Customer Profiles Utilities EDF Energy British Energy Company Quality employee engagement The SMART Room System helped EDF Energy rejuvenate the workplace and bring collaboration to the forefront. Employees can t help but contribute to meetings and tangible results can be seen almost immediately. We wanted to create a true collaboration environment in the Crawley office. Having converted it from a regular meeting room, we deliberately ensured that the hub is used as intended; for genuinely collaborative working where everyone can work together and contribute in an open, creative way. - Simon Vickers, Internal Control Manager, EDF Energy Everyone took to using the SMART Board very quickly and easily. There has also been a significant boost in staff engagement, both on-the-day, where everyone can walk up to the SMART Board and contribute, and afterwards where they can immediately see the tangible output of their work, instead of waiting a week or two for someone to write up notes. - Simon Vickers, Internal Control Manager, EDF Energy The benefits of the SMART Boards, both in the Collaboration Hub in our Crawley office and in the innovation room of our Exeter office, have been immediately obvious. What is more, after a couple of months we surveyed users to find out how effective they thought the Collaboration Hub was in meeting objectives. 91% said they found it very useful; the remaining 9% found it fairly useful. - Simon Vickers, Internal Control Manager, EDF Energy More EDF EDF Energy is an integrated energy company in the United Kingdom, with operations spanning electricity generation and the sale of gas and electricity to homes and businesses throughout the United Kingdom. It employs 13,158 people and handles 5.7 million customer accounts.

Research findings Utilities Global Collaboration Research Thousands of businesses from around the world have taken part in a global research study (conducted by Filigree consulting and SMART) to share their insights on the value of collaboration. The study shows there are 5 levels of collaboration maturity (see figure 1), based on how an organization approaches collaboration. Research findings in Utilities 90% of the Utilities industry falls into the lowest levels of collaboration maturity, where they understand the value of collaboration but don t have a collaboration strategy in place that includes technology, people and processes. Of the 10% of Utilities organizations that are achieving the highest levels of maturity, they have shown to take an integrated approach to collaboration and are therefore more likely to gain a positive impact on a range of business outcomes (see chart below). Reduced Process Cycle Times Reduced Travel Expenses Improved Training Effectiveness 3.9x Reduced Rework 3.9x Reduced Risk 3.9x 4.0x 4.0x Figure 1: Collaboration Maturity in Utilities 75% 76% Very High UNSUPPORTED - very little technology to support teams and no collaboration strategy NOT INTEGRATED experimenting with basic technology and no collaboration strategy Percentage of Total 0% UNSUPPORTED 14% NOT INTEGRATED 5% INTEGRATED 5% COLLABORATIVE 0% OPTIMIZED Value Recieved Very Low INTEGRATED hardware, software and other systems implemented and collaboration space available but limited COLLABORATIVE integrated collaboration solutions, training and processes in place but full range of spaces not fully deployed OPTIMIZED complete implementation of solutions, training and processes, complete access to full range of spaces

Research findings Utilities Utilities organizations that combine best practices and technology with collaboration strategies result in improved business value. Increased Team Productivity 62% Improved Problem Solving 55% Reduced Travel Expenses Improved Information Quality 48% 48% Increased Meeting Productivity 43% Steps to increase collaboration maturity Follow these best practices and collaboration strategies to increase how effective your collaboration is: 1. Content and application integration. The technology available should enable teams to work on a variety documents to improve problem-solving and decision making. Accessing content from process diagrams to GIS data for all participants to review and interact with provides the highest quality information available for making decisions. 2. Flexible technology and tools. Organize, capture, save and distribute ideas electronically, whether it s recording, sketching or incorporating content from other sources. The ability to access content and information when its needed streamlines workflows, increasing productivity before, during and after the meeting. 3. Integrated remote collaboration. Technology should connect expertise from any location, enabling remote workers to share, contribute and collaborate on documents and projects as if they re in the same location. 4. Collaboration training. The adoption of collaboration technology should develop strong collaboration practices and skills. Implementing an internal training program changes the collective mindset from meeting to collaborating. 5. Collaboration leadership. Integrate a collaboration champion to promote best practices, processes, training, and technology. They should work to implement collaboration as a cultural shift rather than pure technology play.
