WRITING A PPROACH LETTERS An approach letter is designed to gain access to individals who may or may not provide yo with contacts, leads and information on job opportnities. These letters are sed for bilding networks which may lead to informational interviews. Approach letters are associated with two major job search and distribtion strategies. The first strategy involves condcting an indiscriminate mass mailing of resmes and cover letters to specific individals in yor areas of interest. If yo follow-p yor direct mailing with telephone calls, yo will get reslts. However, the reslts will be more negative* than positive. While some individals report impressive reslts with this version of letter writing, the Exective Career Services Department does not recommend it. *Yo shold never send a resme to a search committee that has a crrent CMAA member employed in good standing in the position yo seek. The second strategy involves selectively writing letters to prospective employers or to individals who might provide yo with sefl job search information and referrals. Normally, yo do not inclde yor resme with this letter. Instead, take yor resme to the informational interview and discss it near the end of the interview. This is done for two prposes: gathering advice on how to improve yor resme getting the interviewer to read yor resme as well as refer it to others who might be interested in yor qalifications. With this second strategy yo tailor the contents of the letter to the recipient. However, certain common rles apply to both letter strategies.

RULES 1. Start with a personal statement which connects yo to the reader. If yo lack a personal referral, yo might open with: I am writing to yo becase of yor position as... or Becase of yor experience in..., or We have a common interest in... or Since we are both almni of I thoght... If yo have a referral, yo might start with: Mr., Mrs., Dr., sggested that I contact yo... 2. Orient the reader to yor prpose. Explain that yo do not expect the reader to know of any crrent job openings, bt yo wold like his or her help, advice, sggestions, or gidance. Stress yor prpose(s): to get his or her advice on yor career plans, obtain occpational information, or discss ftre work possibilities. Explain yor crrent sitation. 3. Close yor letter by reqesting a brief meeting at a mtally convenient time. Indicate that yo will call in a few days to arrange a meeting. 4. Be clear. Have a specific prpose in mind before writing this letter. 5. Always address the letter to a name, never to a position or title. 6. Make the letter brief, nless there are special reasons for going into detail. 7. Make yor letters warm and personal. Avoid boastfl, aggressive and stereotyped phrases. 8. Careflly proofread for grammatical, spelling or typing errors. 9. Neatly type yor letter. Leave wide margins. 10. Type on good qality bond stationery. Never se erasable, copy machine or onion-skin paper. 11. Keep copies of all correspondence in an efficient filing system for follow-p prposes.

WRITING THANK YOU LETTERS (POST INTERVIEW, REJECTION, WITHDRAW, TERMINATE, JOB OFFER ACCEPTANCE) When condcting a job search, yo shold always strive to stand ot from other candidates. A thank yo letter is one of the most effective letters yo can write. Yo normally write this letter within 48-hors following an interview. The standard thank yo letter shold immediately follow a formal job interview. This highlights yor interview discssion and reiterates yor qalifications and contining interest. Thank yo letters also can be sed in other types of sitations, sch as responding to advice over the telephone or a letter of rejection. Thank people for their advice, time and consideration. Some people have actally received a job offer after first being rejected all becase they sent a nice thank yo letter. The thank yo letter in response to a rejection shold follow a similar format as the standard thank yo letter. Express yor gratitde for being considered for the position as well as yor contining interest in working for the clb. Few search committees receive this type of letter. It may leave a lasting impression on the committee who will remember yo for ftre openings. Other types of thank yo letters are also appropriate to write at times. For example, if yo withdraw from consideration for a position or trn down a job offer, send a polite and positive thank yo letter which leaves the door open for ftre consideration. Once yo receive a job offer, send a thank yo letter to yor new Board of Directors. This can be of the most effective letters in getting yo off to a good start and forming a positive and lasting relationship with yor new Board. Since few Board of Directors receive sch letters, yo will stand ot as a thoghtfl and considerate new employee. If yo terminate employment for any reason, consider sending a thank yo letter to yor former Board of Directors. Try to be as positive as possible, even thogh yo may be parting nder strained circmstances. A thank yo letter can clear the air, mend broken fences, generate positive references and leave the door open for ftre consideration. Yo shold write these different types of thank yo letters becase yo want to be remembered in a positive manner. Yo commnicate yor thoghtfl and considerate style. Copled with yor paper qalifications, as evidenced in yor otstanding resme, yo will make a stronger impression that few candidates ever make in their job search.
