to the line, the Caller ID of the sender, the remote fax id of the sending fax machine and the extension number of PBX. 24. Supports contacts and distribution lists Users can maintain a database of contacts and distribution lists to facilitate the sending of faxes to. Contacts and distribution lists are categorized into personal or global nature. 25. Customizable headers and footers Headers and footers can be appended to incoming and outgoing faxes. 26. Supports dial prefix and overseas faxing The fax server allows the configuration of dialling parameters to support faxing behind a PBX and using IDD code for faxing overseas. 27. Customizing the way faxes are saved Faxes can be saved in PDF or TIF format. The format of the file name can be also be customized. 28. Supports multiple types of fax documents The fax server natively supports faxing of documents in PDF, TIF, BMP, TXT and HTML format. It can also be configured to support other popular document types such as Microsoft Word and Excel documents easily. 29. Supports import of printers An administrator can import printers into the fax server so that faxes can be printed out to these printers when necessary. 30. Call blocking Fluid Fax can block outgoing faxes according to the numbers being dialled. This is especially useful to prevent users from faxing overseas. 31.
